2 Last Year’s Achievements and Recent Innovations

3 InDesign Layout Tool Part I, Part II and the quarterly index of Part I of the Canada Gazette are now done entirely with this tool, which is also being used for the production of the cover pages of the Part II consolidated indexes and of Part III. During the last year, we also upgraded our InDesign software and we intend to start using the 2015 version of that software as soon as we can in order to ensure that we have access to the most recent technologies.

4 New Layout for the Canada Gazette
The CGD has transformed the layout of all its publications in order to meet the Department of Justice’s new formating requirements for laws and statutory instruments. All the scripts and styles created to increase efficiencies while producing the Canada Gazette with InDesign are being revisited and improved in the context of this transformation. In 2016, the first issue of the Canada Gazette, Part II was published on January 13 and was entirely presented with the new Department of Justice layout. The Statutory instruments and orders in councils look was changed, as was the Canada Gazette cover page, which now includes the Coat of Arms of Canada in colour. Part I content being far more complex, the transformation and tests are still ongoing and will be completed soon. We anticipate to publish the first Part I with the new layout on July 30, 2016.

7 Electronic Transmission of Notices
More electronically-transmitted notices from federal and non-federal clients are gradually being accepted by the CGD. Presently, the following client groups have agreements in place with the CGD and may submit their notices electronically for publication in the Canada Gazette, Part I: All private sector clients Canadian Radio-Television and Telecommunication Commission Canadian International Trade Tribunal Public Service Commission Eastern/Western Canada Marine Response Corporation Privy Council Office (Notice of Vacancies) Industry Canada (Appointments)

9 On-screen Editing Process
Since November 2015, all texts published in the Canada Gazette are completely edited on-screen, due to a new tool called Adobe InCopy. The whole team worked hand in hand on the on-screen editing transformation initiative which is now a great success!

10 Workflow Management System
The CGD also wishes to implement a workflow management system to capture and organize all the editing and formating tasks. One specific system seems to fit the CGD’s needs, namely SharePoint. Meanwhile, the CGD has implemented an e-log which was created by one of its members; this e-log is very useful but has limited capacities. A new system should be adopted by the end of 2016.

11 Email Notification Service
RSS Feeds The CGD changed its approach for RSS feeds and now offers the opportunity to subscribe to three feeds, namely the ones for Part I, Part II and Part III of the Canada Gazette. Twitter Since January 2016, the CGD has been posting tweets via the PSPC Corporate Twitter account twice a month to increase its visibility during the period preceding the 175th anniversary of the Canada Gazette, which will take place on October 2, 2016. Notification Service This project will allow us to inform clients when new Canada Gazette publications are added to our Web site. It was temporarily put on hold but should be executed by the end of this year.

13 List of Queen’s Printers for Canada Canada Gazette Web Site
The CGD is still in the process of updating the list of past Queen’s Printers for Canada (from beginning to present time) with the intent of contributing to the list posted on the Queen’s Printers Association of Canada Web site. Transformation of the Canada Gazette Web Site Departments and agencies Web sites will be merged into a single site named canada.ca. The Canada Gazette Web site is no exception and its transformation is progressing extremely well.

14 Preparing to Celebrate the 175th Anniversary of the Canada Gazette
The first issue of the Canada Gazette was published in 1841, bringing us to its 175th anniversary on October 2, The CGD’s Communications team is organizing several events to underline this important landmark. New Costing Model A new costing model will be prepared to align our rates with our current production system.

16 Improving Business Process Efficiency
Digital Technology The CGD is connecting electronically with Canadians by, amongst other ways, posting tweets on PSPC’s Twitter account and offering RSS feeds. Also the vast majority of the Canada Gazette issues from 1841 up to 1997 have been digitalized and are accessible to all Canadians via the Library and Archives Canada’s Web site. Furthermore digital technologies allowed us to modify the appearance of the Canada Gazette cover page which now includes the Coat of Arms of Canada in colour. Improving Business Process Efficiency With the implementation of the electronic transmission of documents for private sector clients and some government clients, and the systematic digitization of all documents still transmitted on paper, the Canada Gazette production process is now entirely electronic. Furthermore all communications between editors and desktop publishers are done solely by electronic means.

17 Sustainable Record Keeping
The CGD has implemented the record management tool GCDOCS. This system enables for the sharing, use and access of information across the whole Department, significantly changing the way electronic information is handled.
