Video consultations 6 initial steps for setting up video outpatient clinics Clinical team expresses an interest in setting up and are directed to facilitator 1 Facilitator sends clinical team guidance including – ‘how to guide’, patient information leaflet, example patient survey, ‘business case document’ Guidance documents available from - 2 Clinical team submits ‘business case’ (after consulting with staff ) This includes documenting; aim for the service, patient demand, types of appointments this will be used for, inclusion / exclusion criteria for patients, evaluation criteria, anticipated costs and volume of activity and signed to accept responsibilities e.g. consent 3 Business case is signed off by IT, IG, clinical and service manager/s - business case ensures clinical team have understood their responsibilities, and IT capacity and tariff are approved. Software installed by IT if required. 4 Clinical team co-design (and document) new ways of working with staff, and identify training and communication needs. Risk assessment if required. Standard Operating Procedures may include; - how to record attendance of online appointments - handling of the clinic outcome form - booking next appointment for online patients - recruitment and consent - evaluation metrics 5 Clinic set up and patient recruitment begins.. Advice to start small and pilot (PDSA cycles). Note - full set up may include; buying equipment (e.g. webcams, headset and mic) modifying appointment letters and patient information modify electronic booking system to record ‘video’ appointments linked to tariff (further guidance and BH forms available) Systematic recording of lessons learnt and evaluation metrics 6
