5 HRS “intake” is for NEW “requests”
CIHR: Applying through Health Research Services (HRS) Most CIHR applications are processed through the general “intake” system as a request, like most other granting agencies. For non e-approval competitions, please follow these steps: Send your completed HRS Application Checklist and a complete draft of your application (including the budget) by to to be assigned to a Senior Grants Advisor (SGA). All HRS Advisors are reviewing CIHR at this time. Receive feedback and any required institutional signatures (signature page and routing slip, support letters, etc.) from the Senior Advisor assigned to your application. Make any changes/revisions you need to make to your submission. Submit your application on ResearchNet ( recherchenet.ca/rnr16/LoginServlet?language=E) according to the application instructions found on ResearchNet. HRS “intake” is for NEW “requests” HRS intake is for NEW requests – someone will connect with you from HRS to complete any request as a separate and specific request; once someone has contacted you regarding the start of a new request, they are your connection to completing that request. HRS facilitates regular CIHR submissions and application assistance in this same manner; start a submission on RNet for a CIHR competition and concurrently send a new request along with an HRS Checklist to intake to start the process of collaborating with HRS to obtain review, signatures and support letters/approvals.

6 CIHR: Applying through HRS (e-approval)
CIHR funding opportunities that require e-approval, such as PROJECT grants, have a different process: You must choose McMaster as the “Institution Paid” in Application Details (do this first) for your online submission to be viewed. e-approval applications must be approved by HRS on ResearchNet (RNet) before they are submitted to the agency. A completed HRS Application Checklist sent to is required for each grant; this can be submitted any time before the INTERNAL deadline. Your draft materials must be submitted to the institution via RNet, even when submitted for early review. Only when all “tasks” are completed on RNet and display a green checkmark, can applicants “Submit” the application “to the institution” by the INTERNAL REVIEW deadline. HRS reviews the application and returns comments via . HRS resets the RNet deadline to the FINAL CIHR deadline. The applicant can revise, make changes, and upload any missing documentation between INTERNAL and FINAL deadlines. Applicants must then RE-SUBMIT the application on ResearchNet for FINAL deadline. HRS approves and submits the application to CIHR on the applicant’s behalf.

Please submit your draft to the institution via ResearchNet. Submit your HRS Application Checklist to and an advisor will be assigned and contact you. The deadline to aim for an early application review is August 19 at 12:00pm (noon). MANDATORY INTERNAL review is Sep 3 by 12 noon on RNet

9 CIHR: Applying through ROADS
If your primary appointment is not in the Faculty of Health Sciences, your application should be submitted through the Research Office of Administration, Development, and Support (ROADS). Please contact ROADS for their CIHR dates and processes. The CIHR contact at ROADS is Virginia Viscardi, Senior Advisor, extension 24519, or ALL McMaster applications must be submitted using ResearchNET (RNet) by the INTERNAL and FINAL deadlines. Sep 3 by 12 noon is the McMaster INTERNAL deadline for review and institutional approval.

19 Do I need to obtain institutional review for my application even if the sponsor does not require institutional approval/signature(s)? Yes, all external proposals for research funding from applicants and co-applicants need to be reviewed. Submit all materials via the HRS intake 2 weeks prior to the sponsor deadline.

20 What does HRS require before institutional signatures can be obtained on grants?

25 Applying for FOREIGN GRANTS

Foreign Grants Including all United States Government Securing foreign funding is difficult and you need to identify why your proposal is unique and of interest to a foreign body. For all foreign granting please HRS intake as soon as you have identified an opportunity that you would like to pursue. Application preparation time can take longer than anticipated due to complicated sponsor online application portals and other requirements for foreign applicants. 27 Foreign Sponsor Systems
To apply for foreign funding including NIH and DoD, there are several online systems you need to navigate including, Grants.gov - The on-line portal used by all federal grant-making agencies and their applicants to find and apply for federal grant funding.   eRA Commons  - A system managed by NIH that allows applicants, grantees and federal staff to securely share, manage and process grant-related  information. eBRAP – The Electronic Biomedical Research Application Portal (eBRAP) is an online system to submit, view and edit the content of pre-applications and applications, to receive communications from Congressionally Directed Medical Research (CDMRP), and to submit required documentation. ASSIST – The Application Submission System & Interface for Submission Tracking (ASSIST) is a system used to prepare and submit your online application to NIH.

28 Financial Conflict of Interest (FCOI)
Many US funding bodies including NIH require a disclosure form concerning Financial Conflict of Interest. This is required for all key personnel involved on a grant. Compliance requires both Certification and the declaration and disclosure form. Certification is completed through an online tutorial. This needs to be repeated every 4 years. Declaration and Disclosure Form. - this needs to be completed prior to submitting an application; revised once annually when applicable funds are held, and immediately upon acquisition or discovery of a new SFI (Significant Financial Interest). FCOI forms for all PI’s and other key personnel are kept on file at HRS.

You need an agreement when: you are engaging an investigator at another institution (includes HHS and St. Joes) to be part of your project. (even if there are no $$ involved) you are being engaged by an investigator at another institution to work on their project you receive funds from a granting agency or industry to perform a specific project or service you send or receive data or samples outside of McMaster

35 Service Contract Administration at McMaster University
The flowchart below is meant to assist in deciding which McMaster office can support the review and negotiation of service contracts. A service contract is a document between a service provider and a client, where the service provider agrees to provide certain services to a client. Depending on the situation, McMaster University will either be the service provider or the client. Within the service contract, service provider and client will outline their expectations and agree to terms and conditions. Are you providing a service using McMaster University resources to an external organization? Are you acquiring services from an external organization? The Office of Legal Services provides assistance with the review and negotiation of services agreements when an employee/department provides a service for a fee and provides the results to a client where no intellectual input or value-added is provided by McMaster University and no publishable results are expected. Any fees paid to McMaster University for services rendered will be deposited into an operating account. For any services provided by McMaster University, the McMaster University Contract for Providing Services template should be used.
