3 Recruitment Validation Tables
Job Contains description as well as other key job details such as FLSA code Posting Question Category Allows client to create categories to organize job posting questions Optional Application Status Status labels Client can create custom labels for all statuses except New Applicant and Hire Cost Type Categorize costs associated with recruitment ‘Cost to Hire’ report Hold off on going into product until after next slide

4 Application Status Labels
Setup  Tools  Validation Tables  Application Status Status Label groups are standard: New Application Screening Interview Offer Rejected Keep on File Pre-Hire Hired Use Status Labels to: Organize, Track, Search applicants Show or hide applications from managers Send communications to applicants Notify users of applicant status changes Report on applicant statuses Go out to Validation Tables and show each Go out to Status Labels table and show options as well as which can be edited/added All applications receive New Application status when submitted Hired status label names are system-assigned and cannot be modified

5 Job Posting Questions Important!
Setup  HR & Talent  Recruitment  Posting Questions Answer Types Many to choose from! Combo menu, date field, yes/no, and more Use the ‘Add Multiple Options’ feature for convenience Copy a Question Categorize your Questions Important! Questions cannot be edited or deleted once associated with an application Once an application is associated with a question, client can only add or deactivate answer options Client can change a question’s Category at any time Go out to Posting Questions in Setup and show answer types, multiple options, copy, and categories. Try deleting a question that is associated with an application (the Mars question) to see resulting error message.

communications can be sent when the client: Receives a new application Screens candidate Arranges an interview with candidate Gathers pre-hire information Makes an offer to candidate Keeps candidate on file Rejects an application Standard vs. Custom s Select application status types that can use the message Only one communication can be associated New Application status Show Communication page and options

Information collection settings Settings apply to ALL job postings Best practice: populate the settings once, and do not adjust them unless company policies change Settings available for: Voluntary Self-Identification (VSID) information Required Fields regarding applicant personal information Posting Settings including résumé submission

8 Voluntary Self-Identification (VSID)
VSID: information such as gender, race, ethnicity, and veteran status System can prompt for VSID information, but it cannot be required Options: Allow collection of VSID information Keep VSID information linked to applicants Important! Do not turn the linking option off and on once activated Practitioners needing to view/edit/report on VSID should have VSID rights: Setup  Security  Access Permissions  Menu Access  Practitioner  Process  Talent  Applications Go into system and review settings.

9 Creating Open Requisitions
Setup is now complete! Use Requisition Wizard to create open requisitions to post Clients can post to: Company website ADP-hosted Career Center External job posting sites (Monster, CareerBuilder) Social networking sites (Facebook, LinkedIn) Open requisition = a request made to fill an open position within a company Posting = published version of the open requisition: what the applicant sees Posting includes job description, requirements, questions, résumé and information gathering

10 Requisition Wizard Process  Talent  Requisitions
Requisition Wizard walks the user through the following steps to create an open requisition: Choose job Provide position information Define languages Define or change posting settings Select or add questions Define manager access to postings and notifications Confirm selections Go into system and go through req wizard to create a new posting.

11 Posting an Open Requisition
Clients can post requisitions to a variety of sites Note: To publish the posting, Requisition Status must be ‘Open’ or ‘On Hold’, and Posting Status must be ‘Accepting Applications’ What is Career Center? Career Center is an ADP-hosted site where applicants can: Log in, or register for an account if first-time user Search for and view listings of open jobs in the company View job details View and update profile Career Center stores applicant’s profile information, making it easy to apply to multiple positions URL displays in Setup  HR & Talent  Recruitment  Settings  Posting Settings Show the Req Status and Posting Status on the req we just completed.

12 Registering For and Using the Career Center
First-time applicants must register for an account before applying Returning applicants must log in, and previously stored information will populate Applicant must populate security questions and answers for use in the event of a forgotten user ID or password Note: User ID and password will not automatically become the applicant’s login information if he is hired by the company. They are used exclusively in the Career Center. Go to Career Center and show that you must register or log in to apply, log in as jennifer_applicant

13 Searching for Candidates

15 Updating Applicant Status
Process  Talent  Applications (practitioner) My Team  Talent  Applications (manager) Header bar: click Change link, next to current status Select Application Status Choose Option: Custom Standard (if available) No Edit subject, reply to, and text if desired Add a note (optional) Clicking ‘Done’ will send the (if selected), and update candidate record, status history, and communication history Change a candidate’s status
