Memos… Are informal written messages used by employees within an organization to communicate with one another Margin settings are: Top Margin (TM): 2” Side Margins (SM): 1” Bottom Margin (BM): 1”

Use ALL CAPS for all lines of the heading!
Parts of a Memo Heading (TO:) – who the memo is being sent to (FROM:) – who the memo is from (CC:) = carbon copy; additional people receiving the memo (DATE:) – the date the memo is being sent (SUBJECT:) – what the memo is about Use ALL CAPS for all lines of the heading!

Alignment & Spacing TO: Tab twice to key name. 2 (Hit enter key)
FROM: Tab once to key name. CC: Tab twice to key name(s) DATE: Tab twice to key date. SUBJECT: Tab once to key subject in ALL CAPS.

Body All paragraphs begin at the left margin and are single-spaced (SS) with a double-spaced (DS) between paragraphs. Reference Initials Initials of person who keyed (typed) the memo, if different from sender. Initials must be keyed in lowercase letters at the left margin DS below the body of memo

Attachment/Enclosure If another document is attached to a memo, the word Attachment is keyed at the left margin DS below the last line of the body if no reference initials are used. If a document accompanies the memo but is not attached to it, key the word Enclosure.

Remember the following guidelines about Memos
A Memo is intended to be a “very” direct means of communication It is most often used by an employee or member of a business or organization to write to another employee or member of that business or organization. Memos are used to communicate company policy or organizational information to many people in a group or at a location A top page margin of 2” is recommended It should have a margin of at least one inch on all remaining edges It is always written on 8½"x11" (or metric equivalent) unlined stationery Many business and organizations have standardized memorandum stationary that already contains the organization logo

Memo Activity Walk through page setup and formatting. Complete CF21 and key the memo from the handout. Save the memo as CF21 Memo.
