5S/Workplace Organization
The purpose of 5S is to provide an organized work environment where everything has a place, is in its place, and is ready for use Sort (Seiri) Simplify (Seiton) Shine/Sweep (Seisou) Standardize/Stick (Seiketsu) Sustain (Shitsuke) 5S Workplace organization is often thought of as the foundation for Lean Implementation. It helps open employees’ minds to change and Lean principles. It also helps provide open floorspace prior focusing on flow with other lean tools. Stress and describe how 5S is much more than housekeeping. Workplace organization is a way to reduce stress and improve productivity. 5S is more than just “spring cleaning”

Reduce errors Using outdated files and templates Reduced frustration Never finding files, not valuable use of time Save Time Searching for files, re-creating templates and content, reduced training/on-boarding Save Money Storage space, maintenance costs Makes problems visible There are many benefits to 5S and better workplace organization. Read through the list, and provide any examples where you have benefited Ask the students if they have other benefits. Here are some things you can suggest: Makes waste become visible so it can be removed Provides clean and organized work areas Provides a safer workplace with lower accident rates Improves employee morale Reduces training Frees up floor space Reduces supply costs Reduces equipment costs Reduced set-up times and cycle times Increases productivity Better equipment reliability Higher quality Lower costs More consistent flow and deliveries What are other benefits you can think of?

Case Study: JEA Utilities
Launched a project to reduce workplace accidents and reduce time to complete maintenance. Implemented a 5S to organize and standardize the materials on the trucks. Reduced fuel costs by an estimated 10% per truck due to the lighter weight of the trucks. Read through the lean improvements made at JEA (starting at pg 6), and summarize when you explain to the class BEFORE AFTER

What to do with unneeded items?
Sell it used Return to supplier for credit Reuse or repurpose it Give it away (donation) Recycle it Disposal or throw it away When you identify an item you don’t want to keep, consider the most environmentally-friendly way to get rid of it Sell it used Return to supplier for credit Reuse or repurpose it Give it away - consider donating them to a school or not-for-profit organization for tax credit Recycle it – check with your local rules about recycling Disposal or throw it away - review with safety and environmental staff prior to disposing of it, as it should be last resort

Standardizing Use innovative visual management/controls Color coding Work methods Labeling Workplace layouts Filing systems (Centralized where appropriate) The use of standardization can help detect problems early, so action can be taken right away Colors, labels, layout of space, filing/organizing of folders/papers/electronic files can make it easier for new people to learn, and can reduce the chances of errors/defects

5S Assessment Tool x x x x x
Use an assessment tool to rate each area, to determine where improvement is needed. The template will total up the scores, and determine the correct level. The template can be downloaded from the BPI website for free at Free 5S Assessment Tool (Excel) available

Exercise: Numbers Game
At the end of this training, refer to the Numbers Game section, and print out the first 5 slides (1-sided) for each student This can also be done electronically if a virtual class is held, or students have a laptop/computer with them (or on their phones)
