Hi Simon We need to have a meeting about the contractors on site 14D as the work is unsatisfactory. Could you please arrange meeting room 4 for tomorrow at 10AM. I will need you, the construction site manager, the legal department director and the safety inspector to attend as well as myself. I want to discuss the following items. First, why progress so slow including construction problems, the number of staff and the bad weather conditions recently. Second, How the contractors are doing on other sites, basically a progress report on all of ABC constructions sites. Finally we need to discuss how to increase progress so I want to hear ideas from everybody, they will have about 10 minutes each to present. Please type an agenda and send it to everybody. Note Although your sample only shows the motions you should write down a brief summary of what was discussed for each point on the agenda. This should be a paragrah. You can use past of present tenses but do not mix them when talking about events inside the meeting. My advice is to use present tenses for talking about inside the meeting and present and past tenses for events outside the meeting depending on the time of the events
