4 Workshop Objective The objective today is to support you in becoming the best Zone Chairperson you can be!

6 Zone Chairperson Job Responsibilities
You are a vital member of the district leadership team You are a voting member of the District Cabinet. Job Responsibilities What am I expected to do?

7 Let’s start with your main role.
You are the link between the district leadership and clubs in your zone

8 Your role when working with the District Cabinet:
Attend quarterly district cabinet meetings Seek guidance from district leaders to assist clubs Report to district leadership on the progress made by the clubs in your zone and challenges encountered

9 Collaborate with the district governor to ensure clubs in your zone:
Are in good standing Are visited more than once a year Conduct service projects in their community Have effective internal communication and a public relations program. You are the administrative officer of your zone

10 Your role when working with the clubs in your zone:
Communicator Consultant Motivator Counselor

11 Facilitate two-way communication between the district and the clubs
Communicate & promote District, Multiple District, and LCI programs, activities, events and opportunities to your zone clubs Through s, phone calls, newsletters, visiting your clubs, and holding informative zone meetings Encourage clubs to support district programs and activities Report back to district leaders on progress of clubs in your zone

12 Consultant Make sure clubs: Function per LCI policy
Operate under an up-to-date and duly adopted Club Constitution and By-Laws Demonstrate sound financial practices Have an effective public relations and marketing program Develop leadership potential of their members Assist clubs to achieve excellence and remain strong

13 Motivator Remind clubs to submit ALL required reports on time
Monthly Membership Report Service Activities Report Incoming Officers Online

14 Encourage attendance at International, Multiple District and District conventions, conferences, training & events Help club officers effectively fulfill their current role Provide opportunities for club leaders to consider higher offices and enhance their leadership skills

15 Look for communities within your zone which would benefit from the services of a Lions clubs
Conduct a new member orientation Assist clubs to develop & implement a membership recruitment plan

16 Encourage inter-club activities and service projects
Recognize accomplishments of clubs and Lions in your zone Respond to club questions/concerns

17 Visit each club in your zone at least once
Participate in meetings & activities Encourage clubs to report service activities Assess club health Provide support to clubs as requested or needed Promote a community needs assessment

18 Assist GMT in membership development
Assist GLT in leadership development Assist GST in service project development Hold at least 3 zone meetings

19 Counselor Provide coaching and guidance
Assist with conflicts within clubs

20 Conflict Resolution Listen to both sides
If necessary, seek a second opinion from a knowledgeable Lion not directly involved with the conflict Use the appropriate Dispute Resolution Procedure (if appropriate) Conflict Resolution information is available on the LCI website

21 Tips for Great Club Visits
All clubs in your zone should be visited during your term as Zone Chair. Your visit may be completed at: a regular club meeting or a business (board) meeting Before you go – PREPARE!

22 Before your club visit Check the club’s website or e-clubhouse and club Facebook page Become knowledgeable about its projects It may be helpful to have a club roster

23 Ask club leaders about their interests and how the district can support them.
Take a induction ceremony with you and be ready to induct new members if asked Prepare an invocation in case you are requested to do that honor or do the Lions Toast.

24 Be prepared to answer questions on a wide range of subjects
Be prepared to answer questions on a wide range of subjects. These may include: LCI programs & initiatives Multiple District & District projects GAT positions & function Submitting reports Dues

25 for your visit will ensure a smooth
Remember… Time spent preparing for your visit will ensure a smooth time at the club

26 Tips for Great Zone Meetings
Select a convenient time/place Send meeting notices well in advance (At a minimum, request RSVPs for club Presidents and Secretaries)

27 Prepare an agenda (and stick to it!)
Print a copy off for each club president (at a minimum) Keep the meeting on track and respect the time of attendees

28 At the Zone Meeting Select someone to take minutes
(or use a digital recorder) Encourage clubs to share information Ask for feedback Send minutes to club presidents

29 Remember…… You are in charge - that includes keeping speakers concise & within their allotted time Your leadership & enthusiasm will make the meeting something clubs will want to attend and be seen as an informative communication tool.

That means the CLUBS choose the projects and activities that impact their community the greatest. HOWEVER…. They must operate within LCI’s Constitution and By-Laws

50 Arizona Lions Rally Day
Saturday, January 25, 2020 PHASE 1 of statewide membership drive GOAL: 1. Visibility all over the state. Service – it’s what we do! United effort to serve on one day! Why? Why not! Easy and achievable for every club Let the state know who we are PHASE 2 follow up with possible recruits and encourage EACH club to do SOMETHING to sustain and increase visibility.
