3 Resources as you begin your term.
Transitional meeting to have the opportunity to learn from the previous State Secretary to help you to be effective and keep continuity in your State. Tools of the Trade – Be well versed in contents. Catholic Daughter’s By-Laws – Know the governing rules of our CDA. Attending State Officers Workshop in Scottsdale.

4 State Secretary General Description
Keep the minutes of the state Board meetings, record and transcribe the minutes of State Court Biennial Convention and send notices when directed by the State Regent. Issues notices to the state and local court officers at the request of the State Regent. Receive all membership changes from court and maintain state records on local court membership. Issue notices of state dues based on membership for the periods ending March 31 and September 30 each year. Numbers obtained from National.

5 And there’s more…….. Receive all monies for the state including state dues from local courts, debit and credit each court foe the same, transmit to the State Treasurer all funds collected. Approve and sign the vouchers from the State Regent for expenses for the State Court, State Officers, and State Chairmen. Use budget and minutes. Represent the State at meetings of the National Court. Expenses may be paid by the State Court. Perform other such duties as may be necessary for transaction of business f the State Court or as directed by the State Regent.

6 Purpose of the minutes Minutes tell us a story about your State.
It is the history of your State from the day of Institution to today. Keep your board updated and on task. Assist the State Regent to prepare the agenda for the next meeting. Reminder of decisions made and plans and tasks that need to be accomplished.

7 Maintaining Membership
State Secretary: Receives membership changes from local courts. This will include additions, deletions and changes in addresses, phone, etc. Receives from National twice a year a list of courts and number of members in your state. Can verify membership with National by ing;

8 Finances of the State Twice a year send invoices to each court for their per capita based on national’s membership records. Receive per capita payments from each courts with a copy of financial review. All checks given to the State Treasurer. Verify the receipt agrees with your records. Be present at state financial reviews with all your records in order.

9 Snug as a well fitting glove
The State Secretary is a vital and key position on the State Board. Each member of the state board has an individual and unique job description but should understand the job description of each officer to work hand in hand. You are a team, each a finger in the glove but all connected to work for the good of the order.
