6 Slide#: 6© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Product Info CRM Bridge Cougar Mountain offers CRM Bridge, which is an add-on product that enables integration between ACT!® 2007 (9.0) by Sage Software, Inc. and the Order Entry and Accounts Receivable modules of CMS Professional software. This option allows you to retain prospect contact information in ACT! and maintain a clean database in Cougar Mountain of only those customers who place orders. This add-on is workstation specific (that is, it must be installed on each workstation that will use ACT! with Cougar Mountain) and only functions with version 9.0 of ACT!. You can only use ACT! with one company in Cougar Mountain (CMS).

If you are in ACT! communicating with a customer on the telephone and the customer decides to make a purchase, you simply click on the Cougar icon located on the ACT! menu bar and Cougar Mountain opens so you can enter the transaction. The remainder of this section provides specifics on what settings you need to do in Cougar Mountain along with additional information on using this product. We recommend you read through all of the information to ensure you get the most out of this add-on’s functionality.

10 Slide#: 10© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Installation Instructions Installing CRM Bridge: There are three steps to install the CRM Bridge. First, place the Cougar Mountain Add-On CD in the CD drive. When the installation screen appears, select the CRM Bridge add-on and continue with the on-screen instructions. Second, when the installation screen reappears, select the ACT!® Plug-In and follow the on-screen instructions; then, run the plug-in by double clicking the file you downloaded. When the plug-in install is complete, open ACT! and click on the Cougar icon located on the toolbar. This opens the ACT! Enhancement Products window in which you must select Register from the menu bar. Follow the on-screen instructions.

After you complete the installation and registration process, you are ready to continue with the set up procedure.

12 Slide#: 12© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Installation Instructions Setting Up Cougar Mountain for Use with ACT! 2007 : When you install the CRM Bridge add-on product, there are a few specific settings you must define in Cougar Mountain before using it. The first thing to do is to activate the communication between ACT! and Cougar Mountain. You accomplish this by selecting the Activate this Company Code check box in the OE Module Preferences window for the company with which you wish to establish communication. You can only establish communication for one Cougar Mountain company and ACT!.

13 Slide#: 13© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Installation Instructions By selecting this check box, you allow ACT! to communicate with Cougar Mountain. Keep in mind, that you must do this on every workstation that will access Cougar Mountain through ACT!. Next, in the OE Module Preferences window, you need to enter a default AR Code. This code is used for any new customer that is added on the fly during transaction entry.

15 Slide#: 15© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Installation Instructions Working with CRM Bridge: If you have not already set up Cougar Mountain to communicate with ACT!, see “Setting Up Cougar Mountain for Use with ACT! 2007” on page 11. If you already set up Cougar Mountain, you are ready to start using this added functionality. We recommend you review all of the information in this section before you begin using CRM Bridge to ensure a smooth transaction process and that you benefit as much as possible from it. This section includes the following information:  Accessing Cougar Mountain from ACT!  Entering orders for existing Cougar Mountain customers  Entering orders for new customers in Cougar Mountain  Networking ACT! and Cougar Mountain  Importing Cougar Mountain customer data into ACT!

There are three ways in which you can access Cougar Mountain to enter an order for your customer. The options are as follows:  Select the Cougar icon located on the ACT! tool bar  Select Lookup > Create CMS Sales Invoice from the ACT! menu bar  Press CTRL+Shift+C on your keyboard

If the code you enter is not recognized as a user in Cougar Mountain, you will be prompted to enter your user information again. cms 2 CT ActBridge+ ™ Installation Instructions

18 Slide#: 18© GPS Financial Services 2008-2009Revised 03/28/2009 If there are multiple users for the ACT! database and you were not the last user to access Cougar Mountain, when you attempt to enter a customer order from ACT!, you will be prompted to enter your CMS User Code. Once you enter your user code, Cougar Mountain opens and you will continue with the order entry process. Refer to “Enter an Order for an Existing CMS Customer” on page 14 or “Enter an Order for a New Customer in CMS” on page 16 for information on entering an order in Cougar Mountain. cms 2 CT ActBridge+ ™ Installation Instructions

19 Slide#: 19© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Installation Instructions Enter an Order for an Existing CMS Customer : If you are entering an order for a returning CMS customer, once you enter your user code in the ACT! to CMS window and click OK, one of these three windows appears: the Establish Link window, the Difference In Address Information window, or the OE Select Batch window. Establish Link If you are entering an order for the first time for a customer in ACT!, enter your user code in the ACT! to CMS window and click OK; the Establish Link window appears. In this window, you can link the ACT! customer to an existing Cougar Mountain customer, or select the Add New Customer check box.

20 Slide#: 20© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Installation Instructions If the ACT! customer is an existing customer in the Cougar Mountain database, select the CMS customer ID from the drop-down menu, click OK, and continue to either “Discrepancy in Address Information” on page 15 or “Set Up or Select Batch” on page 15 depending on the next window that appears.

And the billing address in Cougar Mountain, the Difference In Address Information window appears.

22 Slide#: 22© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Installation Instructions In this window, you have three options for how the system should handle the address discrepancy:  Use ACT and Update CMS: this option uses the address showing in the ACT text box for this transaction and updates only the billing address information for this customer in Cougar Mountain –Use ACT w/o Updating CMS: this option uses the address showing in the ACT text box for this transaction and does not update the address information for this customer in Cougar Mountain –Use CMS Only: this option uses the address showing in the CMS text box for this transaction and the address information for this customer is not updated in ACT or CMS

After you define the batch to use, you are prompted to enter your Order Entry user login information, and then the OE Enter Orders window appears. Complete and save the order. Upon saving the transaction, Cougar Mountain closes and focus returns to the Notes tab in ACT!. A summary of the Cougar Mountain transaction appears in the grid of this tab.

25 Slide#: 25© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Installation Instructions Enter an Order for a New Customer in CMS: If you are entering an order for a new customer in Cougar Mountain, once you enter your user code in the ACT! to CMS window and click OK, the Establish Link window appears. If you want to add the ACT! customer to the Cougar Mountain database, select the Add New Customer check box, enter a customer ID to use in Cougar Mountain, and click OK.

26 Slide#: 26© GPS Financial Services 2008-2009Revised 03/28/2009 cms 2 CT ActBridge+ ™ Installation Instructions  The following customer information is added to Cougar Mountain: company name, contact, address (line 1 and 2), city, state, ZIP Code, telephone number, fax number, AR Code, and email. Once the customer is added to the database, the OE Select Batch window appears and you can continue with the transaction  Keep in mind that the customer address information added to Cougar Mountain is used for both the billing and shipping address. If this information is different, you will need to make the adjustments directly in Cougar Mountain (refer to the user’s guide or online Help installed with the software).

If you have customer information in Cougar Mountain and are new to ACT! You can import your customer information to streamline your ACT! set up. Refer to the documentation that accompanied your ACT! software for information on Importing data. For information on exporting data from Cougar Mountain, refer to the online Help or user’s guide(s) installed with your software.
