MODULE TWO MANAGING, FINDING AND SELECTING INFORMATION Functional ICT

Recap – Making the most of your computer What are interface features?  Windows  Icons  Drop down menus  pointers What are icons?  Shortcut to software applications What can you do in the control panel ?  Adjust systems settings  Install new software A printer is not working – what should you do ?  Check the power  Check cables  Ensure no paper jam  Check the printer is installed Designed to make computers easier and quicker to use Input devices : Keyboard Mouse Microphone Input devices : Keyboard Mouse Microphone An input device is any hardware device that sends data to the computer

Managing, Finding and Selecting information Lesson Aims and Objectives  create appropriate folder structures;  control access to files;  store information securely;  take appropriate action to minimise the risk of computer viruses;  use meaningful file and folder names. You will learn how to:  create and work with files and folders  build appropriate folder structures  control access to files

File Names and Extensions Task – in pairs, discuss the following filenames. What is the software application and what do you think the file contains? 1. Doc1.doc 2. Assignment v6 due 7Feb 2012.doc 3. CafePoster.pub 4. Presentation1.pub 5. Table.xls 6. Cd price list.xls Which ones are the most useful and why? 5 mins Extension task : What software opens a.dwg file

File Names and Extensions A filename is made up of two parts Sometimes you may not be able to open a file that someone has sent you. Why ??

Skill Builder 2.1 1. Find out which software application will open these file types: textbook.pdf sunset.gif index.html ticketsales.xls health-safety.odp 2. Using word, create a new document and enter a few words. Save the file in your user area with a filename of your choice. Close the file and word. Locate the file in the file directory. Change the first part of its filename. Can you still open it in the software application in which it was created? Change the extension – can you still open it ? 10 mins Extension task : What is open source software?

Recap - File Names and Extensions How meaningful are your filenames ? Can you always tell what application software has created the file? Is the extension fixed by the creating software or do you have a choice? Can you use the same file name more than once?

Keeping Control of Information and files What two things can you do to a information in a file to make it secure? 1. Make it read-only 2. Set the permissions to limit what others can do i.e. read, write, edit The file themselves? Set a password to prevent others from opening it.

Passwords Task – Think of a password that you currently use and test its strength on : http://www.passwordmeter.com/ Is your name a good password to use ? What combination is good for passwords? First letter of each word and a date Retest your password – is it a higher score ? 5 mins

Skill builder 2.3 Passwords Open the document in Learn Zone- week two named permissions. What happens ? Create a word document and:  set a password;  restrict editing;  mark as final. 10 mins Extension task : Set permissions on an excel document.

Recap- Passwords and permissions Make files and information read-only, but remember your password or settings! Set the permissions to limit what others can do i.e. read, write, edit, but remember your password or settings! Passwords should be mix of letters, numbers, symbols and cases, but remember your password! Use a phrase to create a password – my sisters birthday is June #12 1982 = msbiJ#121982 100% strength

Folder Structures and File sizes Open Skill Builder week two in Learn Zone.  Are the folder names meaningful? Task- create a folder structure in Google docs to contain all you information for this module for the next 5 weeks. It must include :  Folder structure  Meaningful names  Change folder colour 10 mins Extension task : share your folder with me – rachael.folds@louc oll.ac.uk

Recap- Folder structures Make files and folders clear as to what they contain. Set the permissions to limit what others can do i.e. read, write, edit.

Homework Investigate file compression and produce a report of around 250 words  Why use file compression  Benefits  How it is done Share this document with me by next week.
