BARCODE Login Client Search Financial Eligibility To Do List
Assignments Communication 7-104 Communications from HCS Financial 14-443—communications to HCS Financial Let’s start by looking at the learning objectives for BarCode. First we’ll start by looking at the login page, then we’ll learn how to do a client search in the BarCode system. Next we will look at financial eligibility and how to determine if your MAC or TSOA client continues to be eligible for MAC or TSOA services. Next we’ll look at the To Do List, in the To Do List there are assignments and communications specifically for the MAC and TSOA case management. Communications received from Home and Community Services Financial worker are used as a communication method to allow the MAC and TSOA case manager to know specific information about their clients, these are received through a form called the In turn the MAC and TSOA case manager can communicate directly with the Home and Community Financial worker through a form called the

To sign into Barcode enter your User Name and Password
BARCODE Login To sign into Barcode enter your User Name and Password Let’s look at the BarCode Login. To sign into BarCode enter your User Name and Password and then click the OK button. If you do not have a User Name and Password please contact Snohomish County.

Client Search To search for client – Click on AU/CI Search Tab
Next let’s look at the Client Search. To search for a client click on the AU/CI Search button.

Client Search • Search for the client using their ACES ID #
Next you will have a field of filters and you will want to fill in the client ID number or the ACES ID number. You can find that number in the GetCare system in the client file. You can also search by last name, first name and date of birth but don’t forget to click on the search button to get a match in the BarCode system.

Financial Eligibility
Click on the “Cl Particip” button Once you have the client information, click on the “Client Participation” button.

Financial Eligibility
• Look for the Med Cvrg code • Look at ACES Medical Coverage Group in the “Med Cvrg” column and ensure the “Status Cd” (status code) show “A” (active). Note the Begin Date and Paid Thru Date columns to see dates for that coverage group. Once you are in the client participation you will then get a screen that will indicate the programs that your client is participating on, or has participated in and were closed, or that they were denied for. Let’s start by looking at the medical coverage group. In this case this client is on TO2, TO2 is the ACES code for Tailored Supports for Older Adults. If you look to the right the status code is the letter “A” and that means the status is active. So this client is active on Tailored Supports for Older Adults.

Financial Eligibility
All Active Programs display first. Closed Programs display second. Denied Programs display last. You can learn a lot of information in BarCode about programs the client is active on, programs the client has participated in that are now closed, or programs the client has applied for but were denied. All active programs display first followed by the closed programs and then finally the denied programs.

Barcode To Do List CHECK YOUR TO-DO LIST DAILY Click on the To-Do tab
Next let’s look at the BarCode To-Do List, check your to-do list daily. Click on the To-Do list tab.

Barcode To Do List Assignments
To complete an assignment either double click on the client or select ECR. Once in the To-Do list you can see there are a myriad of assignments to the MAC and TSOA case manager. You’ll want to click on each and read the information that is being communicated to you by Home and Community Services financial worker.

Once an item is selected you are taken to the Client ECR pending tab. Highlight the item you want to complete and click on the View button. Once an item is selected you are taken to the client pending tab. Highlight the item you want to complete and click on the view button. Once you have completed the assignment, click on the assign button. Once you have completed the assignment, click on the Assign button.

Barcode To Do List Assignments
Highlight your assignment and select Action Completed in the Completed/In Process area at the bottom of the page. Click on Ok Highlight your assignment and select the Action Completed and that’s at the bottom of the page. Click on OK, now you have worked the document. “Work It!”

Barcode To Do List Communications
Types of Communication: 7-104’s – notes received from DSHS/HCS Financial Worker – internal communication, notes sent to DSHS/HCS Financial Worker Once a communication is acted upon or “worked”, then you can remove the communication from your TO DO List.

Barcode To Do List Communications
This is a 7-104—a communication from the HCS Financial Worker—by double clicking on the line, the worker can view the communication and act upon it as needed. Let’s re-review the types of communications. There are two types of communication, there is a which comes directly from the DSHS/HCS financial worker and the which is a communication from the MAC and TSOA case manager directly to the DSHS/Home and Community Financial worker. Here is an example of a from the Home and Community Services financial worker. Double click on the line and then the worker can view the communication and act upon it as needed.

Barcode To Do List Communications
To communicate with HCS Financial worker, the worker will send a —internal communication form through BarCode To send internal communication click Forms on the top tabs. Scroll down and select Internal Comm To communicate directly with the Home and Community worker go to forms and drop down to the internal communication and click on it.

Sending the Communication to HCS Financial Worker Select the Required tab and click on Other Once you have clicked on it you want to then click on the required tab and then to the right and down a little bit you will want to click on the square that says other.

Select Comments- document any information you need Click on Save to ECR From here you can then click on the tab that says comments. This opens up a field and allows an area of free text. Once you have printed out what you want for the Home and Community Services worker then you will click on the ECR and that sends the communication directly to the Home and Community Services financial worker and becomes a record in BarCode.

We went over the login page. We learned how to do a client search. We know the medical coverage groups that we need to look at for financial eligibility, we’ll spend more time with this on the in person training. We also look briefly at the To-Do list knowing that there are assignments for the MAC and TSOA case manager as well as communications directly from Home and Community Services in a And then learned the ability to send a communication through a internal communication.
