2 RefWorks (refworks.ucalgary.ca) Bibliographic management tool (bibliography can be created in almost any style) Organizes and manages research Reference List can be shared with other RefWorks users or even other bibliographic management programs, such as Endnote or Reference Manager Create own personal database (with folders) Easy to access and FREE for students, faculty, staff at the University of Calgary

4 Marcus Vaska, May 2008 Creating a RefWorks Account From the RefWorks home page (http://library.ucalgary.ca/services/refworks/), click the New User Accounts tab (under RefWorks Links)http://library.ucalgary.ca/services/refworks/ If you are using RefWorks on campus, you may access the program directly by clicking on the Scholars portal link (http://refworks.scholarsportal.info )http://refworks.scholarsportal.info If using RefWorks from home (off-campus), you must click on the Group Code link BEFORE proceeding. You will be prompted to enter your U of C IT Account information. Upon validation, you will receive the group code and may then proceed with setting up your account.

5 Marcus Vaska, May 2008 Signing Up for a RefWorks Account: On-Campus Route Click on Sign up for an Individual Account link ALL fields must be filled in Type of User: graduate student/faculty member (select from drop-down menu) Focus Area: medicine (select from drop-down menu)

6 Marcus Vaska, May 2008 Creating Folders Folders  Create New Folder Enter file name (i.e. CoMPaIR); in New Folder Name; click OK. You will receive a confirmation message that the folder has been successfully created RefWorks imposes NO LIMITS on how many folders you can have in your account It is extremely important to create folders FIRST (before searching), because “the Last Imported folder (i.e. RefWorks server) contains ONLY references from your most recent data import that have not been filed in other folders!”

7 Marcus Vaska, May 2008 Creating Personal Accounts in Research Databases Medline – Personal Account  Create a New Personal Account – Perform search in Medline – Click on Save Search History tab in Search History box – Input name of search, comments (i.e. search strategy), and leave type as Permanent (default) – Confirmation message appears that search has been successfully saved – To retrieve the saved search, click on the Saved Searches/Alerts link – Locate desired saved search. The search can be renamed, edited, displayed, or jumpstarted (transferred via e-mail)

8 Marcus Vaska, May 2008 Creating Personal Accounts in Research Databases PubMed – Register for a My NCBI account – Perform search in PubMed – Click on the History tab – Click on the desired search string and select Save in My NCBI from the drop-down menu – Input name of search and set up the new search results e- mail feature – Click OK – To retrieve the saved search, click on the Details – Locate desired saved search. The search can be edited, displayed, or e-mailed

9 Marcus Vaska, May 2008 Creating Personal Accounts in Research Databases Web of Science – Click on the Sign In Link  Register – Perform search in Web of Science – Click on the Search History tab – Select the desired search string and click on the Save History/Create Alert Tab – Input history name, description, and e-mail address for e-mail alert feature, if desired – Choose to either save the search to the Web of Science server or to a local drive – To retrieve the saved search, click on Open Saved History – Locate desired saved search. The search can be displayed, re- run, or e-mailed

12 Marcus Vaska, May 2008 Saving Your Sources via Direct Export (OVID) Into RefWorks Select desired results In the Results Manager box, select Fields  Complete Reference, Result Format  Direct Export. You can also save your search history, which is very beneficial should you wish to redo your search at a later date Finally click on SAVE under the Actions menu.

13 Marcus Vaska, May 2008 Saving Your Sources via Direct Export (OVID) Into RefWorks Make sure that the Export to RefWorks option is selected You will know automatically be taken to RefWorks (you will be required to log into your account once more) You should receive an Import Complete message Click on View Last Imported Folder Select “all in list”, and choose CoMPaIR from drop-down folder. Click on OK, and you will soon receive a confirmation message that the files have been successfully moved to the CoMPaIR folder

14 Marcus Vaska, May 2008 Saving Your Sources: PubMed In your search results, select the citations that you would like to import into RefWorks From the Display menu, select MEDLINE (you will notice that the selected citations have now been converted into a text format) From the Send to menu, select File (open or save text document) Save the text file (.txt) to Desktop

15 Importing Sources Into RefWorks- PubMed Step #1 Log in to your RefWorks account Click on References  Import Select NLM PubMed from the Import Filter/Data Source and PubMed from the Database drop-down menus Click on Import References Into menu and specify which folder (i.e. CoMPaIR) the file should be sent to Browse and select the name of the text file (.txt) on the desktop where the PubMed results have been saved. Enter this file name into the Import Data from the Following Text File field

16 Marcus Vaska, May 2008 Importing Sources Into RefWorks- PubMed Step #2 Click Import When receiving the message that the file has been imported successfully, you still need to move the references from the Last Imported Folder to the CoMPaIR folder Click on View Last Imported Folder Select “all in list”, and choose CoMPaIRfrom drop-down folder. Click on OK, and you will soon receive a confirmation message that the files have been successfully moved to the CoMPaIR folder.

17 Marcus Vaska, May 2008 Saving Your Sources-Web of Science In the Search Results screen, select the records that you wish to output (step 1), choose Full Record (step 2), select Save to Other Reference Software (step 3) and click on the Save tab (records cannot be directly exported into RefWorks) Just as in PubMed, the option appears to save the records as a text file.

18 Marcus Vaska, May 2008 Importing Sources Into RefWorks- Web of Science Step #1 Log in to your RefWorks account Click on References  Import Select ISI (Institute for Scientific Information) from the Import Filter/Data Source and Web of Science from the Database drop-down menus Click on Import References Into menu and specify which folder (i.e. CoMPaIR) the file should be sent to Browse and select the name of the text file (.txt) on the desktop where the PubMed results have been saved. Enter this file name into the Import Data from the Following Text File field Click Import

20 Marcus Vaska, May 2008 Entering References Manually References  Add New Reference Under View Fields Use By, select the desired output style (i.e. Vancouver) Under Ref Type, select the type of reference (i.e. book). Type in information using Vancouver Style (guide can be found by going to http://www.nlm.nih.gov/bsd/uniform_requirements.html http://www.nlm.nih.gov/bsd/uniform_requirements.html While RefWorks automatically converts citations to Vancouver Style, it is good practice to double-check all references before final submission!

21 Marcus Vaska, May 2008 RefShare Share folders with other RefWorks users Folders  Share Folders In the Shared Folder Options screen, make changes and click on Save. Once all changes have been saved, click on the E-mail URL tab In the Send E-mail screen, fill-in the recipients e-mail address, and click on Send E-mail

22 Marcus Vaska, May 2008 RefGrab-It Captures bibliographic information from web pages, which can then be imported into a RefWorks account To install RefGrab-It: Tools  RefGrab-It (you will be required to download a small plug-in, similar to Write-N-Cite Once RefGrab-It is installed, locate the desired web-page, click on the RefGrab-It button in the toolbar (or locate in bookmarks), and bibliographic information from the web-page can be imported into RefWorks, and subsequently transferred into a folder

23 Marcus Vaska, May 2008 Write-N-Cite-Step 1 Tools  Write-N-Cite (this is a one-time requirement only if you haven’t used Write-N-Cite before. You will be prompted to download a small plug-in). Open your document in MS Word The Write-N-Cite icon should automatically appear in the upper right corner of the screen. If it does not, go to Tools  RefWorks Write-N-Cite.

24 Marcus Vaska, May 2008 Write-N-Cite-Step 2 In your MS Word document, place the cursor behind the phrase where a reference is to be cited. Click on the Write-N-Cite icon (you may be prompted to log in to your RefWorks account once more) In the top menu bar, View-CoMPaIR (select the folder from which you wish to cite your sources); click Cite next to the reference in the RefWorks screen. Save your MS Word document!

25 Marcus Vaska, May 2008 Write-N-Cite-Step 3 In the same MS Word document, click on Write-N- Cite Click on Bibliography Select output style (i.e. Vancouver) After a few moments, a new window will automatically open in MS Word, formatting your citations into bibliographic format (hint: the reformatted MS Word document will have the word Final- in front of the file name) Remember to SAVE the MS Word document!

26 Marcus Vaska, May 2008 Creating a Bibliography Make sure you have saved your MS Word document In RefWorks, click on the Bibliography button. In the subsequent screen, you will see that the output style has already been preset to Vancouver You can either format both your paper and bibliography in Vancouver style OR create a bibliography from the list of references in your RefWorks folder.

27 Marcus Vaska, May 2008 Creating a Bibliography-Option 1 In RefWorks, click on the Bibliography button. Select Format Paper and Bibliography Browse and select the document to format. Click on Create Bibliography **note: if you have already used the Write-N-Cite feature to convert your citations to bibliographic format, you do not need to repeat the above instructions**

28 Marcus Vaska, May 2008 Creating a Bibliography-Option 2 In RefWorks, click on the Bibliography Button Select Format a Bibliography from a List of References Choose Word for Windows (or Word from Mac) from the File Type to Create drop-down menu Select References From and choose which folder (i.e. CoMPaIR) to create the bibliography from Click on Create Bibliography You now have the option of saving or downloading the MS Word document

29 Marcus Vaska, May 2008 RefWorks Tips While a version for Mac exists, RefWorks is primarily a windows-based product Limit of 1000 references per account Create folder(s) before starting a search Select bibliographic style before creating a reference list/bibliography Ensure that the correct version of Write-N-Cite has been downloaded (Vista users with Microsoft World 2007 must download and install Write-N-Cite III.
