1 OCFS Data Warehouse Basic Training
This slideshow is designed to show OCFS Data Warehouse users how to access Cognos 8, navigate the Cognos Connection portal, run predefined reports, and manage report output. To begin, select Slide Show  From Beginning from the PowerPoint toolbar at the top of the screen. To stop at any time, hit the Esc key on your keyboard. Last Updated: 3/10/2011

2 Open Internet Explorer, and enter the appropriate web address.
Local Districts and State Staff or SSL/VPN Agency Staff

3 Read the confidentiality warning, and click I Accept.

4 Click once on My Home to enter the Cognos Connection portal
Click once on My Home to enter the Cognos Connection portal. To skip this screen in the future, remove the check from the “Show this page in the future.”

5 You should see a minimum of three portal tabs – Public Folders, My Folders, and OCFS Data Warehouse. If you do not see the OCFS Data Warehouse portal tab, follow the instructions on the next few slides to add it.

6 Adding the OCFS Data Warehouse tab Step 1: Click on the Tab Menu icon to the left of the Public Folders and My Folders tabs, and select Add tabs...

7 Adding the OCFS Data Warehouse tab Step 2: Navigate to Public Folders > Global Reports > Portal Pages.

8 Adding the OCFS Data Warehouse tab Step 3: Check the box next to OCFS Data Warehouse, and click on the green arrow. Local District staff can add their County portal tab, as well.

9 Adding the OCFS Data Warehouse tab Step 4: When your selection(s) appear on the right side of the screen, click on the OK button to return to the Cognos Connection screen.

10 From the Cognos Connection screen, click once on the OCFS Data Warehouse tab, if it is not already selected. Messages from the Data Warehouse team will be displayed at the top of this tab.

11 Click once on a folder name to see available reports related to that topic. In this example, we clicked on the Out of Home Settings folder to display reports about facilities, foster homes, and foster home members.

12 The path, or breadcrumb, on the Cognos Connection screen shows where you are in the Cognos Connection portal. Clicking on the OCFS Data Warehouse part of the path will return you to the main list of predefined report folders.

13 Click once on any report name to run it
Click once on any report name to run it. The icon appears next to reports, while the icon appears next to a report write-up or other piece of documentation.

14 Report output that spans multiple pages will have a Page Down link at the bottom of the screen.

15 To re-run the report, click on the Run button on the Cognos Viewer toolbar. This is useful when your report has prompts and you want to run the report again with different prompt values.

16 To view the report in PDF format, click on the View in HTML Format icon on the Cognos Viewer toolbar and select View in PDF Format. To save or print locally, use the PDF toolbar.

17 To view the report in Excel format, click on the View in HTML Format icon on the Cognos Viewer toolbar and select View in Excel Options. Then, select the Excel format of your choice. To save or print locally, use the Excel toolbar.

18 When finished viewing the data, close the Cognos Viewer by clicking on the Return arrow in the upper right corner of the screen. If there is no Return arrow, use the red “X” or select File > Exit to return to Cognos Connection.

19 The User Tools folder contains links to various resources.

20 To logout of Cognos properly, click on the Log Off link at the top of the screen.
