4 4 THE CAPTIONED TELEPHONE Just like captioned television, a Captioned Telephone provides the user with both voice and text transcription nearly simultaneously.

5 5 What Equipment/Services are Needed? 1.A Captioned Telephone (CapTel) - A specialized telephone designed specifically to interact with the captioning service to display captions. It can also be used as a traditional amplified telephone. 2.Captioning Service via the CapTel Center.

7 7 How Does CapTel Work? Behind the scenes, a specially-trained operator at the captioning service transcribes everything that the other party says into written text, using the very latest in voice-recognition technology. 14 14 Setting Up the CapTel Phone The CapTel phone requires a standard (analog) telephone line like those in most homes. If you are installing this in an office setting, check with the telephone system administrator to make sure you are using an analog port. This is the same type of line used by some computer modems, fax machines, or a direct-connect TTY.

15 15 Installation CAUTION! Do not plug the CapTel into any telephone line other than a standard, analog telephone line or an analog port. Connection to a digital telephone line may damage the CapTel or the telephone system. A Digital Subscriber Line (DSL) is okay because it has an analog frequency.

17 17 Installation – For Desktop Use 1.Plug the AC adapter cord into the round power jack on the bottom of the CapTel. 2.Plug the telephone line cord into the either of the telephone line jacks. 3.Attach the desktop/wall footplate, making sure the larger side is along the top edge of the CapTel. 4.Plug the telephone line cord into wall jack and the AC adapter into an outlet.

18 18 Installation – Mounting on Wall To mount the CapTel on a wall: 1.Flip the handset hook over so that the hook points up. 2.Plug the 6-inch telephone line cord into the telephone jack. 3.Attach the desktop/wall footplate, making sure the larger side is down. 4.Plug the telephone cord into the wall jack. Then, line up the holes in the desktop/wall footplate with the studs on the wall. Hook the footplate on the studs and pull down.

19 19 Setting Up the CapTel Phone Dialing Prefix – Some businesses require a dialing prefix to get an outside line. If this is the case, enter the Dialing Prefix in the menu options in the CapTel phone. Do not dial the Dialing Prefix before the number you want to dial – you will not get through.

20 20 Setting Up the CapTel Phone Note: Having this set ON when you don’t have Call Waiting will prevent you from dialing out. If you have Call Waiting on the phone line your CapTel is on, incoming calls may disrupt the connection with captioning service if Call Waiting is not blocked. It is recommended that you block Call Waiting to prevent interruption of captions.

21 21 Placing a Call with Captions Pick up the handset. Verify that the Caption feature is on. The red light over the CAPTION button should be lit. If the light is not on, turn on the feature by pressing the CAPTION button. Dial the number of the person you are calling.

22 22 Placing a Call with Captions After a few seconds you will see WAITING FOR CAPTIONS, letting you know that the captioning service is connecting. There is a short pause while the captioning service connects to your CapTel phone.

23 23 Placing a Call with Captions Once connected, the Captioning Service automatically dials the person you are calling. You may begin speaking as soon as you hear them answer or see the Signal Meter flicker.

24 24 Placing a Call with Captions NOTE: If the captions feature is off when you dial, the Captioning Service will not connect and you will not receive captions. You can not turn on captions manually in the middle of a call. If you would like captions, hang up, turn on the captions feature, and dial the call again.

25 25 Knowing What is Happening on the Line 1.Signal Meter 2.Outgoing Volume Meter There are two meters which appear on the display during calls to help you monitor sounds on the line.

26 26 Knowing What is Happening on the Line Signal Meter – Indicates that a sound is coming through the handset even if the sound is not loud enough for you to hear. The size of the meter expands and contracts with the volume of the sound.

27 27 Outgoing Volume Meter – The Outgoing Volume Meter lights up when you speak. This can help you know how loudly you are speaking.

28 28 Adjusting the Sound Conversation Volume To increase the overall volume of the person’s voice coming through the handset: 1.Move the VOLUME slide control, located on the right side of the phone, toward the back until the volume is at a comfortable level. 2.For an additional boost (up to a maximum gain of 35 dB), press the VOL button. The red light comes on. This Volume boost automatically turns off when you hang up the handset.

29 29 Adjusting the Sound Conversation Tone 1.Move the TONE slide control to experience the sound changes while the other person is talking. Move the slide toward the top of the phone to hear high frequency sounds. Move the slide towards you if you hear low frequencies better.

30 30 Answering a Call with Captions Because the captions are provided by a Captioning Service, the person calling you must connect with the service in order for you to receive captions during the call.

32 32 Answering a Call with Captions 1.The person calling you first dials the Captioning Service. 1-877-243-2823 2.When connected to the Captioning Service, a recording instructs the caller to enter the number they wish to dial (your phone number).

33 33 Answering a Call with Captions 3. When your CapTel phone rings, the display lights up and RING appears on the display.

34 34 Answering a Call with Captions 4.Pick up the handset. If the call is coming through the Captioning Service, there is a pause while the service connects to your CapTel phone. The red light over the CAPTION button turns on.

35 35 Answering a Call with Captions 5. During the pause, the caller hears a recorded message that says, “Please hold. The person you have called will be with you shortly.” You will see:

36 36 Answering a Call with Captions 6.You may begin speaking as soon as you see that the call has connected. CapTel OPR # C1234

37 37 The Flow of a CapTel Call CapTel calls are intended to be natural, back-and-forth conversations. No need to say, “GA” or “Go Ahead”. You and the person with whom you are speaking may interrupt each other. If you are able to understand what was said via hearing, you may reply without waiting for all the captions to appear.

38 38 CapTel to CapTel Calls 1.On your CapTel phone dial1-877-243-2823 (you become the “Voice” user) 2. You will get a captioned recording asking you to enter the number you wish to dial including the area code and the # key. 3.Enter the other CapTel user’s phone number and the call will connect CapTel to CapTel.

40 40 Placing a Call without Captions 1.Press the CAPTION button to turn off the caption feature. Verify that the red light is off. 2.Dial the number of the person you are calling. Everyone in the house can use the CapTel phone. If you don’t need the captions, turn off the captions feature before dialing.

41 41 Answering a Call without Captions To answer a call that was placed directly to your phone number: 1.When the telephone rings, the display lights up and flashes RING. 2.Pick up the handset and begin speaking. The display remains blank and the caption light remains off.

42 42 Answering a Call without Captions NOTE: You cannot turn on Captions if the person did not call the CapTel Voice Number. (i.e., through the Captioning Service)

43 43 Reviewing Captions You can review the captions from a captioned call during the call or after hanging up. 1.During or after a captioned call, press the MENU button. The captions are displayed in a smaller area and Review Captions appears.

44 44 Reviewing Captions – 2.Press and hold the button next to the up or down arrows to scroll through the captions. During an active call, press EXIT to see new captions.

45 45 Reviewing Captions – 3.If you wish to erase stored captions, press the button next to Del. “Delete all Captions?” is displayed. Choose the appropriate button next to YES or No. If Yes is selected, all captions are erased and “Caption Memory is Empty” is displayed. 4.Press the button next to Exit to leave the menu.

46 46 Sharing a Telephone Line Jack If your telephone line jack is already being used by a TTY or answering machine, you can use a “Y-jack” (also called a “duplex jack”). Plug both the CapTel and the other machine into the Y-jack in at the wall.

48 48 How a 911 CapTel Call Progresses To reach help as quickly as possible, all CapTel calls placed to 911 connect directly to 911 Emergency Service. 911 calls do NOT route through the Captioning Services, so you do not receive captions in the same way.

49 49 How a 911 CapTel Call Progresses Emergency 911 Services will know the number you called from and be able to locate you and send appropriate help, based on the location from which your CapTel call is placed.

50 50 How a 911 CapTel Call Progresses 1.The CapTel Call comes in to the 911 call-taker the same way it would for any voice call. The 911 call-taker will be able to hear the CapTel user, as well as any background noises.

51 51 How a 911 CapTel Call Progresses 2.Depending on the CapTel user’s level of hearing loss, the CapTel user may be able to hear the 911 call-taker well enough to continue the call as a “normal” voice telephone call. In that case, the 911 call-taker follows the normal operating procedure for any standard voice call.

52 52 How a 911 CapTel Call Progresses 3.If the CapTel user cannot hear well enough to understand the 911 call-taker: The CapTel phone display instructs the user to ask for “captions” by pressing a button on the CapTel phone.

53 53 How a 911 CapTel Call Progresses 4.Every few seconds the CapTel phone sends the message “VCO GA”. This TTY message may trigger TTY detection equipment at the call-takers station.

54 54 How a 911 CapTel Call Progresses The automatic “VCO GA” message is repeated until the 911 call-taker responds by typing on a TTY. The 911 call-taker should type a message to the CapTel user such as: “911 HERE GA” or “911 HERE WHAT IS YOUR EMERGENCY Q GA”

55 55 How a 911 CapTel Call Progresses The CapTel phone will then automatically send a TTY message, “USE VCO YOU MUST TYPE TO ME ON TTY I WILL TALK TO YOU BY VOICE GA”

56 56 How to make a CapTel call to 911 1.Pick up the CapTel handset. Dial 911 on the keypad. 2.The light above the CAPTION button will go off, and the display will show **CAPTIONS ARE OFF** Dialing 911 Directly.

57 57 How to make a CapTel call to 911 3.If you cannot hear and need captions from 911, press the button next to the message If you need captions from 911 press here on the display screen.

58 58 How to make a CapTel call to 911 4.The CapTel will automatically send a text message to 911 telling them to type messages to you. 5.Watch the status bar on the display screen to know when 911 has established captions.

59 59 How to make a CapTel call to 911 6.You can read 911’s typed messages on the CapTel display. Then respond by talking into the CapTel handset as you normally would. NOTE: The 911 call-taker will not be able to hear you when he/she is typing messages.

60 60 How to make a CapTel call to 911 After you hang up, the CapTel will remain in VCO mode in case 911 calls you back. To turn off VCO mode, press the CAPTION button.

61 61 Checking Voicemail Messages To check your voicemail: Dial as if you were calling to an outside “remote retrieval” number for your service. Use the CapTel telephone keypad as needed to navigate any touchtone menus.

62 62 Captioning External Answering Machine Messages You can use the CapTel to receive captions of voice messages left on an answering machine that is near your CapTel phone by playing the messages aloud.

63 63 Captioning External Answering Machine Messages 1.With the handset hung up, press the MENU button until Caption External Answering Machine Messages is displayed. 2.Press the button next to OK.

64 64 Captioning External Answering Machine Messages 3.Pick up the CapTel handset, and place the handset mouth- piece next to the answering machine speaker.

65 65 Captioning External Answering Machine Messages 4.In this mode, CapTel will automatically dial the captioning service. Watch the display to see when the connection is established.

66 66 Captioning External Answering Machine Messages 5.Start playing the voice messages aloud on your external answering machine. Save or delete voice messages directly on the answering machine. When you are finished, hang up the CapTel handset. The Caption External Answering Machine Messages feature will go off automatically.

67 67 Saving Speed Dial Numbers You can save up to three frequently called numbers in CapTel memory for easy speed dialing. 1.With the handset hung up, press the MENU button until Program Speed Dial Numbers is displayed. 2.Press the button next to YES.

68 68 Saving Speed Dial Numbers 3.Press the button next to the location that you want to save the phone number in (1, 2 or 3).

69 69 Saving Speed Dial Numbers 4.Enter the telephone number you wish to save by pressing the telephone keypad. Include 1 plus the area code if the number is long distance. You can erase numbers shown on the display by pressing the button next to the back arrow (  ). Press button next to OK to save it.

70 70 Speed Dialing from Memory To speed dial a number in memory, lift the handset, then: 1.Press the button next to Memory Dial/Redial. A list of saved numbers and the last number you dialed is displayed.

71 71 Speed Dialing from Memory 2.Press the button next to the number you wish to dial. CapTel dials the number for you automatically.

72 72 Redialing from Memory To redial a number, lift the handset, then: 1.Press the button next to Memory Dial/Redial. A list of saved numbers and the last number you dialed is displayed. 2.Press the button next to the number you wish to dial again.
