4 WORD PROCESSING UNIT 4.1

5 Word processing The editing, creation, manipulation, printing and storage of text or information. To manipulate text on the screen is to insert, delete, move, copy and correct it.

6 The advantages and disadvantages of word processing
Avoid duplicating documents unnecessarily when you have to make changes on them. Editing is easy and saves time. If you have to make copies of work, it only takes up a little space. Document layouts are easy. Final text will look neat ̶ you can change your character styles (appearance) and sizes. Can also perform spell checks and perform mail merge.

7 The advantages and disadvantages of word processing
Need to upgrade your application software frequently. Need to have a working knowledge of word processing. Impractical for short text. Important information can be lost.

8 How to start Microsoft Word
Click on Start. Click on All Programs. Click on Microsoft Office. Click on Microsoft Office Word 2007. Or click on the Microsoft Word icon on your desktop.

9 Your screen layout The title bar At the top of your screen.
Will tell you that you are working in MS Word 2007 as well as the active filename. At the top of the screen on the right-hand side, find the following icons: Figure 4.1: Minimise, maximise and exit

10 Your screen layout The menu bar Lies underneath the title bar.
Consists of the following menus: File, Home, Insert, Page Layout, References, Mailings, Review and View. Click on File, the drop-down menu for File will appear. Click on one of the other menus, you will find icons to help you with what you need.

11 Your screen layout The ruler bar The status line
Click on the View menu, to activate or deactivate your ruler bar. The status line At the bottom of your document. Tells you the exact position of your cursor.

13 The mouse and cursor movements
A pointing device with left and right buttons: - Left: to select programs, execute commands, drag functions. - Right: to display shortcut menus, for special drag commands. The cursor Is moved around on the screen by control of the mouse.

14 The mouse profile The Ι-beam helps you move around in your document.
The cursor with which you can point to an option on the menu bar or to icons to select them. Find this on the ruler bar to adjust your margins. Find this on the left-hand side of your document to select a line or paragraph or the full document. Will display when MS Word is busy executing a function. Will be displayed if more help is available in the Help function.

15 How to move around with your mouse
Scroll bar On the right-hand vertical side of the screen. Use this to scroll up or down in your document.

16 How to select text with the mouse
One word Double click on the word to select. One line Click in the left margin of the line to select. One sentence Hold your CTRL key down, and click in the sentence to select. More than one word Place your I-beam on the first character you want to select. Click your left mouse button, hold it down and drag it over the text to be selected. Now release the left mouse button. Multiple lines Click in the left margin of the text you want to select and drag the mouse either up or down depending on what you want to select.

17 How to select text with the mouse
Paragraph Double click on the left-hand side of the paragraph you want to select. Whole document Triple click in the left margin or hold your CTRL key down and click in the left margin of the paragraph to select. Group selection Position your cursor where the highlighting must start and click. Hold down your SHIFT key and click where the highlighting must stop. Unselect Click anywhere outside your text area to unselect.

18 How to move around using your keyboard
Move one character to the right. Move one character to the left. Move one line down. Move one line up. HOME Take you to the beginning of the line. END Take you to the end of the line. PAGE UP Move one screen up. PAGE DOWN Move one screen down. CTRL+ Move one word to the right.

19 How to move around using your keyboard
CTRL+ Move one word to the left. CTRL+ Move one paragraph up. CTRL+ Move one paragraph down. CTRL+PgDn Move to the bottom of the screen. CTRL+PgUp Move to the top of the screen. CTRL+END Move to the end of the document. CTRL+HOME Move to the beginning of the document. CTRL+G Move to a specific page. You can also double click on the page number in the status bar. Type in the new page number. Click on Next. Click on Close.

21 Editing commands How to save a document
Use the Save icon on the toolbar – select the folder to save to, type the filename, click on Save. OR Use the menu bar – click on File and Save. Use the keyboard – press CTRL+S. Use the Save As function – and change the filename.

23 Editing commands How to open an existing file Click on File.
Click on Open. The My Documents screen will appear. Select the folder where the file is stored (double click). Or select the file and click on Open.

24 Editing commands How to close a file
Click on File Menu, then on Close. If the document was not saved, the computer will ask if you want to save. If yes, click on Save. If no, click on Don’t Save.

25 Editing commands How to delete
The following commands can be used to delete text.

26 Editing commands How to undo your typing
When you delete text by mistake, press your Undo Typing icon (left curved arrow next to File). If you realise that you really did want to delete the text you just got back, press the Repeat Typing icon (right curved arrow, next to File).

27 Editing commands How to use the Insert key
MS Word uses the Insert On mode as the default for editing your text. Position the cursor where you want to insert the text, then existing text will move to the right when you start typing.

29 Editing commands How to print Click on File.
Click on Print. The print screen will appear with options. Ensure correct printer is selected. Click OK.
