2 Chapter Objectives Understand the different types of users or customers of the implemented HRIS and their different data needs Discuss the differences between the five general hardware architecture that are presented. From dinosaur to cloud computing Discuss the main concepts of hardware and database security Discuss the “best of breed” approach to HRIS acquisition and the various options available for each functional area of HR Develop an understanding of the general steps and factors that affect system implementation Understand the pros and cons of implementing a changeover from one software system to another

The customer of the data, the process, and the decisions that will be made HRM is a process designed to support the achievement of strategic organizational goals Poor HRIS implementation may result in an HRIS that fails to meet the needs of the organization or worse. Successful implementation requires carful attention to every step in the system design process

4 HRIS customers/users: data importance
HRIS users are generally two groups: employees and nonemployees. Employees category includes: Managers who reply on HRIS and analyzed data to make decision Analyst or power users who use HRIS to evaluate potential decision choices and opportunities Technical staff who are responsible for providing a usable, up-to-date system, data entry Employees who use HRIS on self service basis to obtain personal services, eg. Look up payback check, benefit during enrollment, leave or attendance information

Technicians (HRIS experts): Clerical Employers: HR staff Organizational employees: other employees in other department

6 Nonemployees Job seekers: 70% to 90% of large organizations use online recruitment due to the demand through this mean. Sourcing Partners Organizations such as, jobstreet,com, monster.com .

7 HRIS architecture Cloud computing: computing architecture that uses the internet and central remote servers to maintain data and applications. the use of server cloud, group of computers. Allow business to use applications without actually having to own hardware and software. To reduce software and hardware capital outlays

8 Three categories of cloud computing
Infrastructure as a Service (IaaS) provide access to an OS (MW Linux) eg. Amazon Elastic Compute Cloud (EC2) Platform as a Service (PaaS) web server technology pre-builts into the leased computer. Eg. Microsoft Azure Software as a Service (SaaS) complete application delivered over the internet. Either simple such as Eg. Google mail or complex such as

9 Security Protecting hardware, software and data in HRIS from unauthorized access, sue, disclose, disruption, modification, or destruction Is priority Exposure of payroll Loss sensitive data Unauthorized data update Sharing personnel or applicant review Sharing data with external organization

10 Best of Breed An architecture that combine products from multiple vendors is called (BOB) Designed according to need Recruitment (online application, CV online) Time collection: time keeping data each pay period (punch card, time clock to track hours) Payroll: Pay calculation and distribution and process Benefits: course enrollment, CPD, medical and health benefits
