2 PGS Overview

3 PGS Overview The Project Generation Suite (PGS) is a secure, easy-to-use proposal development system designed to support collaborative proposal development. The following presentation will give you step-by-step instructions on how to log into the PGS site, and how to “check out” and “check in” files to write, review, modify, and word proof.

4 PGS Login and Project Access

5 PGS File Management – Login
Enter your DXC/CSC and PGS password to login:

6 PGS File Management – Active Projects
After successful login, click on “PGS” Click on the project that you are assigned to under “Active Projects”

7 PGS File Management – Proposal Files
Click on “Proposal Files” under “PGS Home”

8 PGS File Management – Folder Filter
Click on the down arrow and scroll through the filter until you see your name Click on your name *NOTE: You can only check out/in files that are in your folder

Locate the file you want to check out Click on the arrow (which faces down) under the “Action” column Under the “In/Out” column, the file will show “Out” in blue

Right click on the file name that you want to check out Click on the down arrow / “Checkout file” option Under the “In/Out” column, the file will show “Out” in blue

Choose the file you need by selecting the corresponding checkbox Click on the “Check In/Out” button

Look for the “Save” bar that will appear at the bottom of the screen (see figure 1 for example) Click on the down arrow next to “Save” and then click on “Save As” Another box will open and appear in the middle of the screen (see figure 2 for example) Save document to a location on your computer *Note: Be sure to save the file as the exact same name as it is on PGS; in this example the file is named and saved as 170_002_01_org2.docx Figure 1 Figure 2

Backing up a file uploads the latest version without checking the file back in Choose the file you need by selecting the corresponding checkbox Click on the “Backup Files” button

Click on “Browse” next to *File and upload your file from your computer Skip down to the bottom and click on the “Backup” button *NOTE: Backing up the file allows other users to access your latest changes without you having to check it back in.

Work on the file from your computer and save the document when you are done Once the file is complete, go back to PGS and check the file back “In” Click on the arrow (which should be facing up) under the “Action” column

Right click on the file name that you want to check in Click on the up arrow / “Checkin file”

Choose the file you need by selecting the corresponding checkbox Click on the “Check In/Out” button

21 PGS File Management – Check In
Click on “Browse” next to *File and upload your file from your computer Click on the down arrow of “*Select a Process” next to *Process and choose “Ready for Edit” Skip down to the bottom and click on the “Check In” button *NOTE: Once the file is checked in and marked for “Ready for Edit”, the Lead Editor is automatically notified.
