Objectives Occupational Therapist Assistant & Physiotherapist Assistant Education Accreditation Program Review the role of a Peer Review Team (PRT) Member. Highlight the benefits of being a peer reviewer. Discuss the tasks and responsibilities of a PRT member when participating in a peer review.

Peer Review Teams (PRTs) Occupational Therapist Assistant & Physiotherapist Assistant Education Accreditation Program Each PRT for OTA & PTA education programs consists of four members: one occupational therapist representing the Canadian Association of Occupational Therapists (CAOT) one physiotherapist representing Physiotherapy Education Accreditation Canada (PEAC) one occupational therapist OTA & PTA educator one physiotherapist OTA & PTA educator

Role of a Peer Review Team (PRT) Member Terms of Reference for Peer Review Teams Terms of Reference for Peer Review Teams 1.Actively participate in the off-site and on-site reviews of an OTA & PTA education program. 2.Collaboratively write a report that evaluates the program’s evidence of compliance with the accreditation standards and criteria. As a PRT member you do NOT make a recommendation about the program’s accreditation award – only compliance with regards to individual accreditation criteria. Responsibilities of a PRT member At-a-glance Occupational Therapist Assistant & Physiotherapist Assistant Education Accreditation Program Confirming Agreements. On-Line Training & Orientation Program. Review of Self Study. PRT Off-site Review by Teleconference. Collaboratively write off-site report. Pre-On-site Review (6 months ahead) Travel to site and initial planning meeting with PRT. Preliminary meeting with Education Program. Conducting two day on-site review. On-Site Review (3 – 4 days on-site) Debrief with PRT. Collaboratively write final written report. Complete self and group evaluations Post On-site Review (2-3 weeks post visit)

Pre-Visit Preparations (6 months in advance) Occupational Therapist Assistant & Physiotherapist Assistant Education Accreditation Program 1. Conflict of Interest Declaration 2. Confidentiality Agreement 3. Participate in On-Line Orientation and Training Program

Pre-Visit Off-Site Work (2 months in advance) Occupational Therapist Assistant & Physiotherapist Assistant Education Accreditation Program 4. Review Education Program’s Self Study and related documents. 5a. Participate in off-site PRT teleconference to determine if Education Program is ready for an on-site visit. 5b. Collaboratively write the off-site written report based on pre- assigned sections.

Responsibilities of a PRT Member On-Site Visit (3-4 days on-site depending on travel) Occupational Therapist Assistant & Physiotherapist Assistant Education Accreditation Program 6a. Travel to Education Program. Meet with PRT to confirm plan. 6b. Conduct preliminary meeting with Program Coordinator/Chair and selected members of the Education Program. 6c. Conduct on- site review and participate in the interviewing and collection of evidence. Includes debrief and analysis of evidence with PRT.

Responsibilities of a PRT Member Post On-Site Visit (2-3 weeks) Occupational Therapist Assistant & Physiotherapist Assistant Education Accreditation Program 7a. Collaboratively write on-site written report including summary and recommendations 7b. Complete self and group evaluations. 7c. Discard information.

Tasks and Responsibilities for PRT Members Arrival Day Major Tasks Orientation to fellow team members. Review of the written off-site report to identify what supplemental or missing information is still needed. Preliminary meeting with Program Coordinator, Chair and selected members of the Education Program to confirm agenda/plan for on-site visit. Finalize interview roles – members need to know which questions they will be asking and who will take notes. Meeting and Greeting Assigning roles and planning ahead Note-taking

On-Site Visit Day 1 Major Tasks Large group meet and greet and introductory remarks. Tour of facility/teaching spaces. Interviewing with stakeholders that have been selectively grouped (e.g. Faculty, Students, Graduates, Preceptors, Admin or Managers). Debriefing in the evening and initial report writing. Strategies 1.Have name tents or stickers. 2.Stick to time allotment. 3.Rotate being lead and notetaker while interviewing to minimize fatigue. 4.Be prepared for technology assisted participation (e.g. Teleconference, Skype etc..) 5.START COMPLETING SECTIONS of the on-site report while information is fresh.

On-site Visit Day 2 Major Tasks Continuation of interviews with remaining stakeholders Clarification and verification of information collected from Day 1. General debrief with Program Coordinator and faculty. Strategies 1.Honour privacy and confidentiality for each stakeholder group being interviewed. 2.Adopt an attitude of non- judgmental inquiry. 3.Be neutral to positive or negative comments from the program – just take down the information

PRT members contribute to a Peer Review by…. Being a good listener Validating people for their work and efforts Respecting diversity Encouraging and promoting quality with enthusiasm Fostering a climate of shared responsibility for gathering evidence to support the program.

What strengths or contributions do you believe this person can offer by participating on a peer review team?
