UCLH’s EPIC: a new integrated electronic health record system (EHRS)

Go-Live date: 31 March 2019 UCLH is moving to EPIC a new Electronic Health Record System (EHRS) on the early morning of Sunday 31 March 2019 This will replace paper notes and integrate several of our existing systems into one single record. The new system will utilise DocMan Connect to transfer hospital correspondence to GPs. Reduction in clinical activity during go-live

Process of E-RS referrals & Advice and Guidance will not change.
EPIC will improve triage as all triaging will be done on EPIC so it’s more visible at all stages.

EpicCare Link is a secure web-based portal to Epic.
GPs will be able to securely access clinical patient information from UCLH via EpicCare Link. It offers view-only access to patient records and GPs will be able to view the latest information about shared patients – from procedures and tests, appointments, discharge summaries and clinic letters - in real-time.

Reminder: What are the benefits?
UCLH has many different clinical systems and applications across our hospitals which make it difficult to streamline our services and communicate effectively with each other, our patients, and our healthcare partners. All this means that appointment times may get lost, admin tasks are duplicated, and patients may have to wait longer to see the right people. Our new EHRS (enabled by EPIC) will address these issues and help improve staff and patient experience.

Research Benefits EHRS will also strengthen our research capabilities and make it easier for patients to take part, if they choose to do so, helping to improve our understanding of diseases and treatments for the future. The system will facilitate clinical research leading to innovative new treatment options and other benefits for health care.

Empowering Patients: The system will also include a patient portal, MyCare UCLH, which will give patients access to their own data safely and securely, including discharge summaries and follow up letters. One of the features of the new patient portal MyCare UCLH is that patients can submit a cancellation/reschedule request from within their portal rather than calling UCLH.

Go-Live is just the start
Go-live is just the start. We will first optimise then innovate. After go-live we will continue work on optimising the system for different specialist areas. A team of designers will continue to support system optimisation and innovation over the entire 10-year contract.
