Step One: Go to the Auxiliary National Website Directorates Training Training Job Aid Kit Step Two: Find and Click on Awards on Left Hand Side of web-page. Step Three: Choose option Auxiliary Awards Choosing an Award Requesting an Award Coast Guard Auxiliary Ribbon Checker If you choose Auxiliary Awards. You will find a listing of awards Auxiliarist are eligible to receive. Click on an award to view additional information such as description of the award and eligibility criteria. If you choose - “Choosing an Award” you can find this PPT, AuxMan Reference, Chapter 11, etc. If you choose, “Requesting an Award”, after you have selected an award, use this section to assist you in writing the request. What you will find is: Awards Primer (20 page document telling you what and how to request the award); Awards Recognition Handbook, Vocabulary to Assist with Award Writing ( very large Coast Guard document for reference only) & CG-1650/ANSC-7002 Award Recommendation Form which must accompany all award requests. Also you will find templates and examples of the various awards.

5 SO WHY DO WE GIVE AWARDS? Now that I have shown you a shortcut to the proper selection and completing of an award, let’s talk a little about “WHY WE GIVE AWARDS?”

6 Why Award? Recognize outstanding achievement Boost morale
Motivate the members (recipient and others) “It’s our only paycheck” NOT when it cheapens the award NOT for just doing your “job”

7 Who Awards? Any Member can recommend another Member for an award (Auxiliary Manual). Elected Officers have a responsibility to identify and recognize members in their units who merit recognition. Don’t forget SUPPORT Staff!! Staff Officers responsible for identifying and recognizing members in their staff area who merit recognition.

8 When to Award? As soon as possible after the activity being recognized. Changes of Watch. District Training Weekends. When you can get the most recognition for the member. Arrange for spouse and family to be there? At a special location. Surprise?

9 TYPES OF AWARDS

10 Very rare at District Level
Distinguished Service Award Legion of Merit Plaque of Merit Meritorious Service Medal (MSM) Humanitarian Service However, if deserving, they should be recommended. However, these awards have a significant impact on the Coast Guard as well as the Coast Guard Auxiliary. At a minimum, these are signed by the District Commander but in the majority of cases by the Commandant. Each requires a Summary of Action as well as the Citation and Recommendation Form.

11 Which Awards? Unit Awards Unit Commendation
Meritorious Unit Commendation Flotilla Meritorious Achievement Medal Unit Awards: example – Coast Guard Unit Commendation, Coast Guard Meritorious Unit Commendation These are issued by the Coast Guard for a specific Unit mission or achievement. The Flotilla Meritorious Achievement Medal is often times awarded to one specific flotilla by the District Commodore and Director of Auxiliary. It is not something that an individual or unit can request.

12 Which Awards? Team Awards Meritorious Team Commendation.
Recognizes accomplishment by a team Can include Auxiliary, Active Duty, Reserves, Civilians, etc. Team Awards: example – Coast Guard Meritorious Team Commendation. This award can be recommended by the Coast Guard or Coast Guard Auxiliary……..

13 Personal Awards Auxiliary Commandant Letter of Commendation (ACLOC)

14 Auxiliary Commandant Letter of Commendation
The Auxiliary Letter of Commendation Ribbon (ACLOC) is the Auxiliary’s equivalent to the Coast Guard’s Commandant Letter of Commendation (CLOC) Ribbon. Coast Guard units and Directors can prepare award citations using the same criteria, format, and style as the CLOC.

15 AUXILIARY COMMANDANT LETTER OF COMMENDATION (ACLOC)
Members serving in any capacity with the Coast Guard or Auxiliary Act of service resulting in unusual and/or outstanding achievement Lesser than that required for the Auxiliary Achievement Medal. Service/performance for a special event or project.

17 Auxiliary Achievement Medal
The Auxiliary Achievement Medal (AAM) is given to Auxiliarists in recognition of their sustained professional and/or leadership achievements in administration or operations. The Auxiliary Achievement Medal may be awarded by any Coast Guard Commanding officer (0-4 and above) of an operational unit or serving as a DVC or higher at a district office, MLC, HQ or Director. Her is an example of what you will see when you click on the desired award ribbon.

18 AUX ACHIEVEMENT MEDAL (AAM)
Sustained professional and/or leadership achievements Over a period of time Outstanding achievement or service worthy of special recognition Outstanding level of performance and/or achievement Administration or operations.

20 Auxiliary Commendation Medal
The Auxiliary Commendation Medal (ACM) is given to Auxiliarists in recognition of outstanding assistance that furthers any of the Auxiliary’s authorized activities, except operations (since the Medal of Operational Merit is for operations). The Auxiliary Commendation Medal may be awarded by any Coast Guard Commanding officer (06 or above) of an operational unit or serving as DVC or higher at a district office, MLC, HQ, or serving as a Director.

21 AUX COMMENDATION MEDAL (ACM)
Outstanding achievement Administrative services Accomplished in a manner which is much better than could normally be expected from an Auxiliarist of like capability and experience. NOT for just doing a routine or difficult job well

23 Auxiliary Meritorious Service Award
The Auxiliary Meritorious Service Medal (MSM) is awarded to Auxiliarists who have contributed exceptional meritorious service to the Coast Guard and/or Auxiliary. Auxiliarists who serve in any capacity within the Auxiliary are eligible. The Auxiliary MSM may be awarded by any Flag officer. The meritorious performance of duty must have enhanced Auxiliary goals.

24 MERITORIOUS SEVICE MEDAL (MSM)
Exceptional meritorious service Outstanding and meritorious service Meritorious performance of duty enhanced Auxiliary goals Performance much higher than that normally expected Significant positive effect on the ability of the Coast Guard and/or the Auxiliary to complete its missions and goals.

25 Medal of Operational Merit
The Medal of Operational Merit is given to Auxiliarists in recognition of outstanding skill in performing an assist, rescue, or other meritorious operational service. The Medal of Operational Merit may be awarded by any Coast Guard Commanding officer (06 and above) of an operational unit or serving as DVC or higher at a district office, MLC, HQ, or serving as a Director.

26 MEDAL OF OPERATIONAL MERIT (MOM)
Outstanding achievement or service of an operational nature Direct, hands on, underway, surface or airborne aviation mission activity) worthy of special recognition. Outstanding operational performance, skill, assist, rescue or other meritorious operational service May recognize cumulative series of operational services

27 Auxiliary Plaque of Merit
The Auxiliary Plaque of Merit is given to Auxiliarists in recognition of extreme skill in performing an assist or rescue that involves risk to the Auxiliarist’s life. The Auxiliary Plaque of Merit may be awarded by any Flag officer with Chief Director of Auxiliary concurrence.

29 However, the easiest way is at the initial website, Click on Auxiliary Awards, then click on the desired ribbon. POP-UP It will display the Auxiliary Award, gives a brief description of the Award, the Eligibility Requirements and Key Words to be used in the citation.

31 The Awards Committee will need a MINIMUM of 45 days of processing through the DIRAUX Office!

32 Gather Performance Data On the Member
Step One Gather Performance Data On the Member Look for documentation – formal and informal Conduct interviews with: Chain Of Command Peers/Subordinates Other Witnesses Let’s look at the various steps one should follow in completing an award recommendation.

33 Do Each Of The Following To Develop Bullets
Step Two Do Each Of The Following To Develop Bullets State the impact on the District/division/Flotilla or Coast Guard Wordsmith the statement to create one concise yet simple sentence. State what was done and how it was done. (stated in the past tense)

34 Decide On The Level Of The Award
Step Three Decide On The Level Of The Award The higher the impact, the higher the award Consult with those in your chain and related staff officers Review award criteria Awards committee may raise/lower level if appropriate

35 When you start drafting the award, please refer to the CHECKLIST as your guide.

36 Step Four Draft The Citation
Use award primer and checklist. Use standard opening and closing jargon. Identify position held (if appropriate) and time period. ALWAYS capitalize the member’s LAST NAME. Mr./Ms. Jones or Commodore, NOT Auxiliarist. VERY limited use of abbreviations Acryonyms are not authorized Read the citation out loud to another to check the “flow”. Standard opening - MR. Smith is cited for outstanding meritorious achievements and skills in the performance of duty in support of ….. Standard Closing - Mr. Smith’s dedication and devotion to duty are most heartily commended and are in keeping with the highest traditions of the United States Coast Guard and Coast Guard Auxiliary.

37 What do I Write About 3 to 5 items: what the member did best
had the greatest impact on the service or unit. number-quantified action and a following result. For example, “…100 hours of member training – facilitated qualification of 3 new AUX-OPs,” has the action and the result. Ask yourself “What was done?” “How did they do it?” “What was the Result?”

38 Hints For Using Statistics
Use numbers to quantify actions and provides concrete results. For example, “Mr./Ms. Garza volunteered many hours of personal time watchstanding, which saved the Coast Guard a lot of money…” Doesn’t tell the story as well as, “Mr./Ms. Garza volunteered 400 hours serving in the operations center every Friday, which freed up one full time equivalent person to perform other duties at the Station, a benefit to the Coast Guard of $10,000.”

39 DON’T criticize an individual’s predecessor.
Focus on items that are high profile or extend beyond a member’s Flotilla/Division. The citation is an account “…which will be cherished by them and a source of pride to their families”. The Rewards and Recognition Handbook (COMDTINST P ) says “…we are telling a story to everyone about what the person receiving the award has done.

40 Cheat Sheet After the standard opening, each bullet should start with an action word like these: Displaying Exhibiting Demonstrating Showing Using Making Through

41 Cheat Sheet The next words should be an adjective-noun combination something like these: Superior leadership, he… Exceptional competence and professionalism, she… Expert technical skills, he… Highest degree of proficiency, she… Accomplished organizational abilities, she… Finely honed Keen insight

42 Cheat Sheet Adverbs work well for the next word(s) such as: Quickly
Capably Professionally Skillfully Proficiently Adeptly Effectively Efficiently

A handy tool is a Thesaurus! You can find one in Microsoft word, under the review tab.

44 Wording and the “Guts” Steer away from using specific jargon or acronyms or name of equipment that are not commonly used in the English language. A good rule is to use simple, everyday words that convey powerful thoughts. Also avoid being gushy or using “puffed up” words that seem phony or pompous.

45 Wording and the “Guts” Now, simply mix and match the words and phrases to ensure each bullet is a flowing sentence or two. Start with the accomplishment you consider to be the most significant. The body of the citation is simply 3 to 5 bullets turned into powerful, concise sentences, one after another. Voila!!! You’ve completed the citation. Well Almost

46 Wording and the “Guts” Before you turn it in, take the citation, stand up in form of a mirror, another person, and READ what you have written -- OUT LOUD! This is the most effective way to check grammar and see if what you have written really is concise, flowing, and powerful.

Step Five Edit The Citation (Use the 4-step process) 1. Read it once… Match the points with support 2. Read it a 2nd time… Organize into powerful well-connected thoughts 3. Read it a 3rd time… Delete dead words 4. Read it a 4th time… Check grammar, spelling, punctuation, and capitalization

51 Reviewers If it is NOT correct or award level changes,
Check criteria for the award given. Is the award level correct? Correct number of awards? Correct format!! Margins, font, layout etc. Check spelling and grammar. If it is NOT correct or award level changes, SEND IT BACK TO ORIGINATOR!
