Data Warehouse 101 What are Trees? Trees are a part of CFS Functionality. They are a way to organize chartfields for reporting. Ex: Department tree

Data Warehouse 101 Tree Reporting Trees make up a large portion of advanced reporting in the new Data Warehouse – there are some specific set up requirements: Trees must have unique names ACROSS the campus and systemwide. One way to ensure this is to preface with your campus code - ex: CI_DEPT_TREE EB_DEPT_FINANCE SO_DW_DEPT_ROLLUP Business Unit can also be helpful to make tree names unique WITHIN a campus COINS_DEPT_ID COFDN_DEPT_ID

Data Warehouse 101 Basic DW Reporting You can create endless DW reports with just the basic filter options. Stick to the filters you know and understand Financial Reporting dashboard reports are cumulative, with some options to select specific period ranges. How you build Report formats depends on who is using them. Central Accounting – Trial Balance format with all account types. SCO, CSU, Object codes and campus accounts. Department users – Fund with Revenue and Expense. Maybe Equity, Maybe all account types, it will depend on the fund. Administrators – High level summary reports usually by campus org structure for different types of funds. Interested in the Revenue and Expense Activity and balance available. Creating Trees to organize Funds or depts. makes reporting easier for Admin reports by division or sub area. In this section --We will see a variety of different reports that can be modified to meet most reporting needs without the aid of more advanced reporting tools such as Trees or Fund Attributes. Data Warehouse 101 Basic DW Reporting Most of your reporting needs are already available in the DW reports! The flexibility to create Pivot Tables, Sections, move columns to rows, filter, sort, add or remove subtotals, add or remove columns and more! Chartfield trees and Attributes add even more customizing options and can be applied to most of the report formats. Customized groups and labels Custom subtotals where you want them Require planning, thought, knowledge of the funds and COA and time to retrofit and set up. MUST be maintained! Give yourself time to learn! Documents and videos are on the DW website. Ask for help. Session on Trees to Reports gives an example of how to create a tree for a custom Dept Report for Acad. Aff.

2019 CSU Business Conference 2019 CSU Business Conference Data Warehouse 101 Financial Reporting Dashboard Variety of Summary, by Year, Inception to date, Specific Function/Accounts and Performance reports Advanced Filter options Multiple Report Views for multiple formats Three key summary reports provide multiple format options. Manage My Budget does not include Advanced filters nor the Actuals by Period report view that the Financial Summary as of Period does. Recommend using Fin Summ as of Per over Manage my Budget.

2019 CSU Business Conference Data Warehouse 101 Financial Summary As of Period Create a report format for any type of fund here. Sample is General Fund with 3 Depts Advanced option is to use a Dept Org Tree to pull info by Division and sub area Use Not Acct Cat value 603 to remove centrally paid benefits. Things to note in this dashboard. **Always use the dropdown to select chartfield values. Use the Search features or check the box but don’t type in values in the field. Financial Summary as of Period is your “Go To” report. Most Financial reports can be created from this report tab. It also has Advanced Filters and additional report views that the Manage My Budget report tab does not. To generate a simple General fund report to see what BBA you have left, select the filters shown. Multiple DeptIDs can be selected at the same time. In this report, we are only looking at the Expense Account Type. Session Title

2019 CSU Business Conference Data Warehouse 101 Financial Summary by Period The default format for this report gives you a nice summary at the Dept, Fund and Acct Cat level. The Report View is Summarized. The Cat Level gives you a shorter report. For Account Detail, add Acct Fdescr in Col 4 and click OK. Session Title

This preserves your structure up to this point incase you get called away. Resave as “1” as you add various customizations to your report. When you are finished building your report, Save and Name it.

DW 101 – add a column Use the column 4 dropdown to add the Account detail field, Acct Fdescr. Click OK at the end of the row to update the report. The Acct Fdescr has been added as a yellow column Fdescr means field descr. For the chartfields, the DW gives you the option to choose just the cf or the cf with its descr. You will usually choose the one with the Fdescr. Cl Session Title

Data Warehouse 101 – add Subtotals Add subtotals (or remove them) by RIGHT Clicking on the YELLOW column header. Select Show Subtotals, AFTER Values To remove Subtotals Right click on column header, Show Subtotals, NONE. Point at the yellow column header, Right click, Select show Subtotal, After Values. Menu takes about a count of 7 to display the first time. Session Title

2019 CSU Business Conference Data Warehouse 101 --Budgeted Fund Report format Results with Subtotals on Acct Cat column. Good report for General Fund or any budgeted funds. Adding subtotals to the Acct Category column gives you nice totals on Salaries and wages, Benefits, telephone, travel, communications, etc. Add additional budgeted funds to the filters to see all in one report. 47 Tip—Exclude centrally managed Benefits
2019 CSU Business Conference Session Title Tip—Exclude centrally managed Benefits If benefits are centrally managed for your main operating fund, you can easily exclude them from the report by selecting NOT Acct Cat value 603 in the main filters. Now the report will only show the budgets that the department is responsible for. NOTE: Other budgeted funds where benefits are the responsibility of the Dept should be on a separate report.

Data Warehouse 101 Report Sorting All report results are automatically sorted from Left to right. Change the order of the yellow columns to change how the report sorts data. This report is sorted by Dept, then by Fund, then by Acct Cat, then by Account. Session Title

Data Warehouse 101 Add Pivot Table When you have multiple DeptIDs or Funds, use a Pivot table to view them separately within the same report. Right Click on the column header you want to move, select Move Column, To Prompts. Also saves space when printing You can also use a Dept Org tree to pull in Depts for an entire division or sub division with out having to list them all in the filters. Session Title

Data Warehouse 101 Add a Pivot Table If a Dept has multiple Funds, set the Fund column as a Pivot and view each Fund separately. Each department has its own report in the format that is created. Session Title

Session Title Undo a Pivot Table To restore the field to the body of the report, LEFT click and HOLD on the gray tab on the LEFT end of the Pivot field. Drag the field back down to the report and position the narrow bar representing the field BETWEEN or to the Left of the report. Release.

2019 CSU Business Conference Data Warehouse 101 Multiple Business Units Select the additional BUs in the Filter. Remove the Fund selection, leave it blank. Apply Filters again Be sure DeptID is selected and Revenue / Expense If your department has funds in multiple Business Units, you can view all of the expenses in one report for easier analysis. Be sure you can look at the funds in the same manner. In otherwords, only look at expenses or Revenues for Budgeted funds in different BUs. Keep in mind, the report format for a grant with a Project field may be different than what your campus uses for General Fund. Session Title

Data Warehouse 101 Click and Drag feature Add another yellow column for the BU. Click OK. The Business Unit field appears in the far right, new yellow column. To move the column: Point at the gray bar above it. (cursor is 4 points) LEFT mouse click and HOLD. A second gray bar appears signaling you have HOLD of the column.

Data Warehouse 101 Click and Drag feature Drag your courser slightly down and to the left and position the narrow bluish column on the left of the Fund column. Let go. The column moves to that position and the report is now sorted by BU first, then fund for the selected DeptID in the Pivot table. This technique takes a couple of tries to master but is well worth it! Now the data for each dept is sorted by Business unit then fund. Session Title

Data Warehouse 101 Click and Drag Easily see all expenses for all funds by BU for this DeptID. Drill to see detail Budget or Actuals transactions in any fund in any BU all in the same report. Makes reconciliation easier. SAVE this version. Session Title

Session Title Drill Down - Salary Click on any non-total dollar amount to drill to the detail. Drill downs provide more detail than many Actuals or Budget Queries in CFS. Drill on salary lines. Use the doc Ln Descr as a PIVOT and move the Per to the left to see data for each employee by Period. Drill on Salaries to see detail transactions. In most salary drilldowns, the Doc Ln Descr column begins with the EmplID if the payroll comes from the State controller. Use this field as a Pivot to sort data by Employee to verify payroll that is hitting your department. Verify when GSIs are paid or any other pay changes for the employee.

Session Title Drill Down - Travel Drill down on Travel accounts. Pull Supplier Name up to PIVOT and easily see who has gotten paid for their trips and the total paid to them so far. At CSUSB, there is also a Concur reference in the Doc Ln Descr.

Session Title Drilldown - Supplies Pull any field up to prompts to see all data for that field. Pull Per up to Sections to see the data totaled by Per. Column headers appear for each Section. Use Pivots and Sections together to quickly organize the drilldown data. This can easily be exported to Excel to easily remove unwanted columns quickly and save the data.

2019 CSU Business Conference 2019 CSU Business Conference Data Warehouse 101 Report View – Activity Summary By Accounting Period On the same report, change the Report View to Activity Summary by Accounting Period You will need to reset the changes you made to the report in the previous report view. Drill down on Actuals detail activity for any month. Use for Revenue and expense trend analysis or monthly reconciliation. Export to Excel. Run the report for several Fiscal years, export each to Excel. Cut and paste to one spreadsheet to easily compare years by period. Change the top filters to Per 12 and rerun the report. SAVE. now it will add the monthly info each time you open the report w/o changing the per.

Select your basic filters NOTE: The fund is left blank in this sample to retrieve all Open POs in all SBCMP funds for this DeptID. Option: select by Doc ID (PO #), Supplier, or Supplier Descr In this sample, I chose the department ID but didn’t designate a specific fund. This is a good report to run this time of year to keep track of open POs and to be sure they are closed Session Title

Easily see the PO number, Supplier name and line# and descr. for each line that is still open on each PO. Add Subtotals to the DocID (PO) column to see total PO amount that is still open. I can see all of the open POs for this DeptID in all of their funds. Very handy this time of year for reconciling and clearing out old POs that are still open or have danglers. Session Title

Click and Drag the PO Ln # col up to Sections Export report to Excel or Print. Drilldown can’t be Saved. The third report option, Open PO Transaction Report, shows the history for the selected PO that still has a line open. Similar to this layout. Can be saved as a report. Can be lots of data so maybe just run for selected POs.

Data Warehouse 101 Actuals Reports The Actuals Reports can be a good alternative to CFS queries. Actuals Transactions contains all of the columns you see in an Actuals drilldown. Customize and save as a report. Actuals Reporting by Attributes contains selected columns from the drilldown and has a format using the yellow column headers for sorting. Quick and great for a simple list of your transactions.

If you select 60-Expenditures, be sure to also select NOT Acct Cat = 603 to exclude benefit lines when benefits are paid centrally for that fund. You can also choose Transaction type filters related to the Journal. TIP: Depending on the time of the year, this report can contain a lot of data. Set up the report for just 1 account first, then go back and select all expenditures. TIP:SAVE the report when you get results as “1”. Then name when your format is final.

Use the other report views to format limited columns of data. You can add columns to the other two report options but I like to use the third to see all and then remove those I don’t want.

2019 CSU Business Conference Data Warehouse 101 Actuals Transactions by Period TIP: Save as “1” before proceeding. The resulting format lets you view each Account by Period. Column headers are repeated for each section and each period has a Sub total. Scroll to the right to see additional data for each transaction. Key data fields are positioned on the left half of the screen. Unwanted columns can be Excluded to customize the report. Save for future reference. This report can be a good alternative to a query. 75 Actuals Transactions by Period
2019 CSU Business Conference Data Warehouse 101 Actuals Transactions by Period Move PO and PO Ln (far right of data) to the right of Amount using Click and Drag. When there is a PO that is being paid, this format allows you to easily see what PO line has paid, the amount, the PO and the PO line Descr SAVE and name the report for future reference. Add all of your accounts, change the Fund or DeptID, Fiscal year and per as needed. TIP: Save as “1” and exclude unwanted columns by using the Right Click Menu on the column header and choosing “EXCLUDE”. TIP: Best to use only one fund and one DeptID per report using this format. Save each report for each change. Rearrange or remove columns to create the custom output you are most comfortable with. Columns that are Excluded can be selected to Include again. This format give you PO # and line right next to the Doc Ln Descr and amount so you know exactly what was paid. The Supplier and Invoice number are also included. Session Title

No Supplier, no Supplier Name, no PO# or PO Line # This report may work great when someone wants only the basics of what was spent. TIP: Move Period to the left of Account to see all Account Activity for the period. Yellow columns are part of the transaction line so you can move columns as desired. Show moving period to far left to sort by period. OR move per up to Pivots so you can see all trans for each per.

This sample --Use Report View - ProCard Transaction Details Right Click and INCLUDE additional columns, EXCLUDE unwanted columns. This report is set up by PC Owner using a Pivot Table. Period is moved to the right of Account. Transaction based so all columns are interchangeable. Move using Click and Drag to desired location. Sort is left to right You can have multiple PC Owners and keep track of all of their purchases. PC Descr is from their filling out of the PC distribution when they split the purchase to different cf strings. Invoice date may be different month than the Trans date. Set up near Period for easy ref. Should tie back to total for this account/Per in the GL summary or trans report.

2019 CSU Business Conference 2019 CSU Business Conference Data Warehouse 101 Sponsored Programs - Grant Reports To fully use this dashboard, the campus needs to be using the CFS Grant Module for tracking their Grant /Sponsored Project information. Elements from the Grant Module are available in all of these reports. The Sponsored Programs dashboard contains three report tabs with multiple report options.

Data Warehouse 101 Manage My Grant report Select the BU, FY, Per and Account Type Select the PI Name if your campus is using the Grant Module. When the PI Name is used as the filter, any grant associated with the selected names will appear in the report once it is set up in the Grant Module. You don’t have to remember to keep adding the new Grants or the Funds.

Data Warehouse 101 Manage My Grant Set columns as shown Set PI Name as Pivot Table PI Name is from the GM, Project End Dt is from the Project chartfield IDC Accounts can be excluded in the top filters using the Not Account filter. Even if you aren’t using the GM yet, you can still use this report and see the Project End Date which is very useful if you set the Project dates up to match the grant end date.
