Welcome & Training Overview
Introduction to Terra Dotta and Usage Beginners & Refresher Training Goals: 1. View demonstration of student/applicant experience. 2. Log in and navigate layout as admin. 3. View individual applications and navigate application components. 4. View a group of applications and perform a progress audit.

Introduction to Terra Dotta
Web-based Can be accessed from anywhere One Stop Shop Promote and manage study abroad/away programs through online program brochures, announcements, videos, etc. Manage applicants and applications through phases, statuses, process elements, reminders, s, document storage, online recommendations, etc. Maintain a database on applicants drawing from SIS (CWIDS, addresses, majors, GPA, etc.) and program participants (who, where, when, how many, how often, etc.) Monitor university-related student international travel for risk management purposes and collect critical information (allergies, disability accommodations, etc.) Communicate with applicants/participants through s, reminders, etc. Instruct applicants/participants through learning content, assessments, journals, etc. And more

1. Go to international.fullerton.edu/study-abroad 2. Click Login or Search Programs

3. Once you reach the Program Portal, click CAMPUS LOGIN/REGISTER to log in.

4. Use your campus username and password to log in. *Check: Can everyone log in?*

5. Note that Administration homepage display will vary based on the amount of access and saved items you have.

6. Note the “Home” icon to the left. It allows you to switch between different views. On the back end (admin view), you have Applicant, Administrative, Reviewer and Recommender. On the front end (public view), you have Home, Programs, Staff and Deadlines. *Check: Can everyone toggle between views?*

7. Note the Admin Settings, Share Queries, Share Reports, etc. buttons.

8. Note your My Queries & Reports section. This is for queries and reports you create. 9. Note the Shared Queries link. These are queries shared with you by others. 10. Note the Browse Knowledgebase button. You can use this to search articles on how to use Terra Dotta (e.g. Creating Reports). 11. Note that these are all customizable using your Admin Settings button in the previous slide.

12. Click the Shared Queries link. For department programs, the Study Abroad Office will create queries and share them with you to help you track applicants for your college’s faculty-led programs. *Check: Do you have any shared queries from the Study Abroad Office?*

13. Click on a query link to view applicants of a specific program. A list of applicants should appear. End of Training Goal 2.

1. Click on a student/program link to view their application.

2. Note the Application Overview (display will vary based on access and permissions). 3. Note that below are the tabs to the various application components or process elements. 4. To “go back” to your query or student list, use Search Results. Avoid using the back button.

5. Note that the overview includes an Application Summary that shows the different phases and process elements the applicant has completed. The phases currently in use are Pre-Decision (Application), Post-Decision (Pre-Departure), While Abroad and Returnee. We do not use the Advising phase in Terra Dotta.

Training Goal 3: View Individual Applications and Navigate an Application 6. Click Profile to view the student’s information (CWID, , phone, GPA, major, etc.) 7. Click History Log to see student’s application activity 8. Click to the student or view the log of sent s to the student if sent within TD. 9. Click Questionnaire to see student’s responses to questionnaires. 10. Click Materials to see signature documents the student signed or material submissions the student completed. 11. Note additional tabs such as Learning Content, Assessments, Documents, Recommendations, etc. *Check: Can you view these tabs for an applicant?* End of Training Goal 3.

1. Click Search Results to go back to your query of applicants.

2. Click the Progress Audit tab. 3. Select Pre Decision. Let’s see how students are doing applying to your program.

4. Select one or all application requirements you wish to check. 5. Click Next.
