Creating Templates Templates are extremely useful when you are working with Documents within LawWare. If you spend a little time creating templates, it can save you time, reduce errors and ensure consistency for all users. Templates operate like mail merge, the fields added in LawWare automatically populate a Word Document to which you can make changes and then save within a case file. Use master templates to set up headers, footers and logos. They can also be used to create documents with commonly used fields, then you can link child templates containing standard paragraph text. Click Next

Creating Templates You may have Templates that have already been created. These are shown when you choose the Document out activity. This guide will show you how to create these templates. Note that the templates are allocated to a work type and given a type and sort order. Click Next

Creating Templates To create templates, you need to access the Document Template Administration Centre. To do this, you must have the correct permissions. Right hand mouse click in the Productivity Centre, note that you must be viewing the Create section. Click Next

Creating Templates The template administration centre will open a further window and let you amend, crate or delete templates. Click Document Template Administration Centre

Creating Templates This screen will list your templates and also allow you to add new templates. We will first examine how to add a Master template. Click Add

Creating Templates Master Letterhead to client Next, choose the document type. This can be useful to categorise your templates. Click Next

Creating Templates The document sort order can be very useful if you have a number of templates, and for example, you allocate 1001, 1002, etc for Executry templates and 2001, 2002, etc for Conveyancing. It can also be useful if you need to sort templates for different branches in your firm. Master Letterhead to client Click Next

Creating Templates As we are first looking at creating a Master template, you would check the box to mark this as a Master. Master Letterhead to client Click Next

Creating Templates Microsoft Word opens allowing you to set up the Master Template. Click Next

Creating Templates The next slide will examine setting the document paragraph and font settings to create a default and we will then examine how to add the fields in order to automatically populate your template. Click Next

Creating Templates Firstly, set up your document with font and paragraph settings. Click Next

Creating Templates Now we can select a field from the list. These LawWare fields that can be used to populate directly from case files and contact details to create documents. We use the Insert Merge Field button to add the fields. Next, the Mailings sheet tab allows you to add Lawware fields to the template. Click Next

Creating Templates All the fields available within LawWare are categorised so that you can insert them into your document in a logical way. The first category is Contact, this relates to Client Information, therefore if you need your Client name and address, you choose the following fields: Contact_Firstname Contact_Surname Contact _Street, Etc Also note there are fields for Contact Salutation and Contact Signature and these can be very useful. Click Next

Creating Templates Note that the next set of fields is for Recipient, this relates to anyone you are sending the document to. It can be useful to set up your templates with Recipient fields, unless the document you are creating is specifically for the client. The next slide will demonstrate how you populate your document with fields and text. Click Next

Creating Templates Select the field from the list and Insert. The field will appear on the document. It can be easier to add a number of fields at once and then arrange where they should be. To amend the spacing in the template, close the insert merge field window and add spaces and returns where required. Click Next

Creating Templates Next, we need to add the important field when working with Master templates. We must indicate where the Child template is to be inserted. Click Next

Creating Templates To do this, we position our cursor on the document where we want our child template to be inserted and then access the Insert Merge Field function and choose the field: MergeTemplate_ChildDocument. Click Next

Creating Templates Finally, save the template by choosing back to LawWare. Click Next

Creating Templates We can follow the same steps for creating a child template. Click Add

Creating Templates The only difference is that you need to link the child template to the master template by selecting the relevant master template from the list Once this is done, you can set up your child template document as explained previously. Click Next

Creating Templates Tick the box for each work type you want the template to be associated with. In this way when you are working on a case file, you will only see the relevant templates. Make sure when you create your template that you allocate the Work types you want the template to be assigned to. Click the Work Types sheet. Click Next

Creating Templates You do not have to create master and child templates, you can simply create a template within Word and use the LawWare fields. Click Next
