1 Solving the Registry Puzzle with Schools and Childcare Providers
Authors: Nancy Knickerbocker, BA, Registry Provider Liaison Tania Farley, MA, Community Outreach/Education Manager Kimberly Ralston, MPH, Health Promotion Specialist County of San Diego ● Health and Human Services Agency ● Public Health Services ● Immunization Branch

2 Why focus on recruiting more School and Childcare Providers to a Registry?

3 School/Childcare Providers check immunization records to comply statutorily with state school/childcare entry requirements. Because School/Childcare Providers are not just “read only” users.

4 Having School/Childcare Providers in a Registry presents an opportunity to answer questions about the importance of everyone (including their staff) being fully vaccinated. With the new ACIP approval of Influenza Vaccine for all school aged children, School/Childcare Providers will play a yet undetermined role. Their data! A good working relationship with these providers can give you access to a wealth of information.

5 Formation of the School/Childcare Activities Workgroup (S.A.W.)

6 What is the purpose of S.A.W?
Through intra-departmental collaboration we consolidate our potency in the promotion of immunization by increasing awareness of opportunities for registry recruitment, community outreach and education, research, evaluation, and immunization related projects.

7 Who attends the monthly S.A.W. group?
Registry Staff Evaluation Clinical Services Provider Services Community Education & Outreach

8 What do we do at our monthly meetings?
Every member representative discusses what they or their team are currently doing with schools and childcare: How does this relate to their strategic goals? What future projects do they have planned or are considering? What upcoming events, meetings, and/or conferences will present opportunities? Problem resolution with existing providers.

9 Now all School/Childcare Immunization Requirements Trainings contain a component about the Registry.
Opportunities have increased for all teams with the sharing of upcoming immunization events, conferences, projects, and meetings.

10 SCHOOL/CHILDCARE ACTIVITIES WORKGROUP ACTIONS

11 The Provider Services Team is creating new materials to resolve the confusion over school/childcare entry requirements for parents, schools, and medical providers. Our Evaluation Team is conducting a Kindergarten Intercept Study with the San Diego Unified School District to determine what obstacles parents have in getting their children up-to-date on immunizations.

12 There are more staff available to conduct the yearly School/Childcare audits.
What will be the roles of Public Health, the Registry, and Schools/Childcare Providers with the new ACIP recommendations for influenza vaccination of school age children?

14 TIPS FOR RECRUITING SCHOOL/CHILDCARE PROVIDERS

15 The Registry is free, easy to access, and
is an invaluable tool for immunization management. Both the Official State Immunization yellow card (in California) and school blue card (CSIR in California) can be printed from the registry.

16 Not only is there is a Help Desk that can assist with registry questions and problems, but users can also tap into the expertise of other immunization branch staff. By accessing the Registry, the staff will spend less time with parents and medical offices trying to secure their student’s immunization records.

17 The Registry has a Vaccine Forecast Module which predicts what immunizations are needed.
Let School/Childcare Providers know what other Medical and School/Childcare Providers in their area that are using the Registry

18 OVERCOMING RECRUITMENT INERTIA

19 Doing presentations demonstrates the ease of accessing and using the registry.
Inform the School/Childcare Providers that Public Health, CHCs, Foster Care, WIC, Private Physicians and some Schools are entering data into the Registry.

20 Training can conveniently occur at their school or childcare computer lab, at dates and times flexible to their schedule. Find the “point of power person” that can get the Memorandum of Agreement signed.

21 Giving pens and other marketing gizmos are nice, but good immunization resource materials are more impressive and appreciated: ACIP Recommended Immunization Schedules - School/Childcare State Requirements sheet - Vaccine Related Names and Abbreviations - Bi-National Immunization Guide (California/Mexico) - Vaccine Related Terms from around the World - School/Childcare Windows for Immunization Management - Provide info sheets for parents on shots required for entry into a School or a Childcare facility.

22 Other Resources for Recruitment
The local county office of education. Check into your state and local School Nurse Organizations. Contact School Superintendents and District Nurses . For Childcare: start with the Head Starts, Large Preschools, and Private Daycares.
