Student Enrollment/Participation
Exceptions include: Students receiving special education services: Students with most significant cognitive disabilities Assessed with the WA-Access to Instruction & Measurement (WA-AIM ) ~1% or fewer of student population Students receiving English language services: Must participate in the mathematics assessment If a student/parent refuses to have their child participate in testing, please request a letter addressed to the principal and forward a copy to Tamara Bush in central office. Students in grades 3-8 and 11 are required to participate in ELA and math for state and federal accountability purposes Any student/parent that choose to not participate in the Smarter Balanced assessment will need to write a letter to the principal and submit a copy to Tamara Bush in the Assessment Department for district/departmental documentation.

Policies and Test Security
State Laws Governing Security All test content including, but not limited to, test booklets and accommodated forms are confidential and must not be reviewed except to the extent necessary for administration of state assessments. Securing Testing Environment Who and what can be in the testing room Trained proctors, not volunteers No media (and limited access to the campus) Only approved electronic devices No purses or backpacks near the students Posting a Testing – Do Not Disturb sign

Test Security: Before Testing
Remove or cover any information on classroom walls Walls charts that may contain literary definitions, maps, mathematics formulas, etc. Seating arrangements Adequate spacing between students to minimize looking at each other’s work Site Communication “DO NOT DISTURB” sign Place on testing door Place in the halls and entrances to reroute hallway traffic if needed It is important to note that test security must be in effect at all times until your schools’ designated testing window is completed. Test Security: During Testing
Quiet environment Limit noise distractions as much as possible Actively supervise students No unauthorized electronic devices with cellular, messaging, or wireless capabilities (e.g., cell phones, iPods ®, cameras, and electronic translation devices) Access to allowable resources Usage of allowable resources as permitted by Smarter Balanced for each specific test Viewing of assessment items Only students who are testing can view testing items Students not tested or unauthorized staff are not able to be in the room where a test is being administered TAs and other trained staff may not actively review or analyze any test items No answer key development No form or type of answer key may be developed for test items No copies, retaining, discussing, and/or reviewing test materials Maintain all test materials secure which include any student responses in the testing interface or students’ notes on scratch paper No recording, analyzing, and/or retaining of test items, stimuli, reading passages, or writing prompts at any time Unless needed as a print-on-demand or braille accommodation, no copies can be made It is important to reiterate that confidentiality and test security must be followed at all times until your schools’ designated testing window is completed.

Responsibilities of Test Proctors
Read the Directions for Administration (DFA) including the directions to each subject area (become familiar with the text) Familiarize yourself with school’s Test Security and Building Plan, testing schedule, and access supports accommodations needed in your classroom Provide a positive environment Prepare your room Know what tools are allowed; the tools are also listed as you read the Directions to students. Read directions verbatim and follow the directions in the DFA Monitor students Report irregularities to the School Testing Coordinator At least one trained test proctor in testing location at all times Inventory and return all test booklets to the School Testing Coordinator Before During Read the Directions for Administration (DFA) ahead of time! Be familiar with the directions so the instructions read smoothly. Read the Return Instructions located at the end of each sessions directions to prepare for collecting and accounting for all materials. TIP: save as a PDF to your desktop to search (Ctrl + F) for topics/questions, link to OSPI documents. After

Directions and Proctoring (Paper/Pencil Tests)
Actively monitor. Ensure that students are: Using number 2 pencils (the scanner may not be able to read responses with other lead types, which could affect the student's score) Not sharing their work Not using unauthorized tools or electronic devices Not writing on the inner ½ inch of the booklet, by the spine Notice if students: Are in need of an extra break Need help navigating the assessment If a different pencil lead type is used, you may never know that 4-5 questions were not scanned and scored accurately. Notify your School Assessment Coordinator right away.

Irregular Test Administration
All group and individual testing irregularities must be documented following district guidelines and protocols Proctor should: Call the SAC as soon as possible Make a notation on the Test Security Assurance form Make a notation in the Note section on the Booklet Cover (in consultation with the SAC) SAC should: Call DAC as soon as possible Hand-grid the demographic page, where applicable Note the irregularity on the Pre-ID Roster Complete the corresponding irregularity report. Never invalidate a test. Invalidations are determined by our office and in consultation with OSPI. NOTE: a decision of whether or not to invalidate a test may be deferred until after student scores are available and it is determined if the irregularity impacted what the student knows and is capable of doing. As part of the proctor training, give the proctors clear instructions on how to contact the SAC during testing should an irregularity occur. In most cases testing should continue, when possible. Cell phone misuse may require an administrator to talk with the student and review the phone for text messages, s, and photos. By notifying the DAC as quickly as possible some issues can be resolved immediately.

Important Reminders Regardless of testing format, students must complete all testing by the state mandated testing date: Students that test paper/pencil will need to be within the paper/pencil window: April 20th – May 19th Students that test online will need to be within the online window: April 20th – June 5th
