1 Setting Up a Resource Pool
Working with Multiple Projects: Setting Up a Resource Pool Presented by: Ted Marcus May 26, 1999

2 Discussion Topics Building the resource pool
Linking to the resource pool Three critical considerations The “Resource Usage” view A helpful combination: the Task & Resource Usage views Opening & disconnecting

3 Building the resource pool
Open a new “shell” project. No tasks allowed!! Copy existing resources into the pool. Select row by row, or all at once. All the data fields will follow. Choose carefully which project to use as the source. Open new file, and call it mpug pool Use mpug01 for resources use mpug 02 for copying resources Choose carefully - need to consider updated calendar issues.

4 Link projects to the pool
“Share resources” from the pool Use mpug02 for after taking resources out.

5 Main points to consider about a resource pool
Multi-user access to files Calendars & other data Precedence: pool vs. projects Calendars: important when you set up the pool - use a project that is the most up to date as far as employee data is concerned

6 The Resource Usage view
Ask: What do I need to track? Work? Actual work? Variance? Change “details” accordingly to track other fields than those offered in details, need to look in detail styles. If not in detail styles, need modify the USAGE table: (View…tables…more tables…USAGE) and insert a row with the desired value.

7 Customizing the Resource Usage view
Insert a “project” column to see where the work is coming from. Adjust the details to suit your needs. show here how fields can be viewed/modified

8 Split View: Resource & Task Usage
See where your resources are committed & when, on a single project, and across projects

9 Opening shared files Think before you click!! a

10 Disconnecting from the pool
What happens to the resources? If assigned to project, appears in the resource list. Pre-SR1: the entire list would be copied into the project file.

11 Thanks!!
