1
The electronic reporting system for UWWTD Questionnaire 2007
Katharina Lenz Michael Nagy Johann Weigl
2
Key functionalities Installation of the reporting system
Creation of files for submission Data entry through import/ export functions Manual data entry/ data manipulation using forms Validation of data and data entry for submission of information
3
Installation I System requirements Download from the CIRCA-server
Windows 2000 or Windows XP Internet access for installation the user needs Administrator rights Download from the CIRCA-server Reporting system and supporting documents as .zip-file
4
Installation II Installation work steps:
Step 1: download .zip-file to your PC Step 2: extract the .zip-file and save the content in one file folder Step 3: Installation: click on ‚setup‘
5
Installation III Link the IT- tool with the database I:
New data source has to be added in the Control Panel Administration Datasources (ODBC)
6
Installation IV Link the reporting system with the database II
7
Installation V File folders in the directory of the application
Data Application: database of UWWTD Questionnaire 2007, where the information is saved after data import and manual data entry Data_Import: directory for the .txt - files for data – import Data_Export: directory, where the .txt – files are stored after export Documents: supporting documents GIS: all GIS-data files to which references are indicated in the application
8
Data import I Possibility of data import and manual corrections/ completion First data validation during import Prerequisite for data import: Organisation of data in terms of import files (.txt – files) Import files have to be stored in the directory of the application in the folder Data_Import correct naming of import – files is essential !! MS Excel templates to support users creating the .txt – import files MS Excel templates have to be filled-in according to data dictionary
9
Data import II MS Excel template
One Excel work-sheet for each major block (UWWTP, agglomeration,…)
10
Structure of Import files
Reporter.txt: Data on the selected country. Only 1 dataset per country. ReportPeriod.txt: Data on the reporting period. Contains at least data set. Contact.txt: Data on the contact person(s). Contains at least 1 data set ReceivingAreas.txt: List of receiving areas Agglomerations.txt: List of agglomerations, including data on collecting systems UWWTPs.txt: List of UWWTPs, including treatment data UwwtpAgglo.txt: Joins Agglomerations and UWWTPs and includes data on connection rates of agglomerations to UWWTPs DischargePoints.txt: Discharge point data MSLevel.txt: Data on sewage sludge and waste water reuse
11
Import III Data import work steps
Prepare data according to requirements of import – files Save import files (.txt-files) in Data_Import Open reporting system insert data on contact details of the Reporter Click Data Import
12
Data Import Checks and Validation
How many data-sets are provided? Consistency of reporter and report ID - Import terminated if files/info missing or inconsistent Master data check (minimum requirements for import are ID and name) – if an ID or name is missing, the record will not be imported; if a master data field according to DD is missing, the record will be imported and there will be an entry into the error log Data type check according to Data Dictionary – a field with a wrong data type will not be imported, strings with length exccedence will be truncated Reference Check: For every Agglo-UWWTP link there must be a valid agglomeration and UWWTP
13
Data import IV
14
Data import V Error-log Code and name of the error
Field of the database, where the error occured Record number of the error in the import-file
15
Import Data validation
16
Data export After finalisation of data entry (import and/ or manual data entry) export data from the reporting system Before export Validation process Validation: Upon error, data will still be exported and there will be an entry into the error log Master data check Data type check according to Data Dictionary Reference Check
17
Data export II Work steps
In case of error Validation report (Error log saved in database) Code and name of the error Field of the database, where the error occured Record number of the error in the export-file Work steps After finalisation of data entry button Export data is exported and a validation time stamp is given Validation time stamp is stored in the file ReportPeriod!! Validation protocol gives summary of errors identified Click to Print export error log to show identified errors Click to Print export error log and Print import error log to compare the identified errors
18
Data export II Export Errorlog - file Validation time stamp
19
Structure of export files
Reporter.txt ReportPeriod.txt Contact.txt ReceivingAreas.txt Agglomerations.txt UWWTPs.txt UwwtpAgglo.txt DischargePoints.txt MSLevel.txt Generated during export process Saved in the the folder Data_Export Date and time of export saved as ‘Validation time stamp‘ and given in the .txt-fileReportPeriod.txt
20
Fictive example MS Excel Template Data electronically available
Data to be inserted manually Save as .txt and upload to tool automatical data validation Copy GIS files to folder ‚GIS‘ Add missing data manually Export automatical data validation
