Which means there are thousands of specifications and customer documents to maintain current revisions of, and be compliant with. A few challenges…

When a document or specification revises, we need to know several things: What changed? Does that change impact anything we make? If so, what part numbers does it impact? Did we write a Work Instruction or SOP for this as well? Did we communicate this change to everyone involved? Did the actions get done?

P: I wanted a way to send the review to each department that needs it, without forcing every department to read something that wasn’t relevant to them. Quality Alert! This is great when: Formal training isn’t needed.
We want to give departments a heads up about something. Work Instruction or Process changed. Can be used in conjunction with formal training or live meetings to make sure everyone got the message.

Go to the document properties Linking can be done in batches if you have a few that are dependents of the same spec, but usually they are a combination of a few. Add Reference to identify the parent specs. When uploading a new document: Use “Dependent Of” to identify parent specs If you are in the "parent" document - and you want to connect "child" documents, you will click on Add Dependency. When you are inside the child document properties, click "Add Reference" to point to the upper level documents. In other words: To point up a level - Add Reference. To point down a level - Add Dependency. Child documents will go into edit when the parent is put into edit. Parent documents will not go into edit if a child document is edited. The editing river flows down.

Reports can give you your spec level & where found – if you want to add this info to each document. (manual process) I already have customer, rev level, and how to check rev level information in an excel database so I don’t plan to add that to Qualtrax. Folder Properties Uncheck inherit settings from Parent Custom Fields Tab Add Custom fields (Rev / Customer) Save Changes – Apply to this folder only
