Effort Management Online System Developed for the LCLS project
Yellow Sheet Agreement between ANL LCLS Project, Division Directors, and Group Leaders about access to a particular individual over a particular period of time and for an defined amount of effort Peach Sheet Generated from the Yellow Sheet Agreement between the CAM and the person requested to do the work Defines work and cost codes to charge to Green Sheet Weekly effort reports from the people doing the work Space provided for each assigned cost code and time spent on the work within that area Weekly reminders just added notification of CAM to approve once the individual has “closed” the sheet Reports Reports generated based on individual, cost code, or division

An example filled out green sheet
An example filled out green sheet. These are done weekly by everyone working on the project.
12
Example Monthly Report for one person
Other reports are available that provide effort per cost code or within a single division.
13
Effort Management Comparison to the ANL system
ANL system uses estimates generated in the middle of the month by each individual This in turn is compiled by hand by a variety of people from secretaries to division HR This information is then passes on to the individual division offices, compiled again by hand and then entered into the ANL HR accounting system The LCLS uses approximately 50 cost codes and 4 ANL Divisions in 2 different ALDships Needless to say the above method, handled differently by different divisions, different individuals, and different ALDships leads inevitably to errors We developed our own completely electronic system to provide a cross check to the official ANL system and manage/control our accounting
