Position Opening Job Classification: Administrative Assistant, Sales Opening Date: December 12, 2013 Location: Corporate Office - Chaparral Closing Date: December 22, 2013 Job Grade: 3 Wage: $13.73+ doe Primary Job Function: Under the direct supervision of the Order Management & Administrative Manager, this position provides administrative support for the Executive, Management, Sales and other personnel. In addition to typing, filing, and scheduling; other responsibilities include financial recordkeeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings and working on special projects. Answers non-routine correspondence and assembles highly confidential and sensitive information. Assists a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload. Essential Requirements: Bend and do repetitious motions with arms and hands Sit for long periods of time Required and predictable attendance Possess a valid AZ driver’s license to obtain office supplies, etc Knowledge, Skills & Abilities: High school diploma or GED equivalent Able to read and write for recordkeeping and documentation Attention to detail Type 45 wpm on typewriter or computer and use ten-key calculator File numerically and alphabetically Perform math and accounting skills Work with a high degree of confidentiality Experience supporting upper level management Knowledge of Microsoft Work, PPT and intermediate level of Excel preferred Communicate with the public, co-workers and management in a professional manner Duties & Responsibilities: Know and follow all company safety procedures and policies and company guidelines. Work with a high degree of confidentiality and function under deadlines, handling multiple tasks for multiple personnel Dependable and self-motivated Prioritize workload and function under pressure when working with numerous staff and tasks Compose correspondence, presentations, reports and other paperwork as needed for executive and other personnel as directed. Assist sales personnel in the set up of new customers, distributing and collecting all necessary paperwork for customer files and maintaining those files (physically & electronically) Using our billing system, issue orders, maintain existing orders as needed for product movements, product changes, freight term changes and price changes. Coordinate Direct Sales projects with sales personnel, including paperwork distribution and collection as well as Direct Sales Reporting Maintain Business Contacts tracking customers vendors, and special interest parties, contact information for mass mailings and reference usage Collect, file and enter all freight rates Under the direction of Technical Services assist in the coordination of request for test reports, mill certifications, certification letters and MSDS reports. Prepare, research, input and file various data associated with credit/debit memos, price changes, freight invoices and other various invoices i.e. tickets
