Requirements for Clubs
Officers President President Elect Secretary Treasurer (Secretary/Treasurer may be combined) Executive Board Meetings Meet as needed Club Meetings At least 6 meetings per year REQUIREMEMENTS HAVE BEEN REVISED TO ALLOW FOR MORE FLEXIBILITY FOR SMALLER CLUBS AND FOR CHARTERING NEW CLUBS. CLUBS CAN NOW CHARTER WITH 5 MEMBERS THEREFORE IF YOUR CLUB IS A SMALL CLUB WITH 5 MEMBERS THE SECRETARY AND TREASURER MAY BE COMBINED.

PETER DRUCKER SAID, “UNLESS COMMITMENT IS MADE, THERE ARE ONLY PROMISES AND HOPE; BUT NO PLANS” AS YOU SET THE GOALS FOR YOUR CLUBS UPCOMING YEAR, SET REALISTIC GOALS. GOALS THAT WILL HAVE OBJECTIVES AND A STRATEGY TO REACH THE ESTABLISHED GOALS.

Projects Fundraising Membership Leadership Anchor Compass HERE ARE THE 6 DIVISION OF WORK AREAS. NOT ALL CLUBS WILL HAVE WORK PLANS FOR EACH OF THESE AREAS. SOME OF OUR NON-TRADITIONAL CLUBS ARE NOT DEVELOPING PLANS OF WORK. IF YOUR CLUB IS ONE OF THESE CLUBS WE WOULD STILL RECOMMEND AN OUTLINE OF THE YEAR AHEAD AND WHAT THE CLUB WOULD LIKE TO ACCOMPLISH.

Meetings CLUB MANUALS ARE A GUIDE…WHY ARE YOU MEETING? WHAT DO YOUR MEMBERS NEED TO GET OUT OF THIS MEETING? WHAT DO YOU WANT TO ACCOMPLISH? DO YOU NEED TO COVER JUST THE ESSENTIALS? ADD SOME EXTRA OR TRADITIONAL ELEMENTS? HOW MUCH FLUFF DO YOU WANT, IF ANY? FIND OUT WHAT YOUR MEMBERS WANT.

Preparation Prepare agendas for board and club meetings
Use minutes to remind you of pending matters Notify members who will be called upon to give reports so they can be prepared Begin on time and follow the agenda

Expectations Know the PI Bylaws, Club and District Standing Rules, and Parliamentary Procedure Know deadlines – District, PI, and Tax. Remind Secretary and Treasurer of their deadlines Keep a calendar to help with deadlines PI Calendar “I move…” Not I make a motion. Has to be seconded, chair restates Motion, then discussion (Not before Motion is made.) Then vote. 5 Page Parliamentary Procedure Handout on PI website under Member Resources, along with PI Bylaws and Policies and Procedures.

Hold the Secretary Accountable
Secretary takes minutes at Executive Board and Club meetings. Secretary submits notification of change in membership to the District and PI Headquarters via MemberClicks. Secretary shares copies of minutes . Secretary works closely with Treasurer in regard to membership and dues. ALL OFFICERS IN YOUR CLUB SHOULD BE ACCOUNTALBE TO YOU AND YOUR CLUB. SECRETARIES SHOULD NOTIFY PILOT INTERNATIONAL VIA PORTALBUZZ OF ANY AND ALL MEMBERSHIP CHANGES WITHIN THE CLUB.

Hold the Treasurer Accountable
Sign Vouchers (make sure to have all appropriate paperwork) Countersign Checks (President also signs all checks) Prompt Payment of Bills Send new member dues to District & Pilot International Coordinate membership with Secretary Timely Payment of Dues Complete tax forms and payments Submit incorporation fees annually Pay Fees $250 Goal, Pacesetter contributions due by Feb. 1 for recognition at District Convention Ambassador Contributions due September 30 for publication in Pilot Log Payments to Pilot International THE TREASURER HAS A EXTREMELY IMPORTANT JOB IN YOUR CLUB. THE TREASURER WILL MAKE PAYMENTS PROMPTLY AND YOU AS THE PRESIDENT WILL COUNTERSIGN ALL CHECKS. YOUR TREASURER WILL ASSURE THAT DUES ARE PAID PROMPTLY TO PI HEADQUARTERS FOR NEW MEMBERS. THE TREASURER WILL MAKE SURE THAT ALL BOOKS ARE TURNED OVER TO AN AUDIT COMMITTEE ANNUALLY.

Collaboration and Mentoring
President Elect should work closely with the President. President Elect should support the President YOU SHOULD ALWAYS WORK HAND AND HAND WITH PRESIDENT / PRESIDENT-ELECT. TWO HEADS ARE BETTER THAN ONE….COLLABORATE….BRAINSTORM TOGETHER…..USE THIS COLLABORATION AS A TOOL TO TRANSFER LEADERSHIP FROM PRESIDENT TO PRESIDENT-ELECT. President is responsible for training President-Elect for the coming year. (Their success is YOUR success) President-Elect presides if President cannot. P-E needs to ask questions – this is your time to prepare and learn. Also your responsibility to make appointments in a timely manner.

Communicate with club members and district leaders Group s Club Newsletter Text Phone Keep members informed Governor’s Bulletin PI Mailings Headquarters News Network with other Pilot Clubs and District Leaders Share Club Newsletters Visit Clubs Make sure you keep in touch with club members – remember not everyone texts or has a computer. May occasionally have to call or send things via snail mail. Support other clubs’ projects and fundraisers, if you your newsletter, send it to other clubs in the District.

Official Visits -- What Are They?
District Officer attends Executive Board and Club Meetings. Chance for club members to meet a District Officer and learn more about District/PI. Training – District Officer presents a short training session, President chooses which of 5 topics. Opportunity to alert District/PI of any issues or problems club is experiencing and get help. Opportunity for club to share successes with District/PI.

Official Visits – What Visitor Needs
Club budget, member roster and any other materials that will help to know the Club. Club’s agenda for visit date. Make sure Visitor is on the agenda. Background information about the Club: Club Charter Date Club Plans of Work 50/25 year members Club Projects Club Fundraisers Club accomplishments for recognition Club website Club Facebook Page Awards 25 and 50 year members are entitled to a special pin, certificate and a letter signed by the PI president. Club president must notify PI Headquarters, and this has to happen in the member’s anniversary year. Official visit is a good time for presentation.

Represent your club at civic and community events Be known in your community as a Pilot Ambassador! “WISDOM IS KNOWING THE RIGHT PATH TO TAKE. INTEGRITY IS TAKING IT.” BE AN INSPIRATION FOR OTHERS TO FOLLOW…BE A LEADER BUT ALSO A TEAM PLAYER…NO ONE DOES A JOB ALONE…YOU ARE AN AMBASSADOR FOR PILOT IN YOUR COMMUNITY!!

Attend Fall Workshop, District, and Pilot International Conventions
Report to membership at next business meeting Encourage members to attend Make certain to answer members’ questions and concerns It is okay to say, “I don’t know,” if it is followed with, “But I’ll find out.” Make sure you find out the answer and get back to the member who asked.

BE WILLING TO GO AND SPEAK ABOUT PILOT WITH CIVIC GROUPS WITH LIKE INTERESTS. BE WILLING TO PROMOTE PILOT WHENEVER THE OPPORTUNITIES ARISE.
