Marketing Codes Advanced Search Features Sending E-Blasts, E-Invites & E-Cards

2 Marketing Codes ClientBase allows us to assign Marketing Codes to our Clients’ Profiles enabling us to extract Specific Client Lists. At Maritime Travel, our Best Practice is to assign a minimum of three Marketing Codes per Leisure Client Profile: MLM – Are they an A, B or C Client With Whom? – Single, Double Income No Kids (DINKS), Family, Empty Nester, Senior, Small Business When do the Travel? – Travelled 01May17-30Apr18 (Fiscal Year) Helpful Tip – The best time to update these Marketing Codes is when you’re reconciling your Top 20% List for MLM. Additional commonly used Marketing Codes include: What Type? - Cruise, All-Inclusive, Package, etc. Select Mailing – Christmas Cards, Consumer Nights, Holiday Club, etc. Tactic Tracking

3 Let’s take a look. ‘Click’ on the Marketing Codes Tab in your Client’s Profile:
Are they an A, B or C Client? Are they Single, Double Income No Kids (DINKS), Family, Empty Nestor, Senior or Small Business? Did they Travel Last Year? Have the Travelled this Year?

5 Advance Search One of the significant advantages to using ClientBase is our ability to extract information and target specific groups of clients. If we take the time initially to enter as much of our clients’ information as possible into their profiles, we can then use this information to our advantage. The ‘key’ is to not only know our clients, but anticipate what they want before they do and offer them the perfect product. ClientBase Web can assist us to achieve this…let’s take a look…

6 Our first step is to think about ‘who’ we want to reach out to:
A List of Clients we’ve identified and assigned Marketing Codes Our ‘A’ Clients We want to a Christmas Letter to our ‘A’ Client List A Specific Age Group Clients aged 50 – 65 We want to hold a Consumer Night and promote River Cruising A Specific Value High End ‘B’ Clients We want to send a mail out to introduce and upsell new product to our High ‘B’ Clients Specific Travel Dates Clients who travelled during Spring Break last year We want to send an E-Blast to get them thinking about booking their next ‘Spring Break’ vacation Specific Suppliers All Clients who travelled with Celebrity Cruises We want to invite our past Celebrity Clients to a Ship Tour and send them our Exclusive Savings

7 Regardless of our queries, our first two steps are the same:
Go to ‘Advance Search’ Under the ‘General Info’ section, under ‘Profile Identity’ select ‘Leisure’

8 2. Under the ‘General Info’ section, under ‘Profile Details’
Select a Counsellor (optional, leave blank if you want your query for the entire branch) Select your Branch

9 Now we can narrow our search. Let’s look at our first scenario:
A List of Clients we’ve identified and assigned Marketing Codes Our ‘A’ Clients We want to a Christmas Letter to our ‘A’ Client List Click ‘OK’

10 ClientBase has provided us with a list of all Profiles that have Marketing Codes checked off as ‘A’ Clients and to receive Christmas Cards. *** General Info __________________________________________ Profile Type Is Equal to [Leisure] Primary Agent Is Equal to "Nicholas Howard" [977779] Profile Status Is Equal to Active *** Marketing Codes ________________________________________ MLM A Client $750 and over Select Mailing Christmas Card

11 For our second scenario we are targeting a Specific Age Group:
Go to the Traveler/Contact Tab Under Birth Date enter a range including the year 01Jan Dec68 – will capture clients years old Click ‘OK’

12 ClientBase has provided us with a list of all Profiles that contain Birthdays between 01Jan53 – 31Dec68 (Clients aged 50 – 65) *** General Info __________________________________________ Profile Type Is Equal to [Leisure] Primary Agent Is Equal to "Natasha Plingen" [977781] Branch Is Equal to [85] West Vancouver Profile Status Is Equal to Active *** Traveler/Contact __________________________________________ Birth Date Between "JAN 1, 1953" And "DEC 31, 1968"

13 For our third scenario we are targeting a Specific Value of clients:
Targeting a Specific Value (High End ‘B’ Clients) Go to the Travel History Tab Go to the Invoice Section Under Total Commission From/To - enter a value range $600-$750 Under Issue Dates From/Through – enter a date range 11/01/2017 – 10/31/2018 (01Nov17-31Oct18) Click ‘OK’

14 ClientBase has provided us with a list of our High ‘B’ Clients who booked between 01Nov17 – 31Oct18, with revenue from $600 - $750 *** General Info __________________________________________ Profile Type Is Equal to [Leisure] Primary Agent Is Equal to "Natasha Plingen" [977781] Branch Is Equal to [85] West Vancouver Profile Status Is Equal to Active *** Travel History______________________________________________ Invoice Total Commission From To Invoice Issue Date Between 11/1/2017 And 10/31/2018

15 In our fourth scenario, we are targeting a specific ‘Travel Timeframe’:
Targeting Specific Travel Dates (Who Travelled Last Year During March Break) Go to the Travel History Tab Go to the Booking Section Under Departure Dates From/Through – enter a range 03/01/ /31/17 (01Mar17-31Mar17) Scroll down to: Click ‘OK’

16 ClientBase has provided a list of all clients who travelled last year during March Break.

17 Targeting a Specific Supplier (Celebrity Cruises)
In our last scenario, we are looking to target clients who previously travelled with a ‘Specific Supplier’: Targeting a Specific Supplier (Celebrity Cruises) Go to the Travel History Tab Go to the Booking Section Type in your Vendor Name and select from the Drop Down Menu Celebrity Cruise Lines-cad Click to ‘Check Off’ the ‘Travel Category Cruise Box’ Under Depart Dates From/Through – enter a date range 11/01/2017 – 10/31/2018 (01Nov17-31Oct18) Click ‘OK’

18 ClientBase has provided us a list of our clients that travelled with Celebrity Cruises from 01Nov17–31Oct18. *** General Info __________________________________________ Profile Type Is Equal to [Leisure] Primary Agent Is Equal to "Natasha Plingen" [977781] Branch Is Equal to [85] West Vancouver Profile Status Is Equal to Active *** Travel History ______________________________________________ Vendor Is Equal to "Celebrity Cruise Lines-cad" Travel Categories Is Equal to [Cruise] Depart Date Between 11/1/2017 And 10/31/2018

19 Thinking ‘Outside the Box’
Let’s take things one step further… Imagine a promotion has been brought to your attention…Regent Seven Seas Cruises has a great offer and you would like to try and upsell your existing clients. You can combine different types of scenarios to narrow your searches even further enabling you to target a very specific group of clients. By combining our searches we can create a list of: Clients aged 50 – 65 Who Travelled with Celebrity Cruises From 01Nov17 – 31Oct18 Were Invoiced between 01Nov17-31OCT18 With Revenue of $600 - $750

20 Here’s what our ClientBase Search Criteria would look like:

22 Sending our E-Blasts, E-Invites & E-Cards
Once we have our Client List, we’re ready to send out our E-Blast, E-Invites & E-Cards In our example we will send out an E-Invite for a Consumer Event

23 Prior to sending your E-Invite, check your Profile Login Settings
Go to the ‘Tools Menu’ Click ‘My Login’ Click ‘ Settings’

24 Outgoing Mail Server (SMTP) Port Authentication Type
Ensure your Login Settings are as follows: From Address Enter your address, or your branch’s address Outgoing Mail Server (SMTP) Enter – clientbase.office365.local Port Enter 25 Authentication Type Select None Account Login – Leave Blank Password – Leave Blank Secure Connection

25 Click ‘Merge Options’, ‘Merge to E-mail’

26 The Merge to E-mail Window will be displayed
Note the: ‘Sort By:’ options, ‘Look for s In:’ options ‘Primary & Marketing Permission’ options Click ‘OK’

27 The ‘Merge to E-mail’ Screen is displayed for you to complete.
Add a Subject Line Priority – Normal Mode – select HTML from the Drop Down Menu Type your message Use the formatting tools to adjust your Font Size & Colour, to Bold and/or Italicize, and align your text (e.g. centre) Click on the ‘Insert Picture’ Icon and enter the URL (MT Website address of your image) - Your Image has now been uploaded into the body of your .

28 Helpful Tip What exactly is an Image URL???
In order for an image to be displayed in the body of your client’s , when sent from ClientBase Web, it needs to be saved onto our Website first. The ‘Website Link’ of your Image is your Image URL Address. Your image must be a JPEG. We can easily save your chosen image to our Website by contacting either Rosanne Gibson or Sue Vogl.

30 You’re now ready to send your E-Invite.
Click ‘Send All’ Your E-Invite has been sent (note the ‘ job based on query:’ dialogue box) Click ‘OK’

31 Your E-Invite has been received!

32 Click ‘Close’ You will be prompted to create a Mailer Click ‘Yes’ (this will keep a record of your mailing in the ‘Activities Section’ of your client’s ClientBase Profile).

33 Complete the Mailer Mailer Type – General Correspondence Mailer ID – Name your Mailer (Princess Consumer Night Invite) Link to Details – you can add your E-Invite URL Click ‘OK’, Click ‘Close’

34 A copy of your Mailer has been saved to the ‘Activities’ Section of your client’s profile
Click ‘View’ for details

As you can see, by taking advantage of ClientBase, selecting Marketing Codes and using the Advance Search, you can extract very specific client lists, giving you the ability to provide the perfect product at the perfect time to the perfect client. Your options are limitless!
