Welcome to the Campus Solutions 9.2 Workshop.

2 Housekeeping Introductions Stage Access Talk about it, see it, do it!
Handouts Questions Let’s do some housekeeping: -Introduce the trainers and maybe go around the room to say names. There will be a sign in sheet to get attendance. -At the top of your Activity Worksheet there instructions for how to get into Stage 9.2. If you haven’t followed those steps already please do so now. If you have problems logging in please raise your hand or let a trainer know and they will assist. -This workshop has three parts to each topic: (1) talk about it, which will be where we tell you what the functionality does, (2) see it or demonstrating the topic, where we will be showing you how to use that functionality on the screen, and (3) do it, which will be your opportunity to then use what we talked about and showed you to complete the associated activity on your Activity Worksheet. Hopefully most learning styles will be accommodated. -When you came in you should have grabbed one of the Activity Worksheets and any of the Job Aid handouts that you felt applied to you or would be useful. At the end of the presentation if you don’t want to take these with you we will gladly collect them for our next training session. We also have links in this presentation to our Training and Documentation page where you can find all of the resources we are using today. -This is a workshop, meaning we encourage questions. Feel free to ask questions throughout as they apply to topic we are discussing. We will have two “stopping points” for questions as well if you want to wait until then to ask then.

Favorites Homepages Navigator Other Tools Student Navigation Here’s a snapshot of what we will be discussing today. It’s really broken into two halves: (1) general navigation and (2) student experience or navigation. We’ve structured this so that if you don’t work much with students and you don’t want to see what the Student will experience you can make your exit when we transition to Student Navigation. Is there anyone who think they may sneak out then? We will make sure to let you know we are transition so you can leave.

5 Introduction to 9.2 Before we really get into the nuts and bolts of navigation and what it will look like let’s introduce you to Campus Solutions 9.2.

6 What is 9.2? This is a technical upgrade from Campus Solutions version 9.0 to 9.2. 9.2 contains enhanced mobile functionality. Primarily look/feel upgrade, very little functionality changes. Campus Solutions 9.2 is a technical upgrade. Campus Solutions 9.2 includes functionality that allows for mobile-friendly pages for students. However, primarily it is the look & feel that is changing in this upgrade with very little functionality changes.

7 Why are we upgrading to 9.2? Some additional features
Enhanced Mobile Functionality Oracle Support for Campus Solutions 9.0 ends in December 2019 We upgraded to 9.0 in June of years ago! So some may ask, ‘Why are we upgrading?’. Campus Solutions 9.2 comes with additional features and enhanced mobile functionality. Oracle support is ending for 9.0 in December 2019 which makes this a perfect time for an upgrade to our environments. Campus Solutions 9.0 was upgraded in June of 2008, which was over 11 years ago. Similarly to cell phone technology, student information systems continue to improve and change to meet the needs of students, staff, and faculty. It’s like cell phone technology. Everything changes! 8.0 9.0 9.2

8 When are we upgrading to 9.2?
Planned Outage for Upgrade Friday, July 12 at 5 PM until Monday, July 15 at Noon There is an alternate/back up date scheduled for the weekend of July 26th should the project not meet critical benchmarks and need to be pushed back. Campus Solutions will be upgraded to version 9.2 the weekend of July 12th starting at 5PM Friday and is anticipated to be down for the upgrade through Monday, July 15th at 12PM. Please be aware that there is an alternate weekend two weeks late should the upgrade project fail to meet critical benchmarks.

9 Common Verbiage Now let’s establish some common terms that we will use throughout this presentation.

10 Common Verbiage Classic: Your current navigation and style in 9.0
Fluid: Dynamic pages that adjust based on screen size. Desirable for mobile devices. To start us off we have Classic and Fluid. Classic is the current look and feel you are used to seeing 9.0. With 9.2 Oracle is migrating more and more pages to the Fluid format which allows for a dynamic page that adjust based on your screen size. Such as the screenshot you see here. The same page has formatted to fit the small screen of a mobile phone. Oracle continues to develop Fluid pages but not all pages are Fluid so you may still find some Classic elements available.

11 Common Verbiage Tiles: A navigation icon found on a Homepage. Can be a direct link to a page or collection of pages. Page Tiles: A Tile that is tied to a single page. Campus Solutions 9.2 offers with it many ways to navigate. One of the most common ways to get around will be through the use of Tiles like those in the screenshot below. There are really two forms of tiles: Page Tiles which will take you to a single page like the Add/Update a Person Tile below.

12 Common Verbiage Navigation Collection or NavCollection: A collection of pages, grouped together for easy navigation. NavCollections are usually associated with Tiles, but Tiles don’t always have NavCollections. Created/maintained by CTS. The second type of possible Tile you might see will have a Navigation Collection, or NavCollection, attached. A NavCollection is a collection of pages grouped together for easy navigation. These are useful tools as the pages load much quicker than navigating via other methods. It’s important to note that Oracle delivers many NavCollections and Tiles and CTS, in conjunction with the Campus Solution User Groups are developing NDUS collections as well.

13 Common Verbiage Favorites: A collection of pages you refer back to often and want easy access to. Navigation Bar or NavBar: A control panel that provides quick access to pages and folders in CS. Some other terms we will use throughout are Favorites. Which you will likely recognize. Favorites are a personal collection of pages you refer back to often. The Navigation Bar or NavBar is a control panel that offers quick access to pages, folders in the Navigator, Recent Places, your Favorites, and other items. You can access the NavBar by clicking on the compass in the top right hand corner.

14 Common Verbiage Homepage: A collection of Tiles for easy navigation. There are both delivered and personal/customizable Homepages. PUM: Acronym for PeopleSoft Update Manager. This replaces “Bundles” in 9.2. PUMs allow for a high degree of flexibility in installation. Self Service: A menu or collection of pages used by the student to complete tasks in Campus Solutions. The Student Center is located in Self Service. Homepages are one of the newest ways to navigate in Campus Solutions 9.2. They are highly customizable and allow for a very personal navigation experience. You may hear the term PUM in the future. This refers to the way we will get updates from Oracle in the future and replace Bundles. Another term used in Campus Solutions 9.0 that you will continue to see in 9.2 is Self Service. This is a menu or collection of pages used by the student to complete tasks in Campus Solutions. For example Student Center is located in the Self Service menu.

15 Common Verbiage Student Center or Student Services Center: The student’s primary method of completing tasks in Campus Solutions This is available in 9.2 but no longer the primary method of activity for students. And finally Student Center itself, which is also known as Student Services Center. This is the student’s primary method of completing tasks in 9.0. This remains available in 9.2, in fact the screenshot you see here is from the 9.2 environment. However, in 9.2 it is no longer the primary method for students to complete tasks like registering for classes or paying bills. These actions will primarily be completed by the student on the Student Homepage. For more information on the Student Homepage we refer you to the Student Navigation Lunch and Learn which was held a few weeks ago. This recording and slide deck can be found on our Training & Documentation page. There is also a demonstration video coming soon to show this.

16 Navigating Alright now let’s get into what you’re really here for.

17 Favorites First let’s talk about using Favorites.

18 Navigating with Favorites in 9.2
Your favorites will still be available in 9.2!! Current Production Favorites will be copied to the new 9.2 Production. Go through and clean-up ahead of time! You will still be able to navigate using your favorites as they are in Production!! These will come over for go-live weekend, so now might be a good time to clean these up so your favorites are linked to current pages. Navigating with Favorites in 9.2 is done using the NavBar. Let’s do a quick demo.

Hands On Activity – Activity 1 Click on the NavBar Click on My Favorites Check to see if your Favorites from Production are there Click Edit Favorites Delete a Favorite or Reorder your Favorites Save Here’s your first activity, Activity 1 where you get to do the same. If you experience issues please let one of the trainers know and we will come over and assist.

21 Navigator Alright, now on to Navigating with the Navigator.

22 Navigating with the Navigator
This is the same idea as clicking “Main Menu” in 9.0 Menu Structure remains the same. The Navigator is really just a new word for the Main Menu in 9.0. If your typical navigation method is using the Menu or you have a page you need to get to that is not in your favorites or available in any other navigation method you can use the Navigator to get where you are going. Just click on the NavBar and then Navigator. The Menu structure remains essentially the same with only one or two minor changes. For example, Set Up HRMS is now Set Up Common Objects.

25 Homepages Next we will take about Homepages which really are the newest and coolest way to Navigate.

26 Navigating with Homepages in 9.2
Favorites on steroids or shared favorites Delivered Homepages: Campus Solutions Administrator Homepage Faculty/Advisor Homepage Student Homepage Homepages are based on roles. Security applies! You won’t be able to access content from a Tile that you can’t get to any other way. Able to create/personalize your own Homepage Add Public Tiles (with NavCollections) Add Page Tiles We can think of homepages as shared favorites or delivered tiles and navigations. They are highly customizable and make getting around easy and quick. We have several delivered homepages. The Campus Solutions Administrator homepage will be delivered for staff with Campus Solutions administrator roles from the different modules. The faculty/advisor homepage will be available for those users with the faculty role. And the student homepage will be delivered for all students. Homepages are based on roles and your security will apply. You won’t be able to access content from a tile or homepage that you can’t get to any other way. You also have the ability to create and personalize your own homepages. You are able to add public tiles with attached nav collections. You’re also able to add page tiles that will link you out to a specific page in Campus Solutions.

27 Campus Solutions Administrator Homepage
Here you see the Campus Solutions Administrator Homepage. The purpose of this Homepage is to have a common landing page for administrative staff at your campus. You will see Tiles on this Homepage that are associated with your Security Roles. The great thing about this Homepage is when you have a new staff member once they have their Security for Campus Solutions setup and the appropriate Roles they will automatically have this Homepage and be able to get to the most commonly used pages in these areas. We like to think of the pages within each of these Tiles as “quick links” or “shared favorites.” Each functional user group will have the ability to provide feedback on their module’s Tile content.

28 Student Homepage Desktop Mobile
Here we have the Student Homepage. This homepage contains tiles for the student to access all of their information easily on their desktop or mobile device. On the left is what the homepage looks like on a desktop, on the right is what it looks like on a mobile device. We are going to show you more about the Student Homepage and even the mobile version towards the end of our Workshop. Desktop Mobile

29 Faculty/Advisor Homepage
We also have a Faculty/Advisor Homepage. Users with the faculty role will have this homepage and this screenshot shows what is available on that homepage. We do have a video that you or your Faculty can refer to on our Training and Documentation page that shows how to use this Homepage along with a Job Aid. There should be some copies of that handout available here too if you wanted to take one back to share with a colleague.

30 Demo Let’s do a quick Demo of how to Navigate with Homepages. We are going to focus on the Campus Solutions Administrator page as most of you will have that Homepage. Please keep in mind that our security we are using allows us to see all content, so your screen may look different as you work through the Activity after this Demo. Click on the Home Icon Click on the Homepage List (top) Click on Campus Solutions Administrator Homepage Pick a Tile View/Navigate within the Tile Click the Home Icon or the top left-hand corner go back button Click another Tile or visit a different Homepage

Hands On Activity – Activity 3 Click on the Home Icon Click on the Homepage List (top center) Click on Campus Solutions Administrator Homepage Pick a Tile related most closely related to your job. View/Navigate within the Tile Click the Home Icon or the top left-hand corner go back button Click another Tile or visit a different Homepage you may have access to.

32 Personal Homepages Users also have the ability to create personal homepages and customize their homepages. When you click on the icon that looks like three dots, you can click on the Personalize Homepage link. Let’s work through a few things you can do to Personalize your Homepage and create a personal Homepage.

Click the “three-dot” button or “Action List” at the top of the page. Click “Personalize Homepage” Show them how you can rearrange the delivered Homepages to meet your preference. Click “Add Homepage” Name Homepage and click “Add” Click Save Click “Add Tile” Click “Peoplesoft Applications” Review the list of Public Tiles Pick a Public Tile Click “Add” Tile” Pick another Tile. Show how you can deleting non-required Tiles with the red “x” Click the NavBar Icon Click on the Navigator Navigate to a page in a Menu that you use often Once on the page Click the “three-dot” icon or “Action list” Click “Add to Homepage” and choose a Homepage to add this new Page Tile too Click on the Homepage List (top) and select the Homepage you added this Page Tile too. Alright we have four activities for you to work through on Personalize Homepages: Activities 4-7. Feel free to work through these at your own speed and we will be around to assist. We will move through the activities on the screen when most people have finished that activity.

Click on the Homepage List (top) and select the Homepage you added this Page Tile as well.

38 Other Tools Alright. The remaining part of General Navigation tools we have for you we’ve categorized as “Other Tools.”

39 Other Tools: Search A very cool feature now available to you is the Search feature. In the top right hand corner click on the magnifying glass and type in the search word you want to use. For my example, I am searching for the word “query.” It returns all pages I have access to that has this word in the name or description. You can also use advance search features to filter or refine your search. This is really handy if you are looking for a page that you don’t use often and haven’t saved to your Favorites or Homepage. If you’re not sure the menu, rather than clicking around trying to find it search for what you think the name of the page is and review the results.

Hands On Activity – Activity 8 Click on the Magnifying Glass Icon. Search for something that mostly closely relates to your job Review the results Examples: “query”, “grades”, “enrollment”, “account”, etc. Instead of Demoing this we are just going to have you work through the activity to see how easy and cool this feature is.

41 Other Tools: Classic Home
If you prefer the Classic version of Campus Solutions you can use Classic Home Not mobile friendly or Fluid! While available now, Oracle does not plan to continue maintaining this view for long. At the beginning of this presentation we mentioned that there are some elements of Classic look and feel available. If you aren’t quite ready to switch to totally over and prefer to navigate using some of the old methods, you can use the Classic Home link in the NavBar. It is not mobile friendly or Fluid though. And while it is available now, Oracle does not plan to continue maintaining Classic elements for long, so feel free to use it as you transition but is best to start familiarizing yourself with the new look and feel as soon as you can.

When you click the Classic Home icon in the NavBar it will bring up a homepage you’re more familiar with seeing in Campus Solutions. You’ll also see the traditional left side navigation menu, which has been replaced with the NavBar and Navigator on the right side. You’ll notice that Breadcrumbs are still not present on the Classic Homepage.

If you click on one the menu items you can navigate in the middle just as you can in Campus Solutions 9.0 now.

Hands On Activity – Activity 9 Click the NavBar Icon Click on Classic Home Using the left-hand Menu, navigate to a page you frequently use Alright now you try to use the Classic Home to navigate with this activity.

45 Questions? Before we move on to Student Navigation what other general navigation questions do you have? If there is time for a short break feel free to take it. If people need to leave this is a good time.

46 Student Homepage The remaining portion of our Workshop is going to be about how a student experiences Campus Solutions 9.2.

47 9.0 Student Center Primary methods of completing tasks were using the Student Center and Self Service Menus Not mobile friendly Still available in 9.2 Student Services Center (Admin View) available Currently today in 9.0 students’ primary method of completing tasks in Campus Solutions is by using the Student Center and Self Service Menus. The Student Center and 9.0 are not currently mobile friendly which is why we currently have a product called Highpoint that provides a more streamlined mobile application. However it doesn’t provide all of the functions that Campus Solutions delivers. The Student Center remains available in 9.2, in fact the screenshot you are seeing now is from 9.2. A quick note regarding the Student Services Center or admin view of the Student Center, this continues to be available in 9.2 as well.

48 9.2 Student Homepage The Student Experience in 9.2 is designed to be mobile friendly, or Fluid. More intuitive and in-line with other mobile activities. No features “turned off” like they were in HighPoint Oracle continues to develop more mobile friendly pages. However, some existing pages may still appear as they do on a desktop In 9.2 the Student’s Experience is more mobile friendly with a mobile application that scales to the size of the device it is being viewed on, which is known as Fluid capability. The Tiles they are presented with are more in line with other mobile activities we all complete on a daily basis and are more intuitive. With the introduction of Fluid capability we will no longer have to rely on HighPoint, where some features were disabled as they did not integrate well with Campus Solutions, like a student’s ability to accept or decline financial aid awards. Students will now be able to complete all functions they can do on a desktop on their phone. No features are disabled. Please note that Oracle does continue to develop more mobile friendly, or Fluid, pages. However, some existing pages may continue to appear as they do on a desktop or in “Classic View”. If time allows we are going to give you a short demo of the Student Homepage on a mobile device at the end.

49 Demo Show the Dynamic Tile on the Homepage
Visit the Academic Progress Tile. Show them the Academic Progress page/report. The Academic Progress Summary for a student shows in graph format specific requirements within their academic program. Click on Advisors and show how they can see Advisor info.

50 Manage Classes Tile: Class Search
The Class Search and Browse Course Catalog will now utilize Elastic Search. Elastic Search for Class Search and Browse Catalog is a new search engine that will be available to students in the 9.2 environment.  Elastic Search is a more robust search engine that allows for keyword searches and is mobile friendly.  Desktop 9.2 Desktop 9.0 Mobile

51 Financial Aid Tile on a Mobile Device
Just to make you aware of a unique feature of the Financial Aid Tile: Oracle reformatted the Financial Aid pages for students to be easier to use on a mobile device. This results in different page names for a student on a phone than they will find on their desktop. Campus Solutions will be producing a side by side comparison sheet and will publish this on the Campus Solutions Training & Documentation page so that those users who are helping students accept/decline their awards will be able to direct students using different devices. This will also be shared with the Financial Aid User group. For today’s discussion we will only be covering the desktop version. Desktop Mobile

52 Mobile Device Campus Solutions 9.2 is mobile friendly.
Fluid or scalable with your device. Oracle continues to develop more mobile friendly pages. However, some existing pages may still appear as they do on a desktop That gets us through all of the Tiles available on the Student Homepage. Let’s talk more about using this Homepage on a mobile device. It is very mobile friendly with scalable, Fluid, pages as shown in the screenshot. Just a reminder that Oracle and CTS continue to develop more Mobile Friendly pages but not all pages are formatted for the smaller screen yet. Also, as we mentioned Financial Aid has different pages on a Mobile Device than a Desktop.

55 Wrapping Up Modern Look and Feel
Many ways to navigate, allowing for a highly personalized experience. Staff with Stage access are encouraged to test and grab screenshots for campus communications and websites. (Available May 13) Wrapping us up, Campus Solutions 9.2 brings with it a whole new modern look and feel for students and staff. It also allows users to customize their navigation experience with Homepages, Tiles and NavCollections. And continues to use familiar tools like Favorites and a menu system, now called the Navigator Users who have Stage access are encouraged to test in when the Stage environment as well. Use the activities as a guideline to prepare for navigating.
