Challenge To stay up-to-date on the latest developments within information retrieval for systematic reviews, health technology assessments and other evidence syntheses Increasing numbers of research papers about information retrieval for HTA, systematic reviews and other evidence syntheses are being published in scientific journals, but it is time-consuming and demanding to keep up-to-date with the latest developments in the field. An IRG project entitled Summarized Research in Information Retrieval for HTA (SuRe Info) was launched in 2011 to meet this challenge.

Summarized Research in Information Retrieval for HTA
SuRe Info Summarized Research in Information Retrieval for HTA SuRe Info is a web resource that provides research-based information relating to the information retrieval aspects of health technology assessments and systematic reviews condensed into an easily digestible format. The aim of the project is to provide information specialists, and others who conduct systematic searches, easy access to the current methods papers related to information retrieval - and in that way support an evidence based information retrieval practice. Previously the project was called IR (Information Retrieval) Reference Tool, but we changed the name to SuRe Info at the end of last year (a more descriptive name). July 23, 2019

Main menu How the website is structured -> The web site consists of two sections (entry to information): 1) Information on general search methods common across all HTAs 2) Methods to use when searching for specific aspects of HTA A click on a heading name will take the user to a chapter summarizing the current research evidence within the respective category/domain (a concise summary of the current research findings concerning the particular information retrieval aspect)

Chapter As long as there is available evidence, the chapters aim to include the following information: Introduction (definition of the domain from the Core Model Handbooks) Where to search How to search Reference list of the included studies

Publication appraisal
In addition, the SuRe Info project team writes structured appraisals of all the included studies (publication appraisals). A specific format for structured summaries has been developed for this purpose.

Identification of studies
An initial collection of research papers Chapter specific search strategies in selected relevant databases Alerts for prospective identification of evidence At the beginning of the project: A collection of research papers was created using the reference management software Zotero: 528 references retrieved from group members’ own reference databases, the Cochrane Handbook’s Searching for studies chapters, the HTA Core Model handbooks and the Cochrane Methodology Register. This collection has been used for piloting of the structure of SuRe Info, inclusion and exclusion criteria, publication appraisal template and controlled vocabulary. In order to identify new evidence: We have run chapter specific search strategies in selected relevant databases (PubMed, MEDLINE, Embase, LISA (Library and Information Science Abstracts), Web of Science – citation indexes, Library, Information Science & Technology Abstracts™ (LISTA), CINAHL). Alerts are set up for prospective identification of evidence as well.

How do we create the content?
Two authors per chapter Chapter authors can not write appraisals for their own publications Texts prepared by non-English speakers are checked by an English speaker We try to avoid duplication of work and re-inventing the wheel The group will try to avoid duplication of work. Where the evidence base is already well described and up-to-date, links will be provided to such resources.

Controlled vocabulary to tag articles
The value of a publication type to SR/HTA; how to identify publication types Designing strategies where the general principles are described Designing strategies: specific Other issues related to information retrieval research for HTA Categories reflecting the elements which may be addressed within an HTA Study design (using MeSH headings) Topic area (using MeSH headings) The keyword structure (controlled vocabulary) to tag included papers has been finalized. Keywords we have in the structure per today focus on subject indexing of the research. We have considered including keywords for publication type (meaning physical format of the document), but have decided to leave these out. We have chosen a broader level of indexing that we think we should stick to at the moment. To develop the structure further by creating more detailed indexing for research methods (how the research was done) in addition to the subject indexing (the topic of the research) is going to be a parallel, but separate process. If somebody asks: A. Where the research paper explores the value of a publication type to HTA or investigates how to identify publication types one or more of the following index terms can be applied to the record. For example: grey literature (Scope: use to index papers investigating any publication format which is not a journal article, book or book chapter, collections of grey literature, how to identify grey literature and investigations of the contribution of grey literature to HTA) ongoing trials (Scope: use to index descriptions of this information type, collections of trial records, how to identify ongoing trials or investigations of the contribution of ongoing trials as an information type to the HTA process) C. Designing strategies: specific (more than one may be applied to each record). For example: controlled vocabulary (Scope: this is used to index papers describing the development, use and strengths of controlled vocabulary either generally or specifically (e.g. MeSH) and how to identify controlled vocabulary terms to develop search strategies) hand searching (Scope: use to index papers providing explorations of the techniques and methods of handsearching and the value of handsearching for the HTA process) D. Other issues related to information retrieval research for HTA. For example: Search filters (Scope: use this with methods papers on search filter design, comparison of search filter performance) Limiting searches (Scope: use this with papers describing how to limit searches or studies on impacts of limits such as language, date, publication type, country) Peer reviewing (Scope: peer review of literature search strategies- how to do it, what to report and evaluations of the impact of peer review, resources for peer review) G. Selected high level MeSH is suggested for health occupations, health care and disease areas.

Feedback system A feedback system has been created and added to the website: for comments, suggestions, questions We hope to get input from the users on new evidence (articles) that we have missed

Workspace on the net for sharing and documenting
The project team collaborates via and holds regular teleconference meetings. The group has had 7 telephone meetings during the last year. An internal work space on the internet (at has been created for documenting the work process and sharing files: -> To save templates, minutes of the monthly status meetings, progress reports of our project group and other general documents. -> To have an own folder for each SuRe Info chapter where we save search strategies / alerts we have set up in the different databases and provide an overview of articles we have gone through in full text (reference, when read and by whom, included or excluded, and reasons for exclusion) July 23, 2019

The chapters will be updated twice per year. Chapters that are currently under development (in-process) will be completed. The group will start to undertake work on the remaining chapters (not yet started). Chapters concerning methods used when searching for specific aspects of HTA will be prioritized, but we aim to start work on a selection of chapters concerning general search methods common across all HTAs as well. Some additional IRG members with appropriate content expertise will be invited to be involved in the project. Instructions for completing chapters and appraisals, in the form of a concise manual, will be developed to assist the project team in the development work of the SuRe Info chapters, and to help assure the quality of the content.

Targeted marketing The following promotion has already taken place:
An information item about the project was published in the March issue of the HTAi newsletter A presentation about SuRe Info was given at the annual workshop of the German Cochrane Centre in Freiburg (Germany) on April 5th 2013 SuRe Info was presented and discussed at the meeting of EUnetHTA Work Package 8 (HTA Core Model) in Helsinki (Finland) on April 18th > The group will continue liaise with the EUnetHTA Work Package 8 team to further investigate possibilities for future collaboration. An article about SuRe Info was published in the Journal of the European Association for Health Information and Libraries (JEAHIL), June 2013 Issue. A leaflet in the HTAi2013 delegate bags A presentation at the pre-conference workshop “Methodological developments in advanced bibliographic searching and assessing research impact” Now when the website is “officially” being launched ->The group will develop strategies for targeted marketing of SuRe Info, and will start to promote it as soon as possible. Relevant mailing lists, newsletters, journals, websites and conferences will be considered for this purpose.
