The Desktop@UCL Staff project has three main aims: 1.Provide a standard image for all Windows Machines 2.Consolidate user and departmental data on the new UCL Filestore 3.Unite all users under a common service model What is it all about?

A significant % of UCL machines are still on XP. This is bad. It is no longer supported by Microsoft and exposes UCL to a significant risk around support and security. In addition, we should be providing our staff with a more up to date user experience. The old filestore (where your data is stored) is on its last legs. There are issues around performance, availability and scalability. We have a new Enterprise filestore ready and waiting… ADS, unmanaged, desktop, laptop, applications, purchasing, WTS – who supports these? Who do I call? How do I escalate when I don’t get the service I require? What are the Service Level Agreements in place? What is it all about?

We need to provide easy access to UCL resources from off-site for a wide range of UCL/Non-UCL devices The use of unlicensed software is illegal and exposes UCL to a considerable risk. We need to provide a transparent and manageable model to support licencing across all departments. Customers need to get access to the latest levels of applications to support their business requirements Office moves, flexible working, hot-desking … IT should be an enabler not a barrier … What is it all about?

Everyone gets a standard Windows 7 image with Office 2013 Everyone gets a single N: Drive of 50Gb containing all their personal data plus access to a single departmental S: Drive containing all the departmental data Everyone is included in a single service model that starts with a call to x 25000 Everyone gets access to Desktop@UCL Anywhere. As long as you can get an internet connection, you can get to your data and applications What is it all about?

No-one will be able to run licenced software unless they can evidence a licence but once an application is installed, it will be centrally managed – less hassle, less worry, greater influence. Additional software will generally be available through SCCM Service centre. Machines are data independent – log on to any UCL machine and get the same experience Faster logon, better experience What is it all about?

The standard build is “locked down”, customers will not by default be granted Admin Rights We will bring certain customisation over as part of the migration (e.g. bookmarks, favourites) but you may be required to re-apply some things following migration. Your migration engineer will help you achieve this. All of your data is backed up before migration starts and restored following migration The location “My Music” is not held on the server – it is held locally on the PC and therefor not backed up. This also applies to any files that “will not fit” in your 50Gb More storage space is available… if there is a demonstrable business requirement … Pre-empting some questions…

The project has been working closely with departmental representatives to collect the information required to drive the migrations. = People, their department, their location, their machine, their application requirements. We are also working on a schedule that indicates the order in which individual departments will be migrated based around business cycles, staff availability etc… What happens next?

As the date for a particular department approaches (1-2 week beforehand), the project circulates a schedule of slots with provisional names against them – you will then have the opportunity to re-schedule if your slot is inconvenient. Each slot lasts 4 hours Slot start times are generally ~ 10:00, 10:30 and 11:00 What happens next?

An engineer will arrive at your desk 15 minutes before your allocated time. You should assume 4 hour migration slot during which time you will not have access to your machine. (Actual migration time subject to the amount of data stored locally and number of applications required to be re-installed following migration). On arrival, the engineer will perform a quick interview, pre- migration checks and confirm your estimated completion time. It is preferable that you are present at the beginning and end of your migration but if this is not possible we will follow up with you the next time you are in the office. What happens on migration day?

A temporary laptop will be available for the duration of the migration, should you need it (You will be able to access your email, shared drives and there will be various software installed). Once your migration is complete the engineer will briefly run through the new functionality and ask you to sign the work off when satisfied You will be left with a Quick Reference Card, which will help you get started and where to go should you need further help. What happens on migration day?
