Credentials Defined Credentials have 4 categories Team - Credentials required to become a member of a team, such as Hazmat. These consist of classes, objectives and skills or actions taken that must be met by all team members. Certifications - Credentials required to receive a certificate of achievement--classes passed, skills attained, actions taken in the field. For example, an EMT Basic certificate might require 160 training hours in specific objectives and skills. Degrees - Credentials required to earn a degree. For example, college or technical degree curriculum.

Credentials Defined Continued… Other - A catch-all category for credentials that don't fall in the other three categories. An example could be a mandatory class requirement for a given period of time that can be assigned to individuals for progress tracking. A credential can be initial or renewal. An initial credential is one that is required up front, for example, to become a member of a team or gain a certification. A renewal credential is one that is required to maintain status, for example, to stay on a team or remain certified.

Customize Credentials 1.Click “New” 2.Code - Type a unique code for each credential you create. 3.Description - Type a brief description of the credential. 4.Type - Select the category to which the credential belongs. 5.Expiration Term - Select this check box if the credential will expire after a period of time. (months) - If the credential has an expiration term, enter the number of months that will pass between the time that the credential is earned and the time it expires.

Customize Credentials 1.Effective Date - Enter the beginning date that the credential went into effect. 2.Local Qualifications - Select this check box to act as a trigger to indicate if someone has met a local qualification. 3.Obsolete Date - When a credential becomes out of date, enter the date that it becomes obsolete here. 4.Comments - Type any miscellaneous notes for the credential. 5.Click - “Save”

Requirements -Objective/Skill - Requirements can be defined for the achievement of an objective or skill. -Category/Class - Requirements can be defined for the completion of a class or category of classes. -Credential - Requirements can be defined to obtain another credential. -Actions Taken - Requirements can be defined for actions taken during an incident. -Aid Given - Requirements can be defined for aid provided in an EMS incident. Customize Credentials Requirements – Initial The Initial tab is used to set a time frame for completing a requirement when working toward the initial credential. Complete ___ time(s) within ___ months Use these options to indicate the number of times the requirement must be met within a given time frame. Some requirements may only have to be met once. Others, such as incident-related actions, may be required multiple times.

Customize Credentials With a minimum ___ of ___ For required classes and objectives/skills, use this option to set default results--test scores, time taken to complete a skill, and so on--that must be met to successfully complete the requirement. The available options are based on your user- defined training and objective results. The drop-down list contains all integer, numeric and character based user- defined results. If there are no user-defined results of this type, this option is dimmed.

Customize Credentials Requirements – Initial With a "Y" for ___ of ___ This option works similar to the "with a minimum" option except that it draws on user-defined Y/N (Yes/No) results. If there are no user-defined values of this type, this option is dimmed. Accumulate ___ within ___ months This option draws on user-defined training and objective results to allow you to set minimum accumulation requirements. For example, a user might be required to accumulate two minimum test scores within a year to meet a requirement. Like the other options, this is dimmed if there are no user-defined results.

Requirements – Renewal The Renewal tab is used to set the time frame for completing requirements for renewing a credential. This tab only applies when a credential must be periodically renewed. The options on this tab work the same as on the initial tab. The purpose of this tab is for when renewal requirements differ from initial requirements. Same as Initial Click this button to make the Renewal requirements match the Initial requirements. This draws the values from the Initial tab and inserts them here. Customize Credentials

Credentials Earned Explorer Explorer - The Credentials Earned Explorer is used to create and maintain a record of credentials earned by staff. Select Tree View - This option is used to control how the tree view is organized. –Select Credential to have the tree view organized by credential. With this option, you can click a credential to see all personnel who have earned it or are working towards it. You can also assign the credential to persons. –Select Personnel to have the tree view organized by employee name. With this option, you can click an employee's name to see all credentials that the employee has earned or been assigned. You can also add credentials earned for that employee.

Credentials Earned Explorer 1.Code - The unique ID assigned to the credential. When selecting a credential, you can type the code of the credential you want in this text box. 2.Description - A description of the credential.

Credentials Earned Explorer Personnel - Use these options to select a person to whom you wish to assign credentials. Click the Explorer button to select from the Personnel Explorer You can also "quick select" an employee by typing that person's employee number in the Number text box and pressing the Enter key.

Credentials Earned Number - The ID assigned to the employee. When selecting a person, you can type the employee ID of the person you want in this text box. Name - The employee name.

Credentials Earned Explorer Current Tab Shows the most up-to-date details about a credential earned--that is, when the current credential was last earned by the employee.

Credentials Earned Explorer Received Date The date that the employee met the credential requirements. Until a Received Date is entered, the employee is not marked as having received the credential in FireRMS.

Credentials Earned Explorer Qualified Date The date on which the employee is qualified. Can also be used to indicate that local qualifications have been met.

Credentials Earned Explorer Expiration Date The date that the credential is no longer valid for this person-- for example, if the credential is only valid for a certain time period before it must be renewed.

Credentials Earned Explorer Provider The training provider from whom the credential is received.

Credentials Earned Explorer Qualified by Shows the person who "signed off" on the completed credential.

Credentials Earned Explorer Comments Any miscellaneous notes for this credential earned.

Credentials Earned Explorer Move to History This button is used to move a credential earned to the History tab. The History tab is used to store credentials that are no longer current.

Credentials Earned Explorer History Shows a record of a credential earned for an employee. Each time the credential is renewed, the expired credential can be moved to the History tab.

Scheduling & Tracking Scheduling & Tracking – Certifications Use the Certifications node in the Scheduling and Tracking module to see who is trying to earn initial or renewal accreditation, and their current status. Certifications - Click this node for a list of certification-based credentials. Degrees - Click this node for a list of degree-based credentials. Other - Click this node for a list of other type credentials. Teams - Click this node for a list of team-based credentials.

Scheduling & Tracking Scheduling & Tracking – Certifications Click any credential listed under the above nodes and you will see the following nodes: Initial - Click this node for a list of persons trying to earn the selected credential for the first time. Click a person's name to see how close they are to earning the credential. The right- hand pane of the Scheduling & Tracking window shows you the credential requirements and whether or not the person has met them. Renewal - Click this node for a list of persons trying to renew their accreditation in the selected credential. Click a person's name to see how close they are to renewing their accreditation.

Scheduling & Tracking Scheduling & Tracking – Certifications When you click on a requirement in the right-hand pane of the Scheduling & Tracking window, the following buttons become available on the toolbar: Open - Click this button to open the Credentials Earned Explorer, which allows you to view and modify credentials earned records for personnel. Details - Click this button to see a detailed description of the selected requirement--specifically, what does the person have to do to meet the requirement, within what time frame, and how close are they to doing so? Print - Click this button to print the list of requirements shown in the right-hand pane of the Scheduling & Tracking window.

Scheduling & Tracking Scheduling & Tracking – Certifications [What If] The [What If] node allows you to match a person to a credential to see what that person would have to do to earn the credential. This is done without actually assigning the credential to a person. This can be a useful tool for analyzing a person's training needs. When you click the [What If] node, the Add to [What If] dialog opens, allowing you to create your scenario. Once you create a scenario, it is added under the [What If] node.
