1 Arranging Interview and Assessment EVENTs
You should allow 30 minutes for this session. The key points to cover in introducing the topic are as follows: NHS Jobs treats interviews and assessment events in exactly the same way. The only difference between the two is the way the event is named.

2 Terminology NHS Jobs uses the following terms:
An ‘event’ is a collection of one or more appointments taking place on a given date or dates in a given location which applicants attend to be interviewed or perform an assessment. An ‘slot’ is a time period when one or more applicants need to be present during an event. The ‘spaces available’ for a slot are the number of applicants you can see in that time slot. Note that setting up an interview event for a vacancy is a separate step from inviting applicants to the interview. Key points to cover: Explain that the trainees need to understand the terminology that NHS Jobs uses. Go through each of the terms on the slide. Check that the trainees understand what you have said.

3 Scheduling Options On NHS Jobs there are three ‘Scheduling modes’ for offering time slots to applicants, as follows: The applicant is able to view a number of time slots, from those set up and with spaces still available, and must choose a slot when they accept the invitation. The applicant is automatically offered the earliest available timeslot at the time they accept the invitation. The recruiter selects which timeslot the applicant is given and the applicant confirms their attendance. Key points to cover: Go through each of the options. Explain that the options are set when you create the event. Check that the trainees understand what you have said.

4 Creating an event Key points to mention:
Explain that there are three ways to navigate to the page for setting up a new event, as follows: Select ‘Interviews’ from the navigation menu on the left of the page. Select the ‘Create Interview’ button from the top right of the Interviews page Or: Go to the applications list for the vacancy, select the ‘Actions’ button beside any of the shortlisted applications, then select ‘Create interview/assessment’ and the ‘Action’ button.

5 Creating an Event Key points to cover:
The difference between the two types of event ‘Interview’ and ‘Assessment’ is just terminology. In all other respects the system treats them in the same way. The ‘appointment name’ is just a descriptive label for the event, to be used in addition to the vacancy job title to make it clearer which event is being referred to. Examples for this could be “First interview”, “Interview 1”, “Assessment tests”. Whatever gets typed in the ‘further information’ box will also appear on interview details that are sent to applicants. The trainees will get to see the effect of the various fields and options later in their training when they log in as applicants invited to interview.

6 Creating an Event Key points to cover:
When you add slots the system will try to help by anticipating the start time of each successive slot, but that can be over-written. When setting up time slots for interview you have the flexibility to: Set up a few ‘large’ slots with a number of spaces available (this may be useful for assessments) so for example you may have a morning slot from 09:00 until 12:00 with five places available so five interviewees all attend the same 3 hour session that morning. Set up slots each with one space available (this may be useful for individual interviews) so you may have 09:00 – 10:00 for one interviewee to attend, then 10:00 – 11:00 for another interviewee to attend etc. You can use the ‘add slot’ button to add more and more time slots to the event.

7 Editing Events Key points to cover:
Explain that it is possible to edit the details of an event after it has been set-up, and that the steps are as follows: From the interviews page: Select the ‘Actions’ button Select ‘Edit Interview’ and select the ‘Action’ button. You will be taken back to the Interview details which can be edited and then updated using the button at the bottom of the page.

8 Creating Events Exercise
Log-in to the employer side of NHS Jobs using the log-in details given by your trainer. Find the vacancy you created earlier (or work with a vacancy specified by your trainer) Select the menu option to create a new event Complete the form to set-up the event, picking the scheduling option specified by your trainer. Try adding some extra time slots. Save the event. Key points to cover: Check that your trainees are logging in to the right part of the site. Remind them to work with the vacancies they set-up earlier, or tell them which vacancies to use. Let your trainees know if there is a particular scheduling option that you want them to use.
