Process - summary Human Resources team develops the list of faculty members eligible for promotion or tenure based on time in rank. List is sent to department chairs for validation and consideration; faculty is notified of their eligibility based on time in rank or tenure probation time. Tenure: IHL policy mandates that any faculty member hired on or after Jan 1, 2005 on the tenure track must be considered in their 6 th year of service Faculty completes the CV and portfolio in MySite and seeks external reference letters Decision making process: Department P&T committee Dept. Chair SOM APT committee Executive Faculty Committee SOM Dean IHL board

What is the timeline for this cycle? AY 14-15 TIME LINE & ACTIVITES June 15, 2014 Faculty identified through HR data for “time in service” eligibility. Information is shared with Department Chair to validate the data. July 1, 2014Faculty notified about their eligibility. Department chairs are also notified at the same time. July 1- Sept 15, 2014 Faculty to meet with department chairs to discuss their eligibility, update CV, develop portfolio, and identify external referees. Reference letters requested and should be received by Oct 15, 2014. Sept 16-Oct 15, 2014 Department P&T committee and Department Chair makes their recommendations and writes letters to the SOM -APT Committee. Oct 16-Dec 31, 2014 SOM-APT committee to review the CV and portfolio of faculty recommended by the department, vote on the faculty and submit their recommendation to the Executive Faculty Committee Jan1-Feb 15, 2015 Executive Faculty to vote on the APT committee recommendations and forward the recommendations to the Dean of School of Medicine. Feb 15-Mar 15, 2015 Dean to approve/disapprove the nominated faculty. The list of faculty approved for tenure by the Dean is then submitted to the board of Institution of Higher Learning (IHL) for their approval, faculty approved for promotion is also sent to IHL Mar 16-May 30, 2015 IHL Approval (Tenure only) ; No action required by IHL on promotion list July 1, 2015Promotion and Tenure effective and updated in the Lawson and other related systems.

What are the criteria for promotion and/or tenure?

For Tenure Track: Faculty must have effort in all three emphasis areas of our UMMC mission*: Service Research Education One primary, two secondary emphasis areas: Example: Service primary, research and education secondary *based on IHL

For Non-tenure track: Faculty must have effort in at least two areas of emphasis for the UMMC mission, one primary, one or more secondary. For example: Service primary and Education secondary Service primary and Research secondary

MySite: CV and Portfolio What is MySite? MySite is the new application that will replace Activity Insight- available June 1, 2014. It can be accessed from your department website. CV: Summary of your work and educational history. Used by the institution and the department. Portfolio: Used for P&T process—tab only available to nominated faculty. One tab for each emphasis area (service, education, research).

Letters of recommendation or evaluation – who should you ask? Need letters from 3 referees ( at least 2 external) Should not have had a significant training, mentoring or collaborative relationship with the faculty member; can use someone from UMC as internal referee but have to have outside email address Identify externals as early as possible, and initiate the request as soon as the CV is complete—letters due by October 15 th, 2014. APT Committee coordinator will send your CV, P&T guidelines and a form that asks the “relationship to the candidate” to the external reviewer along with the request letter
