Set Up Your Payroll Information Your QuickBooks software helps you set up your payroll information step by step, including information about your company, your employees' wages or salaries, their bank account information, and your company's year-to-date payroll amounts. You only need to enter this information once — QuickBooks remembers it each time you run payroll. (You can update, add, or delete information any time.)

You can also sign up for the Direct Deposit option to have employees' pay transferred straight to their bank accounts. Your QuickBooks software automatically calculates employee earnings, deductions, and federal and state payroll taxes and it automatically applies the amounts to the correct accounts in your QuickBooks register.

qbResource, Inc. Do-It-Yourself Payroll Federal Payroll Tax Forms Do-It-Yourself Payroll includes the following Federal payroll tax forms: W-2, W-3, 940, 941, and 941 Schedule B. The federal forms included with your subscription consist of printing formats. Printing formats let you fill in the forms automatically using the information you've already entered in QuickBooks, then print onto preprinted blank forms. If you use QuickBooks 2003 or later software, you can print W-2 forms onto plain paper.

qbResource, Inc. Accountant Payroll Review After your QuickBooks software calculates your payroll checks, you can send your company file to Solution Resources to review your payroll reports and make any needed adjustments.

qbResource, Inc. Accountants Once your clients subscribe to Do-It-Yourself Payroll themselves, they can send you their QuickBooks files for you to review and adjust using your QuickBooks software. Without your own Do-It- Yourself Payroll subscription, you can run payroll reports, review (but not edit) paychecks, make payroll liability adjustments, and make general journal entries in your clients' QuickBooks 2002 or later files. To prepare payroll or print forms using your clients' QuickBooks files, you must use your own subscription to Do-It-Yourself Payroll with QuickBooks 2002 or later.

Multiple Users or Companies As long as you're a registered owner of QuickBooks software — either a single-user version of QuickBooks or the 5-User Value Pack for QuickBooks Pro or QuickBooks Premier — you can use a single subscription to QuickBooks Do-It-Yourself Payroll to run payroll for two or more companies at no extra charge. However, if you also use the optional add-on Direct Deposit or E-File & Pay services, you must have a separate paid subscription to each add-on AND to QuickBooks Do-It- Yourself Payroll for each company for which you run payroll (You don't need separate copies of QuickBooks software). Each add-on service requires a separate employer identification number (EIN) for each company.

qbResource, Inc. Internet Access QuickBooks Do-It-Yourself Payroll requires Internet access so that you can download the payroll tax table updates and optional add-on services. Your QuickBooks software provides a protected connection to the Internet, preventing other people from viewing your payroll information. When you use QuickBooks Do-It-Yourself Payroll, your QuickBooks software connects you to the Internet only to download tax table updates onto your computer from a secure system. It does not send any of your payroll data over the Internet. If you don't have Internet access from the computer on which you have QuickBooks installed, choose the CD delivery option ($30 additional fee) when you sign up for QuickBooks Do-It- Yourself Payroll.
