Class Coordinator Training Class Coordinator Responsibilities The following slides outline key responsibilities of the Class Coordinator.

Be mindful of key dates Schedule eight Group Meetings (a group vote is mandatory if there is ever a proposed date change) Monitor elections (Instructions in another learning module) Send Group Roster to all Members using the Group template Verify Members volunteer hours after noon on April 30th Apply for President’s Volunteer Service Awards (PVSA) for qualified Members (April 30th – May 5th) Post Meeting Minutes and photographs on Website Archive Members upon their resignation, ineligibility, or completion of senior year Verify dues are paid for re-enrollment after noon on April 15th Be mindful of these important dates and events.

3 Class Coordinator Responsibilities
Key Deadline/Dates: February 1st -August 1st New Member enrollment period (12:00 A.M. February 1st through midnight on August 1st) February 1st - April 15th Dues to renew Membership must be paid online by noon on April 15th April 30th Lion’s Heart Year Ends – Hours must be logged in no later than noon May 1st – August 1st Lion’s Heart Year Starts - Members may request transfer to another group May 5th Deadline for CC to apply for the President’s Volunteer Service Awards May 10th Schedule 1st meeting of new “Year” for Officer Elections and Torchbearer Vote prior to this date (for returning groups) May 15th Former Members who missed the deadline to pay dues may re-enroll June “Pride of the Lion's” Awards Event (Either the 1st or 2nd Sunday of the month) for Chapters with 150 or more Members. Otherwise Chapter President presents at group meetings. The Lion’s Heart year runs from May 1st through April 30th. Within the Lion’s Heart year, there are key dates to remember. Please take a moment and enter these dates into your calendar.

4 Class Coordinator Responsibilities
Schedule Eight Group Meetings The CC is a monitor of the meetings – not a facilitator or leader Usually a Sunday is the best day to be able to gather our very active Members Meetings can be held at a location of the Class Coordinator’s or Members’ choice Meetings are typically not longer than one hour The LH year begins on May 1st and ends at 12:00 P.M. on April 30th. There will always be an early May and June meeting. The other six can be anytime else during the year First meeting will include election of Officers and Torchbearer vote for prior year “Running a Meeting” document is on the Website There should be no other non-Lion’s Heart business or activities affiliated with LH meetings If you are a new group formed AFTER June 1st you are only required to have six meetings and Members can not miss more then two of those meetings. Volunteer hours are NOT prorated A group vote is MANDATORY for any proposed date change for a meeting Class Coordinators should foster Member-run meetings. Members will use Robert’s Rules of Order to conduct meetings. There is a document on the website that is called “Running a Meeting”. Of course, the younger or newer your group is, the more guidance that will be required. You can rotate the meeting locations at Member’s homes by asking for volunteers to host meetings. Usually groups do not meet in July or August due to summer vacations. You may want to encourage parents to attend one or more meetings. Any proposed date change for a meeting must be a motion at the meeting, with a majority of the Members voting in favor of it.

Send Group Roster (downloaded from website) to all Members using Group template CC must log in to retrieve group roster Using the Group available after login, roster can be sent as an attachment A roster will list all Members and their contact information in addition to officers, group name, and CC name Member can also view and print roster upon Member login More detailed instructions are given for website functions in the “How to use the Website” training module, however here in abbreviated form are the website responsibilities of the CC. Members are responsible for maintaining their updated information on the website. You can remind them of this when you send out the roster at the beginning of the year. You should also send an updated roster to everyone if there are any changes.

6 Class Coordinator Responsibilities
Verify Members hours immediately after noon on April 30th Members’ hours can be reviewed on the website without logging in Hours should be reviewed regularly throughout the year A minimum of thirty hours of Community Service including (not in addition to) five hours in education is required for each Member CC should teach Members at the beginning of the year how to login hours Although the deadline for hours to be logged in is noon on April 30th, hours for Members should be reviewed on an ongoing basis throughout the Lion’s Heart year. It is important to make sure Members volunteer hours during the year all qualify so there are no surprises or lack of hours at the last minute. Class Coordinators should encourage Members to log hours as the year goes on – and not wait until the end of the year to do so.

7 Class Coordinator Responsibilities
Apply for the President’s Volunteer Service Awards (PVSA) for qualified Members April 30th – May 5th LH is a participant in the PVSA program as a Certifying Organization If a Member meets the eligibility requirements outlined in the CC Manual, the CC will follow instructions in CC Manual for applying for each Member’s awards CC should mention this award at the beginning of the year to the Members in their group This Award is a Presidential Honor that recognizes the valuable contributions of volunteers nationwide through their current volunteer activities. The Class Coordinator will apply for the awards and the Chapter President orders them. Please make sure you apply for Members that meet these requirements prior to May 5th. Details on ordering will be found in the Class Coordinator manual.

8 Class Coordinator Responsibilities
Post Meeting Minutes and Photographs on Website Login with Username and Password to website to complete this task Further website instructions to follow in additional training module Minutes should be posted on the website immediately after being approved at the meetings. Class Coordinators should post at least five photos each year of Members conducting volunteer activities in Lion’s Heart tee shirts.

9 Class Coordinator Responsibilities
Archive Members upon their resignation, ineligibility, or completion of a Member’s senior year Members are Archived on the website by the CC Archive immediately upon resignation, on April 30th (not before) if ineligible due to non-payment of dues or insufficient hours, but wait until after June awards event (if any) to archived Seniors Uncheck “active box” Enter date archived Choose from drop down list the reason for Archiving It is important that a Member be Archived as soon as that status change occurs. Because we have a limit of 20 Members per group and there are new Members waiting to be assigned to groups, archiving is important to keep group counts accurate and make space available for new Members. If a Member becomes ineligible to continue, you may use the letter template in Documents to inform them of their new status. The Chapter President monitors group counts on a daily basis during open enrollment, so this is extremely important.

10 Class Coordinator Responsibilities
Verify Dues have been paid for re-enrollment after noon on April 15th Members can re-enroll and pay dues after login from February 1st through noon on April 15th Login with Username and Password to website to complete this task In the Search function, leave the box blank and click “Search.” All Members can be seen at a glance with the dues column on the far right Members will be given many reminders about renewal deadline Although it is not the responsibility of the CC to remind individual Members to pay their dues, you can check as the deadline approaches and remind them of the deadline as a courtesy.
