3 Import / Export Basics 3 Import/Export MS Project found under the Import/Export option ProjTrak exports.xml files for use in MS Project ProjTrak can import both.mpp and.xml files from MS Project MS Project 2003/2007/2010 are supported by ProjTrak Unless when creating a new ProjTrak project, you should always export a project from ProjTrak first, before attempting to import it back into ProjTrak Always use the ‘Save’ option when exporting an.xml file from ProjTrak Import/Export addresses the following primary objects: Tasks Resources 07-Apr-11

4 Import Scenarios 4 #1 - No ProjTrak Project Easiest Import scenario Used to create a new ProjTrak project Best when no resources exist in MS Project Save MS Project file to.xml format Import.xml file back into ProjTrak 07-Apr-11

5 Import Scenarios - continued 5 #2 - No Tasks/Gantt in ProjTrak ProjTrak record exists, but no created tasks in ProjTrak Always use export project first (“shell” project) Copy MS Project tasks into shell project Save MS Project file to.xml format Import.xml file back into ProjTrak 07-Apr-11

6 Import Scenarios - continued 6 #3 - Tasks/Gantt in ProjTrak, No Resources in MS Project Similar to Scenario #2 in approach Export to.xml file (save step) Delete *all* tasks in ProjTrak Export to MS Project (.xml file) – shell document Copy MS Project tasks into shell project Save MS Project file to.xml format Import.xml file back into ProjTrak 07-Apr-11 This scenario assumes you will overwrite your ProjTrak project plan with your MS Project Plan!

8 General Steps – Import / Export 8 If resources in MS Project, reconcile resources in ProjTrak with MS Project: Create missing resources in ProjTrak existing in MS Project, or Remove resources in MS Project not in ProjTrak If existing tasks in ProjTrak, export to.xml file (save step) If existing tasks in ProjTrak, delete *all* tasks in ProjTrak Export to MS Project (.xml file with different name if you created a save document) – this is your shell project Copy MS Project tasks into shell project Save MS Project file to.xml format Import.xml file back into ProjTrak 07-Apr-11 These instructions assume you will overwrite your ProjTrak project plan with your MS Project Plan!

9 Summary / Tips 9 ProjTrak Import/Export works best when importing projects that originated from ProjTrak Always create a shell project for complex imports Imports may fail if resources are not aligned between ProjTrak and MS Project Imports may fail if extraneous Notes exist in the MS Project saved.xml file – Solution: check all Notes in Tasks/Resources and remove any extraneous Notes not specifically created, or try importing as an.mpp file. 07-Apr-11
