2 Registering new users for 7 Day Self Assessment Tool

3 After navigating to www. 7daysat. nhs
After navigating to please click on the ‘User Registration’ button.

4 Fill in all the relevant details about yourself
Select your Trust Your address must either be your Trust address or an nhs.net address Select your user permission type from the ‘User permissions’ drop down box; either “Data submitter” or “Data approver”. Selecting each one will display a message describing what the responsibility of each role entails as well as altering the security questions. For more information about the roles, please see slides 6-8. You need to agree to these questions in order to register There can only be one Data Approver per Trust and this person must be the Trust Medical Director or member of the Executive Board.

6 Explanation of the ‘User Types’ in the 7 Day Self Assessment Tool

7 DATA APPROVER For the September 2016 survey, an approver role for an Acute Trust must be the Medical Director or member of the Executive Trust Board. There can only be one approver per Trust. The ‘data approver' grants other users (‘data submitters’) access to the tool and only they have the permission to approve their survey data for submission to NHS England. The ‘data approver’ also receives alerts that new potential ‘data submitters’ have registered. If the ‘approver’ wishes the person they have been alerted about to be a ‘data submitter’ then they should log into the tool and grant them access (See Slides 14-16). After registration the ‘data approver' will receive a password to log into the 7daysat site. The ‘data approver' password should be retained and used only by the person registered in this role.

8 DATA SUBMITTER ‘Data submitters’ can log into the tool and enter data for the survey.  They have access to the majority of other sections on the homepage (such as Analysis, Data Downloads and Resources) however some sections will not be available. ‘Data submitters’ cannot approve the survey submission to be sent to NHS England or Add/Remove other users access to the tool. After registration the ‘Data submitter’ will be ed confirmation of their registration, this will also go to the ‘Data approver’ of the same organisation. Once the ‘Data approver’ logs into the tool and grants access to the ‘Data submitter’ (via the ‘add/remove users’ button on the home page), the ‘Data submitter’ should then receive another informing them of their password.  Logging on using this, the ‘Data submitters’ will be able to enter and save data, but they will not have permission for data to be approved using the approver button on the home screen.  This button will be hidden from the ‘data submitter’.

12 Once you have logged in you should see this Home Screen
Click the ‘Account Details’ button to edit your details

You can: Change your name, job role or telephone number. Review (but not amend) your Trust Name, address and permissions – if any of these details needed amending, please Contact Us View the latest privacy policy You click here to return to the Home Screen

Add or Remove Users on 7 Day Self Assessment Tool

15 Once you have logged in you will see this Home Screen
Click the ‘Add / Remove Users’ button to administer users. If you are a ‘Data submitter’ this button will be greyed out and will display the name of your Trusts ‘Data approver’

16 You click here to return to the Home Screen
If you are a Data Approver you can: Grant ‘Data submitter’ access to a registered user Transfer your ‘approver’ rights over to another user (this will remove your ‘data approver’ status and leave you as a ‘Data submitter’ only). Delete registered users from your trust

17 Approve Registered ‘Data Submitters’ on 7 Day Self Assessment Tool
(only Applies to ‘Data Approver’ user type)

18 The list on the right hand side shows all registered users who have been granted ‘data submitter access’. By selecting a user and clicking this button, the user selected will be removed from the ‘data submitter’ list and their access to the tool will be revoked. The user will be ed to let them know this has happened. By selecting a user from the left box and clicking the ‘Make Data Submitter’ button, the user selected will be granted ‘data submitter’ access and they will also be ed the password to log into the tool as a ‘data submitter’. Users must register themselves first as a ‘data submitter’ before you are able to grant them access.

Transfer ‘Data Approver’ role to a ‘Data Submitter’ on 7 Day Self Assessment Tool (only Applies to ‘Data Approver’ user type)

20 Click the ‘+’ icon to open up the relevant section.
Select a user from the list and click the ‘Make User The New Approver’ button. This will convert your own account to a ‘data submitter’.

21 Delete a registered user on 7 Day Self Assessment Tool
(only Applies to ‘Data Approver’ user type)

22 Click the + icon to open up the relevant section
Select a user from the list and click “Make User The New Approver”. This will convert your own account to a ‘data submitter’. Click the + icon to open up the relevant section Select a user from the list and click the “Delete Selected User” button. This will permanently delete that user.
