Post-implementation updates: Curriculog and System-Enforced Prerequisites Office of the Registrar April 22, 2019

2 Curriculog Charge: Implement a more robust and transparent curriculum workflow management tool, capable of integrating with the academic catalog and other university system(s).

3 Goals Create better workflow transparency (track the steps of review and approval that occur between Faculty Senate approval and proposal completion). Reduce duplication of managing curriculum in the academic catalog, student information system, and department/college webpages. Collect information required by accrediting bodies. When we started on the Curriculog project, the Marketing and Communications Office maintained the academic catalog, the Office of the Registrar maintained the curriculum data in the student information system (Banner), and departments/colleges maintained their webpages. There was not a good connection to the formal approval processes and the catalog/website updates.

4 Progress Forms went live for the Fall 2017 semester
Completed proposals to date: 663 course proposals 90 program proposals 28 GPS (graduation planning strategy) proposals Integration with the catalog occurred for the first time for the publication of the academic catalog Catalog updates are now connected to curriculum approval Policy 4270: Preparing program modifications - implementation timeline Policy 4280: Timeline for implementing course changes

5 Continuous Improvement
In May 2018, 36 items were identified for ongoing improvements. 7 of these items have been implemented, including: A software enhancement to display course credit hours in a program proposal Changes in the approval hierarchy (added separate approvals for GR/UG curriculum approval in the academic units) Cross-walking more data between catalog database and proposal forms (imports more data) Streamline approval process in the “Budget” step.

6 Work still to be done… Curriculog Continuous Improvement Recommendations Type of Change Notes (Tentative) GPS form in separate form is cumbersome for review committee and users - pros and cons of including GPS IN the original program of study as a separate core so changes can be made in tandem? Acalog structure Structure in Acalog needs addressed - move programs to major, degree with concentrations built as Core within the program Budget only needs to see new courses for CIP codes (review of current CIP codes will be completed by Sommer) Curriculog form modification Completed for Fall 2018 forms New programs - Try to eliminate any possibilities that correct approvals are skipped (i.e. Name Changes to Carl Brun) Review and update instructions to provide clarity Consider a "reactivate" option in type of proposal for programs and courses that have been deactivated Consider limit to the course description? There is info in the help text but no enforcement Avoid cut and paste when possible Data entry flow is cumbersome Updated Fall 2018 forms How can we send a notification when certain conditions are met without requiring approval (i.e. changes in programs outside of Teacher Ed that impact teacher ed) Easier Review Process for Committees (Lots of scrolling) Planned summary box Remove College field (this is built into the hierarchy and just adds an unnecessary data element for users to enter Review communications - too much, too little, just the right amount Add honors program approval route Establish a production process to allow forms to be taken down and revamped (should we continue to date by academic year?) Is there a way to create the 15 week schedule for consistency? Review action of eliminating required field enforcement so form could be launched early - did this have the desired outcome?

7 Work still to be done… Launch proposal language is confusing to originators ("may not edit the proposal after launch") DigArc Enhancement Track changes seem to be lost when a proposal is returned to the department Course credit hours display in curriculum schema or preview curriculum Implemented Spring 2019 Eliminate the need to press login if user is single signon Enhancement requested 11/21/17 Set default to "show current with markup"; do not revert to "show current" when modifications are made Provide administrator the ability to add comments to complete proposal (prefer to correct proposal, at least until the data is exported) Clean up hierarchy (when deviation in the Dean step was permitted between graduate and undergraduate levels, additional Dean steps were added and the old Dean step was left) Hierarchy Identify hierarchy owner for timely maintenance HIerarchy Validate the LEAP approval process - should this be a workflow separate from ENG? Already approved attributes are not importing properly Integration Corrected Spring 2019 Should all data elements be collected from departments and placed into Acalog so they can be imported in the future, easing the process Move department into Acalog and map to Curriculog field so this information can be imported Marking programs as inactive is not working from Curriculog to Acalog, need to re-code Curriculog field so it is recognized in integration and clean up data from programs inactived during 17-18 Cross-list functionality Training and Development Training and documentation improvements Pre-requisite listing (department managed appears in the course description; departments change this to appear in the co-req area) Curriculog form modification Ensure there are no grading options that will allow a grade of M Implemented Fall 2018 What about accreditation requirements like contact time week by week in different modes of delivery to achieve requirement minimum contact time Policy

Progress System-enforced prerequisite checking was implemented in October 2018 (for Spring 2019 registration) Out of 5,633 sections for Spring 2019: Type # of Sections % of Sections System Enforced Pre-req 1,386 25% of all sections Dept Managed Pre-req 340 6% of all sections Total of Both Types 1,726 31% of all sections Prior to implementation, there were multiple years of validation and testing (data analysis showed that, in several cases, prerequisite requirements (as they were written at the time) would block registration for unintended populations of students. Departments worked through curriculum committees to fine-tune prerequisites.

Leveraging data to improve prerequisite functionality. Example: RSCOB – implemented mechanism to track fulfillment of MBA 5000-level requirements Adding alternate/equivalent courses in prerequisite listing (i.e. MS 2040 OR STT 1600 OR STT 2640).

Prerequisite overrides: Advisors: for students transferring credit that has already been evaluated from another institution Departments: evaluating new courses from another institution, other student requests for prerequisite overrides Same term prerequisites, ex. A-term class required for B-term within same semester, can allow prerequisite with concurrency

15 Work still to be done… Refine prerequisites that have a minimum level math class or math placement to recognize Math XXXX “or higher”. Evaluate how expired math placement scores are impacting student registration Evaluate the life cycle of a non-degree student – does it make sense to post transfer credit for these student or refer them for a one-time registration override? Work with policy committees to evaluate cost/benefit of implementing an auto-drop process for in-progress prerequisites Prerequisite information for faculty/staff
