1 Using HR Charter Creating and printing your first chart

2 This is a PowerPoint presentation of about five minutes duration. It will guide you in the generation and printing of your first organization chart using HR Charter. You may exit the presentation at any time simply by closing the Window. Where this arrow appears, click on it to advance the slides.

3 Log on with your IDIR userID and password… username ******** Click the “Go” button to continue…

4 Though you may search by Position Title or Department Title, most users prefer to search for a position by incumbent name. The Name search field is case sensitive, so be sure to capitalize the first letter of the surname! Click the “Go” button to search… Andrews

Scroll down the list to find your target name. Select it by clicking the blue hyperlink. Click to select Harvey Andrews, District Clerk…

6 Andrews, Harvey Verify that you have found the correct target, then select the number of levels for your chart. (The default is 3 levels.) The target position will be placed at the top of your chart “tree”. Click the “Go” button to generate your chart…

7 This splash screen will appear. It indicates that an ActiveX plug-in has loaded. This is the engine that does the work of drawing your chart.

8 Don’t be disappointed if your first chart looks like this! It means simply that your target position has no subordinates. To see the work unit “tree” you have to “drill up” to the first supervisory level. To drill up a level… 1.Right click on the box to select it. 2.Select “Drill Up” from the right-click menu. Click on “Drill Up” to continue…

9 The chart rarely fits within the left-hand pane. To create more workspace, hide the right-hand information pane. Click the little arrow to hide the information pane…

10 The information pane can be recovered at any time by clicking the little arrow in the top right corner of the screen. This is a simple chart that fits nicely on the screen. More often than not, the span of control of the supervisor is wider than this. In such cases it is necessary to use the zoom control to make the chart fit the viewing pane. To demonstrate, drill up yet another level to place the supervisor’s supervisor at the top of the chart. As you did before, right click on the topmost box and select “Drill Up”… Click “Drill Up” to continue…

11 This is typical of a wide chart. To make it fit, adjust the zoom setting… Click 60% to adjust the magnification…

12 Three levels of the organization are now visible. If the text is illegible you will have to increase the magnification, then move around the chart by using the scrollbars. Review: You started with the District Clerk position and subsequently drilled up twice to display the chart now on screen. Print your chart!

13 Printing is initiated by the File menu selection on the HR Charter menu bar. By default, the chart will be squeezed to fit the page. Large charts may not be legible if the fit to page option is “on”. Headers and Footers In such cases try… 1. Reducing the number of levels in the chart 2. Changing the paper size to legal, or… 3. Printing the chart on multiple pages and taping the pages together

14 Page headers and footers are set manually, by means of the Layout menu. You may insert your own annotations by clicking the Text button… …or you may select one of the pre- formatted labels from the drop-down list box.
