Epic DAR Creating a Private Report
In this lesson you will learn to: ─ Access Public and Private Reports ─ Create Private reports - Navigate the General, Setup, and Display tabs - Add and remove columns ─ Save your changes

Creating a Private Report
Most reports in Epic can be customized to meet the users needs based on functionality. The Department Appointments Reports is also called the DAR. We’ll use the DAR to illustrate how to create a Private Report. Once you know the following steps, you can apply them to create other private reports. To open the DAR click either the Reports option from the main Epic button and select Dept Appts from the Reports/Scheduling menu or click once on the Toolbar Dept Appts option for quicker access.

Most departments have been set up to immediately display the DAR as your default report. Click on the Settings Button to display the Settings Screen. Use the Department Appointments Settings Setup tab to define what to include in the report. You can run this report in numerous ways. Public reports are set up for your Practices. You can create your own private report using the following steps.

The left side of the settings screen lists the private and public reports. The public reports can only be accessed if you have security access to those depts. You can always go back to the settings screen to redirect to another department or private report. You can create as many private reports as you need based upon how you use the specific report. To select a private report, highlight the department or private report you want and then click on the “Run” button at the bottom of the window.

To create a Private Report, click on the “General” tab.

The General tab displays the radio button to create a Private report. Click Private, and give this new private report a name to identify it. To rename this report, click on the “Save As” button.

Type the name of the new private report and click Accept. The screen close and the Save button will be available. Click Save.

The name of the new report will appear on the “Available Settings” window on the left and within the “Name” field above the tab display.

The “Criteria” tab allows you to select your Department, Center or Subgroup. It also allows you to add additional departments based on security access. You can select all providers or individual providers, visits types, statuses, dates and time ranges.

Within the “Date Range” type a “T” (for Today) in the “From Date” field, press tab, and insert another “T” within the “To Date” field. This ensures that whenever you open this report, it will open to the current date. Click on the “Display” tab to proceed. You can view multiple days by selecting the “Combine dates” checkbox and enter from and to dates. Note: The maximum number of appointments that will load is You will receive a message if your range includes more.

The “Display” tab allows you to choose which information is displayed on your report. The left column has all the available information in this public report. The column on the right reflects what is currently displayed. You can “Add” or “Remove” displayed columns by highlighting and clicking on the “Add” or “Remove” button that is located in between the two columns.

You can move columns on the DAR to the left or right of their current positions by highlighting the column you want to move and clicking on the up arrow to move to the left or the down arrow to move to the right.

When you have finished making your adjustments to the report, you are ready to save your work. If you want this report to be your default report (the report that appears every time you click on the DAR button) place a checkmark by clicking the “My default report” checkbox. Save your changes by clicking the “Save” button at the bottom of this window and then click “Run” to view the report.

If you make changes to any report without clicking Save, Epic will prompt you to save the changes you have made. If this is a one time report and you don’t need a saved copy, click No. If you want the changes you have made to be permanent, click “Yes”.

Once completed, the saved report will display immediately when the appropriate toolbar selection is made.
