Keenan Research Summer Student Program 2019 Students Engaged through the ORA → Co-op Students: Paid and Non-Paid → CREMS/IMS Students (U of T) → T4A Graduate Students: Paid and Non-Paid → International University Research Students → Research Student Volunteers Keenan Research Summer Students: Paid and Non-Paid High School Graduates who are enrolled in the fall Undergraduate Students Medical Students There are several types of students who are engaged and registered through the ORA (Co-op, CREMS/IMS, T4A Graduates, International University Research Students). These students are registered with Dalbir Singh, and will continue to register through him during the summer months. These students are already engaged in a program that provides them experience and other opportunities. Thus, these students are NOT eligible to enroll or participate in the KRSS Program. Summer Students enrolled in the Keenan Research Summer Student Program will register with the KRSS Program Coordinator. The program was developed to provide students the opportunity to participate in research activities during the summer months. KRSS is a great opportunity for students to experience the research environment and research mentorship. Students eligible for this program are: high school graduates who are enrolled into a university program for Fall 2019, medical students and undergraduate students. Undergraduate students who have completed their degree in December 2018 or April 2019 are eligible for the KRSS Program.

Keenan Research Summer Student Program 2019 Program Overview KRSS Program Events KRSS Orientation Weekly Seminars Monthly Networking Events Workshops/Panel Discussions Joint events with SMH Research Grad Student Association KRSS Poster Competition (cash prizes) There are several KRSS Program Events: KRSS Orientation: all students are required to participate in this half-day orientation session. These sessions will be held on Monday, May 27 and Monday, June 24. Weekly seminars: students present at the weekly seminars. PIs who won the KRSS Lotto are required to have a student present at a weekly seminar. The schedule has already been ed to the winners. All other students are encouraged to sign up for a presentation time (first-come, first-serve basis). Sign-up sheets will be available at the weekly seminar sessions. Monthly networking events: these events will be advertised to the students during the weekly seminars, through the student newsletter and through . If there is a particular workshop that you think students may be interested in, please feel free to contact me. Workshops/panel discussions: grad school and med school panel discussion, how to create a poster presentation workshop, etc. Lastly the KRSS Poster Competition will be on Tuesday, July 30

5 KRSS Registration Process
Keenan Research Summer Student Program 2019 KRSS Registration Process Student PI/Staff Complete online Pre-registration at least two weeks before start date Choose start date & determine if paid or non-paid Complete KRSS Registration Package for Students (PAID or NON-PAID) Send student pre-registration link & ensure completion at least 2 weeks in advance of start date Attend assigned in-person Registration Session Complete KRSS Registration Package for PIs/Managers (ensure you complete the correct form for either PAID or NON-PAID students) Get ID Badge Start date: Paid students MUST be a Monday Non-paid students should be a Wednesday The earliest that volunteer students may begin is Wednesday, April 24 and for paid students Monday, April 22 Pre-registration link can be found in the PI package instructions. Please forward this link to your student 2 weeks prior to their start date so they have time to pre-register and receive the student package. **The KRSS Coordinator will forward the student package to the students, once they have completed the pre-registration package – we will not be posting these or distributing to the PIs. Once you have completed the PI portion of the registration package, scan a copy to your student. The student MUST print the forms and bring the completed package with them to registration on their first day. Complete Step-2 of TB test Send completed KRSS Registration Package to student prior to in-person registration Attend Biosafety Training session through online link

6 Common Omissions and Errors
Keenan Research Summer Student Program 2019 Common Omissions and Errors PI/Manager Missing signature on all pages End dates Matching end dates and salary Student Pre-registering on time Forgot SIN Card/Student ID/Void Cheque/Resume Missing forms from the package Doesn’t know what bench their in The PI signature MUST be completed on all documents for the package to be considered complete. Students MUST have an end date to their summer term. Please remember this date can be adjusted if their contract needs to be extended. The student can not be registered if there is no end date. For HR purposes (and accuracy), please ensure the end dates and salary amounts are matching on all forms. By completing the fillable PDF version of the form, all fields with the same information should auto-populate to ensure the correct information is reflected. We strongly recommend using the fillable form. Encourage your students to complete their forms with accuracy and read through the instructions to ensure they have all the materials required to register. This will allow for quicker registration times and ensure the students are registered.

7 Changes for 2019 to the Registration Package
Keenan Research Summer Student Program 2019 Changes for 2019 to the Registration Package A FAQ will be given to students in their packages to help them through the process. HR Action Form Pay range for Paid KRSS Minimum wage reminder is $14 Payr rates are $14, $15, $16, $17 and $18 per hour Remember to add benefit rate when budgeting for salary Criminal Record Check A Criminal Record Check for paid students only will be administered during the student’s registration session Biosafety Training Session Students will be provided a link to registering for a biosafety session through a student package sent to them by the HR Coordinator New changes to the KRSS Registration Package for PIs/Managers this year: The pay range has remained $14 for minimum wage, and there are more pay rates to choose from, $14, $15, $16, $17 and $18 per hour. Keep in mind you also have to add benefits rate when budgeting the salary which are 14.6% on top of hourly wage. So if a stuent is paid $14 an hour, with the benefits it would be $16.04 per hour. A Criminal Record Check is being instituted this year for PAID students only. Do note that the PI’s activity account will be charged the crim check fee which is approximately $25. Theircondition of employment is contingent on the completion and satisfactory result of a Criminal Check. • A few days after their registration session, they will receive an from our vendor First Advantage. The address is: • They will be told to keep an eye out for the and to check their junk mail • They will have a deadline of 48 hours to complete the once sent to them. Delay in responding will delay in receiving access. • ONLY Government ID’s are accepted for the Criminal Check process • Previous criminal checks conducted by them (Police Checks) are NOT ACCEPTED. Only the consent form from First Advantage is the only check we will accept. This next change is for Wet Bench students only. This year Research Facilities is asking wet bench students to register for an online training session through RFBMS after their registration session with us. They will be provided with a link and are encouraged to register as soon as possible after their registration.
