2 Terminal Learning Objective
ACTION: Receive Visitors and Official Calls CONDITIONS: In a classroom environment, given expected or unannounced visitors, access to an executive calendar, programmed visitor’s roster, local SOP, and standard office supplies and equipment. STANDARD: Receive and announce visitors using accepted military courtesy and protocol procedures without error. Cognitive - Apply GLO 8: Soldiers and Army Civilians demonstrate proficiency in communications skills. This includes Verbal Communication, Written Communication, Active Listening, Facilitation, Negotiations, Social Media, and Digital Communications. GLO 12: Soldiers and Army Civilians demonstrate proficiency in Army and joint doctrine; includes ULO, National Security Policies, and Military Strategies and Capabilities. GLO14: This includes Branch and Career Management Field proficiency, Career Programs, Series Technical Certifications, and Warfighting Skills.

4 Army Customs The exchange of courtesy visits is one of the Army’s oldest and most established traditions. Official and social calls are essential to: Mutual understanding Respect Confidence Teamwork Follow the established customs of the respective Service whenever possible.

5 Official Calls All official calls are made at the office of the person visited. Arrival Calls Paid by a subordinate to an immediate superior and then on that officer’s superior. Official calls should be made within 48 hours after arrival at the new location. Departure Calls Official procedures for leaving an installation or post may vary. Custom requires that an officer departing the post make an official call on his immediate commanding officers as an act of courtesy.

6 Social Calls The practice of making traditional Social Calls has declined. More common practice today is a “Hail and Farewell” to introduce newcomers and say goodbye to those leaving. General Rules for making social calls: (1) Calls are normally made at the officer’s residence. (2) The visit is planned at a time convenient to the officer visited. (3) If the commander is married and the commander’s spouse is present, the spouse of the officer making the visit should also attend. (4) Social calls should last no less than 10 minutes and no more than 15 unless the caller is requested to stay longer.

7 Introductions Brevity and accuracy are two requirements that must be kept in mind when introducing people. The person making the introduction is completely in charge of the situation for the length of time that it takes to effect it. Simple Rules to Remember: A man is always presented to a woman—with the exception of the president of any country, a king, a dignitary of the Church, or when a junior female officer is “officially” presented to a senior male officer. The honored / higher ranking person’s name is stated first, then the name of the person being presented. Young people are presented to older people of the same gender. A single person is introduced to a group.

8 Visiting Cards Visiting cards are used during calls as an individual optional courtesy. Visiting cards will include the individual’s name, grade, and the words “United States Army.” Indication of branch is optional and component will not be shown. The size and type of the care may be determined by the officer; however, the traditional size is 3 1/4 by 1 1/2 inches, with shaded Roman engraving. Standard business sized cards may be used if desired. There should be no directives or requirements for individuals to purchase visiting cards.

Determine identity of visitor. Verify the visitor is in correct office. Check executive calendar for appointment.

12 Visitor not on the Calendar
Nature of visit. If visitor has walk-in privilege. If visitor should go to another office. If someone else on the personal staff should take care of the visitor.

13 Visitor to see your Supervisor
Show superiors in promptly. Re(schedule) visitors that cannot be seen. Offer amenities if visitor must wait. Announce/introduce visitors when entering office.

For example, "General Hall, may I introduce Colonel Smith." Q. How do you determine if a visitor has walk-in privileges? A. Visitors with walk-in privileges should be listed in your office SOP.
