2 Expo Changes: Background Expo Working Group formed after the 2015 Convention 10 members provided guidance on Expo and Convention through conference calls and face-to-face meetings Final recommendations delivered in July, staff have been working to deliver on these changes Goal: identify ways to improve the Expo for exhibitors, attendees, and the general public

4 Expo Changes: Setup/Layout Add areas for educational programs on Expo floor with open time slots for exhibitors to reserve and present a topic and/or product or service Add live cattle demonstration area for handling and chuteside demos Expand show cattle areas for purebred cattle breeders Add alternative booth sizes: 5 x 10 and 10 x 15 booth options

5 Expo Changes: Decorating TSCRA put decorating contract out for bid and the working group reaffirmed several priorities: cost and customer service Find competitive alternative to Freeman Modify booth package options to exclude tables and chairs when purchasing spaces Offer booth packages to simplify order process and save money Goal is to eliminate cost uncertainty

6 Expo Changes: Booth Sales Process Maintain current booth draw pattern (groupings based on total advertising, sponsorship, and exhibits) Move to full online booth registration: booth selection and complete payment online Allow booth reservation with “bill me” option (to accommodate payments in new fiscal years) Collect booth staff information online immediately prior to the Expo Simplify on-site check-in process for exhibitors

7 Expo Changes: Pricing Create volume discounts for those purchasing multiple booths Continue allied member discounts Offer new discount options to: – State/federal agencies – Non-profits – Academic institutions Discount special event tickets for exhibitors

8 Expo Changes: Lead Capture Add lead capture technology Require day pass attendees to provide contact information Provide option for exhibitors to collect obtain full contact information on leads, including phone number and email address Provide rapid post-event download of lead information Provide assistance on pre/post event mailings

9 Expo Changes: Attendance Builders Eliminate dead time: open earlier Friday and later on Saturday; leave closing times unchanged Add educational programs on Saturday Add door prizes where attendance is required Modify floor plan to spread out high-activity areas Engage local 4H/FFA groups to attend the event Collect booth staff information online immediately prior to the Expo Increase amount of local promotion

15 Decorator Paramount Convention Services: – Small family business with dedicated staff – Lower prices – Booth packages available – Personal, high-level of customer service – Improved floor design, decorating quality, graphics packages, and overall attendee experience Exhibitor kit in your packets

17 Timelines/Deadlines By November 1: Start booth sales December 31:Last day to cancel with partial refund of booth fees January 5:Service kit delivered January 31:Full payment due Approx. 6 weeks out:Promotion deadlines, lead retrieval orders, etc. March 9: Discount order deadlines begin (Paramount, Smart City, etc.)
