ROSI Express Report Training: Confirm Courses and Instructors for Evaluation

Confirm Courses and Instructors for Evaluation is a new ROSI Express report that displays and allows edits to certain course information in ROSI. It is only intended for use by University divisions using the Online Course Evaluation system, operated by the Centre for Teaching Support and Innovation.

For your courses and instructors that are set up for evaluation using this system, you can use this report to view and edit the following settings: Evaluation Method Evaluation Timing Before we look at the report itself, it is important to understand what is meant by “Courses and Instructors that are set up for evaluation.” Let’s start by looking at the reasons why a course or instructor might not be set up for evaluation.

Reason 1: The Course is Never Going to Be Evaluated A department may decide that certain courses do not need to be evaluated, including: Independent Studies Reading Courses Research Seminars Program Milestone “Marker” courses

These kinds of “Never-Evaluated” courses can be designated as such in ROSI. The courses will then be excluded from the ROSI Express report, saving you the step of making this selection every year. Reason 2: There is Something Wrong With the Course Instructor Assignment If any of the following issues are present for a course instructor assignment, the report will prevent you from making any selections: There is no course instructor assignment 01: No Instructor Assignment

These issues need to be resolved before you can make any selections. For courses with no instructor at all, you can add them using the ROSI Express report: Scheduled Courses with Instructor/Coordinator Diagnostics

These issues need to be resolved before you can make any selections. If a course was originally set up with a non-HRIS instructor assignment, and you know that the professor has now been entered in HRIS, you can resolve this issue using the ROSI Express report: Scheduled Courses with Instructor/Coordinator Diagnostics

These issues need to be resolved before you can make any selections. If an instructor has no UTORid: Contact Your Business Officer. The issue is either: There is something wrong with the professor’s record in HRIS Or: The professor has not yet activated their UTORid

Using the Report

Step 1: Log into ROSI Express and Navigate to the Report Input Screen

SDSPDAL ****** Go to: https://express.rosi.utoronto.ca, and log in with your normal ROSI Username and SecurID card.

At the “Welcome” screen, click “Reports” in the left-hand menu.

Scroll to the bottom of the “Reports” page, and click on “Confirm Courses & Instructors for Evaluation.”

Step 2: The Input Screen Enter Report Criteria (Session Code, Organization Codes, and other options)

On the “Input” screen that follows, enter the required information for the report.

Session Code: Enter a valid ROSI session code.

Also Include Winter Session Courses: This field is optional.

Also Include Winter Session Courses: If you have entered a Fall Session Code in the box above, and want your Winter Session courses to also be included in the report, check this box.

Also Include Winter Session Courses: This option allows you to view all of your courses for the full academic year in a single report.

Primary Organization Code: Enter the Primary Organization Code for your courses.

Primary Organization Code: For this example, “ARTSC” will be used.

Secondary Organization Code: This is the ROSI code for your unit.

Secondary Organization Code: If you do not know this code, start typing the name of your unit into the box and select the correct code from the results that appear.

Secondary Organization Code: This example will use the Historical Studies department, whose ROSI code is HISCL.

Co-Secondary Organization Code: You may safely ignore this field. It should only be used by faculty-level administrators who wish to run the report for all units in their faculty.

Click “Submit” to run the report.

Step 3: The Output Screen View Report and Make Necessary Updates to Evaluation Method And Timing Fields

The report will display scheduled courses with assigned instructors for your unit in the session code you entered.

Courses that have been designated as “Never Evaluated” will not appear in this report.

The “Assignment Message” column will let you know if there are any outstanding issues with the instructor assignment.

If there are no outstanding issues, the message “99: Instructor OK” will be displayed.

The current “Evaluation Method” and “Evaluation Timing” values are displayed for each instructor assignment.

For courses with no outstanding issues, the Evaluation Method field has been set by default to ONL, for “Online.”

For courses with no outstanding issues, the Evaluation Timing field has also been populated with default values.

ROSI uses the course session(s) to make an assumption about when the evaluation will be taking place.

Fall-Only “F” courses are populated with DEC, for “December.”

Fall-Winter “Y” courses are populated with APR, for “April.”

Not shown: Winter-only “S” courses have also been populated with APR.

Not shown: Summer “F” Courses (May-June) will be populated with JUN.

Not shown: Summer “S” (July-August) and “Y” (June-August) courses will be populated with AUG.

Courses with outstanding critical issues are forced to have an Evaluation Method of “NOT” and a blank Evaluation Timing.

These issues need to be resolved elsewhere before the Evaluation Method and Timing values can be changed.

For courses with no outstanding critical issues, check to see if the default values are correct.

If you need to change either the Evaluation Method or Timing value for an instructor, click the “Edit” button.

For example, look at CLA231H5 in the report.

It is a team-taught Y course, with Prof. Cheng teaching in the Fall session, and Prof. Lock teaching in the Winter session.

However, because this is a Fall-Winter “Y” course, the Evaluation Timing for both professors has been defaulted to “APR.”

To change Prof. Cheng’s Evaluation Timing value to “DEC,” click “Edit” on the row for her assignment.

The Evaluation Method and Timing fields will become drop-down menus.

Select “DEC” from the Evaluation Timing drop-down and click “Save.”

Then click “Confirm.”

The drop-downs go away, and the new value is saved.

You now have Prof. Cheng set up to be evaluated in December, and Prof. Lock set up to be evaluated in April.

You can also use the report to make changes to the Instructor’s Evaluation Method.

For example, CLA308H5 is set up with an Evaluation Method of ONL, for “Online.” However, you know that this needs to be changed to PPR, for “Paper.”

To make the change, click the “Edit” button for this course in the report.

The Evaluation Method and Timing fields will become drop-down menus.

Select “PPR” from the Evaluation Method drop-down and click “Save.”

Where is the Excel Export?

Unlike other ROSI Express reports, you will find that this report does not have the option to be opened as a.CSV file or Excel spreadsheet.

However, if you run the ROSI Express report: Scheduled Courses with Instructor/Coordinator Diagnostics and export that report to Excel, the Evaluation Method and Evaluation Timing values for each course will be included.
